Deal Creation Who’s Involved

1. What is the Bill-To information used for? If the deal includes service line items from Cisco, click to view the Billing Information and ensure it is correct.

2. What do I need to do if the incorrect billing (Bill-To) information is shown? There are two ways to fix the Bill-To address if the incorrect Bill-To address is shown or if you do not have any Bill-To address to select in the Quote tab: . Call 1-800-GO-CISCO and ask for the Internet Commerce Group (Not applicable to Asia Pacific Theater) . Send an e-mail to ic- [email protected] In the Subject line, the include keywords such as "user profile – Bill-To Id". In the body, include the following: . Partner Cisco.com/cco login . Partner company . Country where partner is working from

Deal Sharing

3. What is Deal Sharing? Deal sharing is the ability to share access to your deal(s) with those at your company or anyone at Cisco via their Cisco.com ID. Those with whom a deal is shared can: . Receive deal email . Import or modify a configuration . Include shared deals in reports

4. How do I share deals? There are two ways to share deals: . Share multiple deals by clicking the Deal Sharing link on the PDR home page . Share a single deal by opening the deal to be shared and clicking on the Deal Sharing link within the open deal

5. I clicked Yes to the e-mail sharing confirmation pop up but there was no deal sharing e-mail. Do I have to do something else? No. PDR will send the deal sharing e-mail only for a PDR deal status after Not Submitted. Once the deal gets submitted, the deal sharing e-mail will go to those that the deal was shared with.

6. If multiple deals get shared with one UserID, will they receive multiple deal sharing e-mails? No. If multiple deals get shared with one UserID, then the multiple deals’ information will be sent in one deal sharing e-mail to the UserID. If additional deals get shared with this UserID, then a separate deal sharing e-mail will be delivered with the additional deal sharing information.

7. If a partner unshares a deal, will PDR send an e-mail if the deal is no longer shared? No. Deal sharee e-mails are only for deal sharing. Deals that are no longer shared are not communicated in an e-mail.

8. Will the ‘cc’ be defaulted to Yes if the user agrees to send a shared deal e-mail? No. The ‘cc’ option must be chosen manually.

9. Can a user select the UserIDs they want to send a deal sharing e-mail to? No. The deal will be shared with the UserIDs selected to share the deal with. There is no selective action for UserID. When adding deal sharee later, the system will ask if you would like to send an e-mail to the new sharee.

10. I started registering a deal but can someone I shared the deal with complete and submit the deal? No, Only the deal creator is allowed to submit the deal for the first time to Cisco. Once the deal is submitted it becomes visible to all the others with whom the deal was shared and they can then edit.

About the Deal

11. What Intended Use value should I select? How do I know which Intended Use value maps to the promotion I need for deal registration? Click on the definitions link next to the Intended Use values. It will describe the channel programs that each value maps to. You can also click on the Promotions tab to see all of the promotions that you are eligible for. The Promotions tab will have an Intended Use column with values for each promotion.

12. Why is the Intended Use dropdown restricted to only four values? These four values cover all channel programs that PDR supports.

13. Can more than one Intended Use value be selected if no promotions appear for the selected Intended Use value? No. The system will flag an error message if there are no promotions available for the selected Intended Use. A new Intended Use value will have to be selected.

14. If the Intended Use value is reselected for a deal with Not Submitted status, does the promotion also have to be reselected? Yes. The promotion will have to be selected again. If the promotion selected again is the same as the originally promotion selected, the promotion questionnaire answers will be saved and will not have to be completed again. However, if a different promotion is selected from the original promotion, promotion questionnaire will also have to be completed.

15. Will changing a promotion for a deal with status More Information Required- BOM allow changing the selected Intended Use value? No. Intended Use will go into Read Only mode for all PDR deals with status beyond Not Submitted.

Promotions

16. In the Promotions tab, some promotions have multiple Intended Use values. In PDR the Intended Use dropdown allows only one value to be selected. Why is this? In the promotion database, Intended Use is a multi-select field. Channel programs can be mapped to more than one Intended Use. If a promotion in the promotion database is mapped to more than one Intended Use value, then all the Intended Use values the promotion is mapped to will display in PDR even though you may only pick one.

