1 st Sutton-at-Hone Scout Group Minutes of the Executive Meeting held on 5th June 2014

Present: Jan Peeling (JP), Doug Peeling (DP), Richard Turner (RT), Peter Fifield (PF), Ashley Hambridge (AH), Ross Wigg (RW).

1/ Minutes of previous meeting 23/01/2014 –

2/ Matters arising

Nothing additional to report.

3/ Chairman’s Report i) Hall bookings steady, DARTARA no longer using the hall. New dance class on Fridays 11-12.30pm. ii) Horticultural Society used the facilities on 24th May for a Plant Sale and have booked the hall for the show in August with donation normally given. iii) Playschool want to use the field again. iv) Fundraising, £112.20 Race Night / AGM, St Georges Day £30, v) Work Day in March completed a few more jobs. vi) JOTT very successful even though the rain, thanks to PE for clearing the path to the end of the JOTT. vii) JP has spent the grant from the council on 11 * 3 man tents, 4 * 2 man tents, 2 * gazebos, 1 * Coleman Event Shelter, 1 quick cricket game, quoits game and a camp light. The faulty tent has been picked up for replacement. viii) Lottery Grant was successful thanks to JP, so we now have £6K to complete the remaining leaking roof with rubber. PE & DP will provide a quote.

4/ Secretary’s Report

Web site additional changes to be progressed. All looking forward to the COMPASS system for the annual Census due end of year. PF mentioned the minibus batteries are a cause for concern and we should look to replace especially with the hires. RT will look at swapping with spares before we purchase any new.

5/ GSL Report

7/ Section reports

Beavers: ( JP , MS, PE ) Helpers – New helper is looking to do the Leader training. 30 Beavers. The waiting list has reduced and the list of those to move to Cubs has been sent. A number are doing their Bronze Awards.

Cubs: (KM/PM) Leaders AHe, JW. Helpers – Andrew Ray & parents. Currently 36 cubs.

Scouts: ( PE/TL/RT ) Helpers – 2-3 Explorer Leaders. Lucy Turner is going to do Leader Training in future. Morgan Fifield moving onto Explorers (Horton Kirby). Currently 21 Scouts mainly girls.

Explorers: - AG .

8/ Future Group Activities

Water Day – Saturday 19th July 2014 @ Tonbridge.

JP to find the leaflet for last year to update / circulate.

Group Fun Day- JP will ask PE to arrange if he wants this to go ahead.

9/ Fund Raising Events

25th August – Wilmington Fete, Helen Turner & RT, AHe agreed to do face painting & PE tattoos. 11th October 2014 – Beatle Drive TO BE RESCHEDULED 1st November 2014 - Halloween Disco 22nd November 2014 - Race Night.

10/ Minibus

There are a number of bookings. The batteries need sorting out and the recommendation from the MOT for the brakes. DP agreed to look at the trailer as the lights need to be checked and floor replaced.

11/ Grounds and Building

The Fire Exit doors have been looked at and suggested the floor will need a polish in the summer break. http://www.suttonathonescouts.org.uk/ Page 3 of 3

Planning to do the roof in the summer.

PF suggested the front doors need replacing for security (RW suggested for warmth) if funds allow or as the next job.

RT to get a quote for the front doors.

TL to arrange when he can do the gas store and exit doors.

12/ AOB

Fire pit needs a tidy, DP suggested concrete blocks and the entrance to the field, suggested plastic lattice.

Remotes for the garages should be available next week to allow access from outside.

DP offered to replace all the toilet taps with push type as they are still being left running which impacts the water bills. Also the urinals need a controller/thermistor.

RT mentioned the PA system – this needs to be secure and speakers covered.

AH showed some LED lights which could be used for camps, suggested if we can get a bulk discount it would be worth getting 10 small & 2 large for camps/tents.
