Lacombe Minor Baseball Organizational Meeting: January 21st

Meeting Called to order at 7:30

In attendance: Linda Masko, Heather Fischer, Robin Fischer, Ed Bast, Nicole Michalski , Gary Sinclair, Dean Otto, Lisa Otto, Sonja Dykslag

New Business

1. Nicole Michalski - unfortunately due to securities permissions with her work she had to step down from the Treasurer’s permission that she volunteered for at the AGM. She offered to move into the registrar’s position instead. Heather agreed to serve in the Treasurer’s position until a replacement is found. Heather will be the “acting” treasurer. Once a replacement is found she will mentor the new Treasurer.

Motion: Ed Bast moved that Nicole be moved to the position of Registrar. Seconded by Dean Otto, carried.

Motion: Robin moved that Treasurer’s position be posted on the webpage immediately and that Heather Fischer become the Acting Treasure in the interim. Seconded by Linda, carried.

2. Registration

Motion: Lisa moved that registration fees follow the 2012 fee schedule but all community levels will be increased by $20.00 due to the Central Alberta Baseball Association’s mandatory carded ref requirements. In addition all players registered will be required to pay the $50.00 raffle fee in advance. This fee will be paid upon registration and then will be reimbursed to the players as they sell their raffle tickets. Seconded by Ed, carried.

Registration will be open at or near Feb 1st (once Nicole can connect with Dave to get the registration program working). Closing date for early bird fees will be March 15th. Anyone who registers after March 15th will have a $25.00 late fee. Absolute deadline for registrations will be March 31st for all competitive teams and April 23rd for all community teams.

Imports will not be charged a late fee.

In person registrations will be made on March 5th at Ecole Lacombe Upper Elementary School on March 5th from 6:00 to 8:00. Volunteers will be Sonja, Gary, Nicole and the Treasurer

Registration will be advertised in the newspaper and via bulletins to all schools. 3. Raffle Prizes

Motion: Lisa moved that we purchase the same prizes as last year for the annual raffle. IPad, an Apple TV Program and a 40 inch TV. Kevin and Shawn will discuss with United Cycle the donation of the third prize. (Last year that donation was a glove and bat) Seconded by Robin, carried.

4. Coach Applications – Coach applications will be open on February 1st. Lisa will post that on the website and create a link to the coaching requirements and clinics on the webpage as well.

5. Lisa will draft a letter outlining the importance and value of volunteers and in particular coaches in our organization to try and encourage parents to sign up for this very important role.

7. Diamond Scheduling – Gary will contact the City regarding the diamonds for 2013. He will do his best to represent our concerns from last year (no itemized list of diamond charges, lack of portable toilets, and contact for rain outs). Gary will express our appreciation for the new bleachers. He will also talk to the city about charging Lacombe Minor Baseball a flat rate for the 2013 season.

8. Equipment Needs for 2013 – New bat rule. Each team will need 1 to 2 bats per team that meet the new specifications. Heather reported that much of the budgeted money for equipment was not spent last season so we are carrying over some funds there that could support this big purchase.

9. Uniforms – There continues to be some confusion still on what Bryan purchased for uniforms. We had an order in for midget uniforms but have asked Northstar to put that purchase on hold until further notification from us. Our goal is to make sure all competitive teams have new uniforms ready to go for the beginning of the 2013 season. We support Kevin and Shawn in making this happen.

Next Meeting: February 11th at 7:00 at Ecole Lacombe Upper Elementary School Computer lab.

To Do:

1. Lisa will post the open executive positions on the Lacombe Minor Baseball Webpage. Open positions include: Treasurer, Rookie Director, Community Director 2. Lisa will post fees for the 2013 season, which include a $20.00 fee increase for all community teams. She will also clearly explain the Early Bird Fee, the Raffle Fee, and the Late charge fee.

3. Sonja to notify paper and schools regarding registration for Lacombe Minor Baseball.

4. Lisa to post coaching applications to open on February 1st. Also she will create a link to the AB Baseball indicating requirements and coaching clinics that are coming up.

5. Lisa will draft a note to send out describing the role, value and need for coaches.

6. Coach Selection Process on next agenda.

7. Kevin and Shawn will contact United Cycle to review Lacombe Minor Baseball’s equipment discount rate. They will also discuss (after we make our major equipment purchases) the donation of a glove/bat for our raffle.

8. Gary to contact City to discuss Diamond bookings.

9. Kevin and Shawn are to negotiate the bulk purchase of certified bats for the 2013 season.

10. Kevin and Shawn are to determine what we have for new uniforms and to proceed with purchasing and cresting of a new set of uniforms for all competitive teams for the 2013 season.