17. I know there is an active promotion, why don't I see it? All promotions that are visible to you are filtered based on your company certification, specialization, authorization, geography and purchasing relationship.

18. Why can’t I select a promotion that is not expired in the promotion database? The promotion has passed its deal registration end date which is set as a parameter during the promotion questionnaire setup in PDR.

19. My target promotion has reached the end date; can I still use that promotion?

Yes and No. ‘Yes’ if you have already created a deal you can continue to work that deal based on an individual deal's expiration date and the promotion's end of life rules. ‘No’ if the deal registration end date has passed and you would like to register a new deal using the Create Deal button.

20. Who can extend an expired OIP? Only an internal person with a cisco_admin role or the Program Manager of the deal can grant an extension.

21. What are the new capabilities of MSCP/OSCP for the September Q1’09 release? . Re-uploading of business forecasts after deal qualification . E-mails when sharing a deal . Enable PDR to go against a global promotion code (direct and distributor) . Auto BOM approval for OSCP . Qualifying a PDR deal for a discount that falls within a range and use the established discount during quoting . Customization of reports for Channels . Intended Use

22. What is a global promotion? A global promotion in the promotion database has no substance to it. It has no specializations or authorizations defined. It only has mappings to child promotions in the promotion database.

23. Will a global promotion code allow me to create global deals? No. For a global contract, a deal will have to be registered against the global promotion in each theater.

24. Will PDR use the global promotion code for pricing? No. PDR will only display the global promotion codes. For all transactional purposes (Pricing, Distribution Authorization ID (DART)), PDR will use the promotion questionnaire based on the child promotion code.

25. When will I see a global promotion code? If there is a global promotion code that the partner is eligible for then the partner will see the global promotion code in PDR on the Promotions tab.

26. What is the minimum discount if the selected promotion is a ‘range’ promotion? There is no defined minimum.

Document Upload

27. Is there a limit to the number of files that can be uploaded? No. There is no limit to the number of files that can be uploaded; however, there will be 10MB file size limit.

28. Is there any deal status change that comes with uploading and deleting documents? No. There is no deal status change.

29. As a partner, why can’t I delete the uploaded documents? Deletion of documents varies by promotion. Deleting of uploaded documents is controlled by a new attribute in the promotion questionnaire. If the attribute is set to a ‘YES’, PDR will allow only Cisco Internal to delete any existing uploaded documents.

30. Why does PDR allow uploading of documents in all PDR Deal statuses for some deals only? Uploading of documents varies by promotion. Uploading of documents is controlled by a new attribute in the promotion questionnaire. If the promotion questionnaire flag for document upload for the selected promotion has been set to ‘YES’ , PDR will allow uploading of documents in all PDR deal statuses for that deal.

31. If there is an existing file attached to the promotion questionnaire, and a new one gets added with the same name, will it overwrite the existing, error out or create a another version of the same file? The system will insert the new file with the same name but will have the inserted date next to it to indicate the most recent one. There will be no versioning or overwriting. It will be a sequential add of the files.

Quote

32. What are the different ways I can create a Bill of Material/ Deal configuration? A Bill of Material (BOM)/ Deal configuration can be created by one or more of following methods: . Upload using an Excel template . Import already saved configurations from Cisco configuration tools . Manually create a BOM by searching for SKUs on the PDR User Interface . A combination of the above

33. Can a bundle of SKUs be uploaded using a BOM file? No, a bundle line cannot be uploaded using a BOM file manually. It has to be done using the Cisco configuration tool.

34. What if I don't know the final configuration at time of Deal registration? Partners need to know the technology mix that they will order but do not need to have the final Bill of Material at the time of registering a new deal. They will have time to assemble the bill of material once the deal gets qualified.

35. What about the SKUs on the BOM that are ineligible for the promotion? For SKUs that are ineligible for the promotion, they will only receive the contractual discount.

36. When can a partner add distribution lines to an Approved PDR BOM? A partner can add distribution lines to an Approved PDR BOM if the BOM status is Approved, Re- Opened, MIR, or Ordered by re-opening the deal.

