Minutes of the Friends of Wreningham Primary School, Bird in Hand Pub 14 th May 2015

Present: Claire Walsh (Chair), Kathy Reynolds (Chair), Cathryn Nutttall (Sec) Melita Prior (Treasurer), Kelly Cripps-Wells, Alison Thompson, Michelle Peck, Dionne Horton, Hermione Pike and Mandy Oxbury.

Apologies: Tracie Draeger, Donna Prior and Lynsey Watkins.

Approval of the previous meeting’s Minutes.

Kathy welcomed everyone to the meeting and then the minutes of the previous meeting were agreed and signed. It was noted that Ingrid Stone was to resign as a committee member as she had found it difficult to attend meetings.

72.98 Feedback on Past events: Family Bingo:

Kathy thanked everyone who helped at this event and commented on how popular it was, and how much had been raised. Kelly went on to say that she had been approached by a parent asking for it to be held regularly. She reminded everyone that we had borrowed the machine, and that we would really need to buy one if we were going to make it a regular event. Many thought it would be a good idea, but no decision was made whether we bought a bingo machine.

Update on current events and fundraisers

Event to be confirmed: - 13th June

Alison informed everyone that we could not get the disco man who did the Christmas Disco, and that others were too expensive. Other events that were discussed were; family quiz, karaoke, roller-skating and a beetle drive. Cathryn was concerned that there was less than a month to organise something and thought that we should just accept the £10 loss for the hall hire, and concentrate on the summer fete. After much discussion Michelle said she would look into the original idea of a barn dance as she thought it would not need much organising.

Summer fete and raffle: - 5th July Claire reported that the pony rides had been confirmed and thanked Francis Plume for arranging this. They would be £2 a ride. She also confirmed that we had hired 2 bouncy castles, one for adults and one for children, at a cost of £110. It was agreed to charge 50p for children and £1 for adults. Claire said that she was going to order the gunge online at £12 a tub, for ‘gunge the teacher’. Kelly was asked to organise gunge the teacher at the fete and she agreed. Each child would be given tickets so they could nominate the teacher they wanted. They would bring these along to the fete. Claire handed Melita two cheques from parents wanting stalls, with a couple of other parents having expressed an interest. Kathy informed us that she had a number of prizes that had been donated for the raffle. Thrigby Hall, Hippodrome, Monsters, Wroxham Barns and adopt a pony were a few mentioned. The barrow of booze was mentioned again so Kathy said she would go in and ask Travis Perkins if they would donate the barrow again this year. Michelle said that she and Claire Cormack were going to organise the games, with ideas such as egg and spoon, beanbags, sack races etc. Kelly thought of certificates, lollies or medals as prises and she said she would look into this. There was to be a tug of war at the end of the day. Rachael had wanted to know numbers for burgers and hotdogs; it was decided 150. Claire went on to discuss the different stalls and events, but as time was getting on, they decided to arrange another meeting to discuss this further and decide who would man and organise each stall. (Please could all committee members attend this meeting or let Claire know what stall you would like to run.)

Action:

 Michelle and Claire C - organise games.

 Alison - talk to ‘Jo Jingles’ about coming.

 Rachael – purchase food/drinks for refreshments.

 Cathryn – source teddies for Teddy Tombola. (any donations please!)

 All committee – make cakes for the refreshments and donate something for the barrow of booze. Bring gazebos on the day. (Let Claire or Kathy know if you have one.)

 Claire – produce a slip asking parents for help on the day etc.

 Kathy – ask Travis Perkins for wheel barrow.

 Kelly – look into prizes for games.

 Hermione – arrange getting some straw bales.

Sports Day cake stall: - 17th July Claire said she would ask Lynsey if she would send out a flier. Parents Business Directory: Kathy reported that the letter had gone out but no replies had been handed in yet. This will be discussed more at the next meeting.

Clothes recycling: Dionne passed round a brochure explaining about the new scheme. She explained that the Salvation Army have a three stage system of recycling clothes, firstly selling the best clothes in their charity shops. The bin would be arriving shortly and be placed by the school letter box. All were pleased with the new way of recycling clothes.

Easy fundraising: This is ongoing.

Future events and fundraisers: Cash 4 coins: This would be arranged for next year.

Pamper evening: This would be discussed at the next meeting after the fete.

Fundraising aims and anticipated spending:

Playground balls: Kelly said she hadn’t ordered the balls, but would do so soon. She asked for some skipping ropes with handles and longer ropes for skipping ‘Double Dutch’. This was agreed.

Action:

 Kelly to purchase new equipment.

Garlic Theatre: There was a bit of confusion over who had mentioned this and why, as it was getting late we moved on with the agenda.

Blinds for new build: Claire reported that she was half way through the grant application for this.

Giant Maths resources: Alison explained how the school would like some large outdoor resources like an outdoor clock and giant shapes. The committee agreed to purchase these and Ali was asked to make a list with prices.

Ceiling mounted projector: Alison had thought it would cost around £800, with extra costs to mount it and to get speakers. There was enough money in the bank, so it was decided to give Mr Jones the go ahead to order it. Leavers present: Melita said that she would speak to Mr Hodge and give him a cheque covering the cost. Any other Business: Welcome Pack for new parents: Claire said she was working on a new parents pack to be handed out at the new intake meeting. Kathy would be there to talk to the new parents about the friends and would be offering refreshments. Thank you to those who offered to help her. Constitution: Claire informed us that she had found and read the constitution, as there were concerns that we could not make decisions at meetings if only a few committee members were present. Claire reported that you have to have 50% of committee members present at each meeting, so at least 7 would need to attend in order to get things done. Newsletter: Kathy said that this was going to be handed out next week. Fund matching: Melita said she had spoken to Alison O’ Brian and she was going to be able to fund match the summer fete. Tidy up day: It was decided to arrange a date and see if there was a need to do a tidy up day, as a list would need to be drawn up regarding jobs. The tidy up afternoon would be Sat 13th June if needed.
