Job Description for Examination Officer

Post Holder:

Hay Grade: H5

Hours of Work: 37 hours per week, term time only, plus 2-3 week in the summer

Date: 2017

1 Main Purpose of the Post

To be responsible for the administration, organisation and smooth running of all public examinations and internal examinations.

2 Line Manager:

Assistant Headteacher (Pupil Achievement)

3 Main Tasks:

3.1 Administration of Examinations

You will work with minimum supervision and in all aspects of your work total confidentiality is required. The work is extremely varied but always involves a very high level of accuracy and strict adherence to deadlines set by yourself, the School and the Exam Boards.

KS4 and KS5 extended exam seasons occur in the Summer (mid May to the end of July) and also at the beginning of January with some occasional days in November and March. Internal exams occur termly. CATs tests occur in September and university admission tests in November.

The job involves the following tasks:

 Obtaining exam entry details from Subject Leaders and submitting entry information to the relevant Awarding Bodies;  Administering entry amendments or withdrawals where necessary;  Receiving payments from candidates for resit exams and post results services;  Checking invoices received from Awarding Bodies;  Managing invigilators;  Recruiting and training of new invigilation staff and liaising with HR of matters relating to DBS checks, child protection training and remuneration;

Job Description for Examination Officer 1 2017  Enforcing regulations and deadlines set by Awarding Bodies;  Monitoring the receipt of exam papers and ensuring secure storage in line with regulations;  Publicising exam information to and responding to enquiries from pupils, parents and staff;  Administering the distribution of coursework;  Timetabling for internal and public exams including invigilation timetable and exam clash resolutions;  Booking and preparation of exam rooms;  Initiation of new systems where necessary, particularly with regard to new examinations;  Liaising with the Learning Support Department to ensure the smooth running of internal and public exams for candidates requiring access arrangements;  Submitting requests for Special Consideration to Awarding Bodies;  Distributing details of exam results to candidates and departments;  Submitting requests for post results services to Awarding Bodies;  Organising and monitoring the distribution of exam certificates to candidates;  Use of SIMS database (full training will be provided);  Keeping up to date with new developments and changes to regulations;  Organising and running of external Cognitive Abilities Tests (CAT) as required;  Registering candidates for University Admissions Tests and organising and running tests as required;  Line Management of Examinations and Data Assistant.

3.2 Data Management

 Contribute to preparation of data analysis from results of AS/A2/BTEC/GCSE exams to report to SLT, Governors, newspapers and HCC with accurate % levels of achievements for the School.;  Liaise with Data Analyst to ensure prior attainment data is accurate and disseminated to teaching staff;  Liaise with Data Analyst regarding preparation and distribution of the Public Examinations Booklet.

3.3 In addition to the above:

 You are required to maintain and develop the Catholic character of the School in accordance with the direction given by the Governors and expressed in the Mission statement.  You are required to undertake particular duties as the Headteacher may reasonably direct from time to time.  You are responsible to the Assistant Headteacher (Pupil Achievement). 8 Additional Information

 The jobholder is required to contribute to and support the overall aims and Catholic ethos of the school.  The staff are required to participate in training and other learning activities, and in performance management and development, as required by the school’s policies and practice.