37. Who would a partner contact if an incorrect distributor appears in the drop down options? The Theatre Business Lead needs to be contacted to verify if such a distributor really can be added or not. The Distribution Authorization ID (DART) support team will then make the necessary next steps.

38. A partner’s Distribution Authorization ID (DART) was cancelled for some business reason. Will the PDR BOM total value still stay the same? No. All cancelled Distribution Authorization IDs (DART) and BOM lines associated with the cancelled Distribution Authorization ID (DART) will be removed from the PDR BOM. The total value of the PDR BOM will be adjusted accordingly.

39. Are there any scenarios where the Promotional Discount will be 0%? Yes the Promotional Discount will be 0% if: . Promotion has expired OR . The partner certification, authorization and/or specialization has expired and the partner is no longer eligible per the individual promotion's rules

40. Will a promotional discount be applied to a deal where the promotion is expired? For an existing deal containing an expired promotion, the discount will be applicable until one of the following is reached first: . The deal’s expiration date is reached OR . 180 days from the expiration date of the promotion

41. What is Net End Customer Discount? Net end customer discount is the discount percentage off the Cisco List Price for hardware, software, and services that will be offered to the end customer. End customer pricing is dictated by the reseller.

Review and Submit

42. Once the deal is submitted, can the promotion be changed? Yes. This depends on the promotion. If the promotion has a switch promotion flag set to YES then the promotion can be switched in More Information Required status.

Qualification

43. Is there any validation of the established discount to verify that it is less than equal to the range discount in the promotion database? Yes. The discount validation service will be called every time the discount is changed by the qualification Approvers to validate that it is within the promotion range. (Not applicable for the European Markets Theater)

44. If the selected promotion is a ‘range’ promotion, is establishing a discount during qualification mandatory? Yes. The system will display an error message if the first qualification Approver approves the deal without reviewing the default/established discount. If subsequent Approvers directly approve, then the discount will stay as defined by the first Approver

45. Will the fulfillment source also be defined when establishing the discount? No. The fulfillment source will not be defined during qualification.

Approval

46. Who is the Next Approver? Depending on country/theatre rules, one or more Approver might be required in the approval chain. The Next Approver column on PDR homepage lists the UserID of the Approver whose decision is required before the deal can move to the next step. When the deal and Bill of Material are submitted by partners, Cisco Approvers must verify the information.

47. How will I know if my deal has been approved for an incremental discount? Please check the deal financial summary in the Quote tab. You will be able to see the latest information in that section.

48. When I submit a BOM for the first time, why is it auto approved for only some deals? Auto BOM Approval is a new attribute in the promotion questionnaire. If this attribute is set to a 'YES', then for the selected promotion in the deal, the BOM will be auto approved on its first submission. The BOM will then be auto approved at every subsequent submission.

49. In case of Auto BOM Approval, will there be any BOM approval chain in the promotion questionnaire? No. The system will approve the BOM.

50. What happens when the system approves the BOM? There is no difference in the output received when the BOM gets approved manually or by the system. The PDR deal status will change to Approved, an Approved e-mail will go to the partner and a Distribution Authorization ID (DART) will be created for distribution fulfillment.

Opportunity Collaboration

51. Can I track how and when the AMs get changed on PDR deals? Please check the audit history of the deal. Changes to the deal populate in the audit history.

52. I need an incremental discount greater than the promotional discount. Why can’t my AM convert the deal for non-standard pricing?

For a PDR deal to be converted to non-standard deal, the deal has to be in Qualified or Approved status.

Deal Extension

53. When is the Request a Deal Extension button available? . If the deal is not closed . If the deal expiration date is more than 14 days out from the system expiration date . (This is not applicable to the European Markets Theater)

54. When a partner clicks on the Request a Deal Extension button, who gets a notification e-mail? The e-mail goes to the CAM and AM assigned to the deal.

55. When is the Deal Extension button available to the Cisco Admin? . Expiration Date is not null . Renewal Flag is set to Y (Set at promotion level) . System expiration date - Expiration date <=45

56. Is there any extension buffer period that AutoDART is providing for PDR AutoDART deviation? No. Distribution Authorization ID (DART) expiration date now aligns with PDR deal expiration date. Deals extended in PDR will automatically extend the Distribution Authorization ID (DART).

Deal Revision

57. What are additional partner capabilities with Deal Revision functionality? . Ability to make the changes to the BOM (Edit, Add and Delete) which are part of the Distribution Authorization ID (DART) or Cisco . Ability to change the fulfillment path from Cisco direct to distribution for some or all of the lines and vice versa . Ability to switch some or all of the BOM lines from one distributor to another distributor . Ability to compare the changes to BOM with the previous approved BOM . Ability to revert the changes to BOM from the previously approved BOM

58. How can I enable more than one distributor to fulfill the same item? From the Quote tab within PDR, re-open the deal and complete the following: . Reduce the Qty for the first distributor . Add a new line for the same item . Designate Qty for the additional distributor . Designate the additional distributor in Buy Method

59. Is there any limitation to partner capabilities with respect to deal revision? Yes, the partner cannot cancel the Distribution Authorization ID (DART) either Directly or Indirectly . Directly: Requesting the Distribution Authorization ID (DART) cancellation through the PDR tool. . Indirectly: Deleting all the BOM lines associated with the Distribution Authorization ID (DART).

60. My deal in PDR is in Read Only mode, why can’t I make any modifications to the deal? First check the deal status (Deal Status section located within the Q&A or in the Quick Reference Guide on the Training page) to see if partner actions are possible. Then check to see if your deal is being considered for non-standard pricing rather than promotion pricing. You can contact your Cisco CAM or AM for more details.

61. I have revised my deal. Before re-submitting a revised quote, can I review my previous approved quote? Yes. Click on Revert Quote link on the Quote tab prior to submitting a revised quote.

62. Can I revise a BOM after a promotion ends or expires?

Yes. The discount will be applicable until the deal’s expiration date is reached. (In the European Markets Theater, it is not possible to revise a BOM after it expires. There is no further Partner action required and there are no extensions.)

63. Why can’t I modify the end customer on the deal? If the deal is pending a decision from an Approver, you will not be able to modify the end customer. You can edit the end customer only if the deal is returned back to you for more information.

64. How does the partner know that their Distribution Authorization ID (DART) has been revised in the Distribution Authorization ID (DART) tool? The partner can view information regarding their deal from the PDR homepage in the Deals box. Select the deal to be viewed and click on the expansion button.

65. When a Distribution Authorization ID (DART) revision has been made how long does it take for the revision to display in PDR? The Distribution Authorization ID (DART) revision will be shown in the PDR User Interface almost immediately. It will take a few hours for the data to flow from PDR to the Distribution Authorization ID (DART) tool and reflect for the distributor.

General PDR Questions

66. Why did the PDR user interface change? The PDR user interface changed to align with the Integrated Commerce Workspace (ICW), one of the key projects in Cisco's Commerce Transformation initiative. Eventually PDR will converge with ICW.

67. How can I search for deals? From the PDR homepage search for deals in the Search box. Select deal type to search by from the Show drop-down box or search by deal status by selecting deal status from the Filter by Deal Status drop-down box. Advanced search is also available from the link in the upper right-hand corner of the Search box.

68. How can I quickly view the deal information on a deal in PDR? From the PDR home page, you can mouse over any field shown on the deal line. All information contained within that field will pop up. You can then copy the information that pops up for easy pasting of information.

69. How do you export PDR deal information to Excel? The Export link to export to Excel is in the top toolbar next to Share, Delete, and Print and only enables once a BOM has been uploaded.

70. What happens when I use the browser back button? The browser back button SHOULD NOT be used at any time in the PDR application as it can lead to incorrect information. Please use the tabs provided on the pages within the application to move from one tab to another.

71. Can I use accents marks and special characters in the registration form when I register a new deal? No. Please don't use any accent marks or special characters when entering any information in the registration form.

72. How do I check the certification level/purchasing relationship of my company? Click on the My Profile link from the PDR homepage. It opens up another window which will contain your company-specific information.

73. What is Next Partner Action? The Next Partner Action column will have information only when an action is required from the partner. If there is no information in this column it means that there is no action required from the partner. Some

deals have Next Partner Action while others do not. Next Partner Action describes the next action required from the partner so that the deal can move forward.

74. Do I have to complete all registration steps in one session? No. PDR allows the deal creator to save information entered in one session and come back to complete the deal and submit for Cisco qualification or approval.

75. Can a deal be deleted? Yes. The partner can cancel the deal.

Access

76. Where are partner details obtained? Partner details are found in the Partner Database (PDB).

77. Do Distributors have access to PDR? No.

78. The partner who created a deal has left the partner company. How do I change the deal ownership in PDR? Contact the PDR Partner Administrator at your company. The PDR Partner Administration can change the ownership of the deal.

Deal Status

79. What is a deal status and what are different statuses Deal status shows or describes the stage deal is in. The different status and their definitions are: . Not Submitted: The partner has not submitted the deal to Cisco . Qualification in Progress: The partner has submitted the deal to Cisco and the Approvers are verifying information . Qualified: The Cisco Approver/s have Qualified the deal. . Rejected: The deal is rejected and can't be submitted again. It is inactive now. . More Information Required (MIR): Approver has sent the deal back to the partner for more information. Approval in Progress): Bill of Material/Deal Configuration submitted by the partner is being reviewed by the Cisco Approver(s). . More Information Required - BOM: While reviewing the Bill of Material/Deal Configuration the Approver needed more information before they can give their decision. . Ordered: Partner has started placing orders against this deal. . Closed: Deal is fully consumed or deal is partially consumed but expiration date has been met.

80. What will the partner see if an Approver rejects the deal? When an Approver rejects a deal they enter comments which are visible to the partner. Also the deal status will change to Rejected. The deal becomes inactive after it has been rejected and no action can be taken.

81. When will a deal status change to Closed? A deal status changes to Closed for fully consumed deals that are in Approved or Ordered status. A deal status changes to Closed for Ordered deals that reach their expiration date.

82. How can a partner mark a deal as Lost and how will I know the action is complete? A deal can be marked as Lost anytime before it has been ordered. To mark a deal as Lost please click on the Mark Deal as Lost link available in the PDR user Interface when you open the deal. Note - Cisco contacts cannot act on the partner’s behalf to complete this step even if the deal has been shared the deal with them. You will know that the action is complete by examining the deal status. The deal status will show as Lost.

83. A partner’s PDR Deal with active deviations was flagged as Lost. What will happen to all of the Distribution Authorization ID (DART) associated with the Lost PDR deal? If a PDR deal with active Distribution Authorization IDs gets flagged as Lost, then all deviations associated to the PDR deal will be automatically cancelled.

84. Can a distributor be selected if a deal is in Re-Opened status but has an expired Distribution Authorization ID (DART) on it? Yes. Distribution Authorization ID (DART) now aligns with the PDR deal expiration date. A deal can be extended in PDR and the deal extension will be reflected in the Distribution Authorization ID (DART)

85. A partner’s Re-Opened deal with active deviations was rejected during the BOM Approval Process. What will happen to all the Distribution Authorization ID (DART) associated to the Rejected PDR Deal? If a re-opened PDR BOM with active Distribution Authorization ID (DART) gets rejected during BOM approval, then all deviations associated with the re-opened PDR deal will be automatically cancelled. However, if the BOM is in More Information Required status, then the BOM can be reverted and the Distribution Authorization ID (DART) remains.

Reporting

88. What types of reports are available in PDR? Two reports are available. Begin by setting your home page filters - Show and Filter by Deal Status to define your report parameters. 1. 50 Column report: Click the Generate Report button at the bottom left of the PDR home page 2. 15 Column report: Click the Download All button for the more abbreviated report An e-mail notification will alert you to completed reports. Click the My Reports link on the top of the home page to download the completed report.

89. Are there any new reports for MSCP Logistics/OSCP? Yes. New reports will be available in Deal Management Reporting for MSCP Logistics/OSCP. Access is available to these reports from your program owners.

92. Where are WebEx Promotions in the Promotions list? The WebEx Promotions can be found in the Other category

93. Where can I find Reseller Order Form for a resale deal? PDR provides a link to download the Reseller Order Form under the Quote tab while creating a deal.

94. Who should I contact for WebEx promotion specific questions? Please send an e-mail to [email protected] for WebEx promotion specific questions.

US: Cisco Capital Financial Calculator Pilot Program

95. What is the Cisco Capital Financial Calculator? The Cisco Capital Financial Calculator is a tool available to partners to receive financing quotes when registering a deal in PDR.

96. What are the benefits of the Cisco Capital Financial Calculator? . Generates an instant indicative financing quote, based upon a partner’s specific technical solution . Saves time by generating a Finance Quote from an online system 24/7 . Enables partners to initiate budgetary discussions with their customer when first presenting a net-30 quote for their solution . Allows for inclusion of non-Cisco equipment and services to be included in the budgetary finance quote . Provides one tool to access in order to manage deals, promotions and financing . Allows access to Click-to-Chat for live assistance during normal business hours

97. How do I obtain access for using the Cisco Capital Financial Calculator? Please contact your designated Capital Channel Account Manager.

98. Why is the Request Financing Option button not visible? For the Request Financing Option button to be displayed, there are three conditions that must be met: . The user must be an employee of a qualified partner participating in the Cisco Capital Financial Calculator pilot program . The deal must be in a Qualified status . The user must have a Bill of Materials attached to the deal

99. Is a quote from the Cisco Capital Financial Calculator a binding quote? No. Any quote displayed through the Financial Calculator in PDR is an indicative finance quote and is subject to customer credit and other factors, and is subject to change.

100. Who should I contact if I have questions or experience difficulties using the Cisco Capital Financial Calculator? Please contact [email protected] for Cisco Capital Financial Calculator questions.

102. What is Full Payout? Full Payout is a lease in which the total of the lease payment payback to the lessor the entire cost of the equipment including financing, overhead, and a reasonable rate of return, with little or no dependence on a residual value.

103. Are the Finance quotes displayed for in advance or in arrears payments? All quotes are calculated and displayed for in advance.

104. How long is a financing quote valid for? 30 days from the day of calculation.

105. Can the financing quote be extended? No extension is allowed. If a quote expires, the user must recalculate the finance quote.

106. What is considered Non-Cisco/Other Services? Non-Cisco/Other Services are any items to be financed by the customer that are not sold by Cisco Systems, Inc.

107. Is there a maximum amount for Non-Cisco/Other Service? Yes, the dollar amount for Non-Cisco/Other Services should not exceed 30% of total amount financed.

108. Will the quote be recalculated if the BOM has been changed? Yes. The system will automatically recalculate the pricing and provide a new financing quote using the ‘Net Customer Discount’ numbers already determined by the user.

117. My deal is approved but the distributor did not receive the Distribution Authorization ID (DART)? Ask your CAM to open a case with the internal support team asking to resend the Distribution Authorization ID (DART).

118. I am a direct Cisco partner and when selecting the Buy Method I do not see Cisco as an option. What should I do? First check the promotion rules; it may mandate purchasing through distribution. If that is not a promotion rule, and you have signed a direct purchasing contract with Cisco, open a case with the support team from the PDR homepage.

119. Why does the product I am adding manually not display in PDR? Contact your CAM team and verify that you are using the correct product code.

120. I am a partner in the European Union or Emerging Market theater. When I try to submit for approval I get the following error message: "The market segment of the end user is not eligible for this promotion." Why is this? Open the deal. Go to the Promotions tab. Check the Terms and Conditions link. Ensure the end user is eligible for the selected promotion.

121. Is the PDR tool applicable to refurbished products? Refurbished products are not eligible under the current promotions available in PDR.

122. Can I cancel an Approved PDR deal? If the deal has not been consumed you can flag the deal as Lost. Go to the Review and Submit tab and click the Mark Deal as Lost link.

123. Why has my deal been rejected? Open the deal. Go to the Review and Submit tab and read the Comments on this Deal which have been added by the Approver.

124. I am a Premier partner with Advanced Wireless LAN Specialization. I have 42% Discount for those products. PDR is only assigning me 36% + 6% = 42% discount over the whole deal. Why is this? PDR does not apply the specialization discounts. It only applies the certification contractual discounts. When placing the order the partner has to manually change the discount for those products.
