ANNUAL GENERAL MEETING AGENDA

THE NEXT ANNUAL GENERAL MEETING WILL BE HELD ON WEDNESDAY 19 NOVEMBER 2014 AT CLUB RIVERS, 32 LITTLETON ST. RIVERWOOD AT THE CONCLUSION OF THE NOVEMBER COUNCIL MEETING.

BUSINESS

1. CONFIRMATION OF THE MINUTES OF THE ANNUAL GENERAL MEETING HELD 20 NOVEMBER 2013

2. CONSIDERATION AND ADOPTION OF THE ANNUAL REPORT AND AUDITED BALANCE SHEET FOR 2014

3. NOTICE OF MOTION Nominated By O’Bray Smith Club: Kyle Bay Seconded By Linda Free Club: Life Member Existing Clause CONSTITUTION (please state if the 17. EXECUTIVE COMMITTEE clause is Constitution, 17.2 The following Office Bearers shall be elected: By-Law, Rules/Policies i.e. BL 7.12 a) i) President ii) Vice President iii) Secretary iv) Treasurer v) Umpires Co-ordinator vi) Coaching Co-ordinator vii) Senior Competition Co-ordinator viii) Junior Competition Co-ordinator ix) Senior Representative Co-ordinator x) Junior Representative Co-ordinator xi) Night Competition Co-ordinator Proposed Insert and renumber amendments to 17.2 The following Office Bearers shall be elected: existing clause or i) President proposed new ii) Senior Vice President clause iii) Junior Vice President iv) Secretary v) Treasurer vi) Umpires Co-ordinator vii) Coaching Co-ordinator viii) Senior Competition Co-ordinator ix) Junior Competition Co-ordinator x) Senior Representative Co-ordinator xi) Junior Representative Co-ordinator xii) Night Competition Co-ordinator Rationale I wish to move that St. George DNA create a Senior Vice President and Junior Vice President role on the executive. I

Page 1 of 9 believe the role would function better split into two roles. This would allow the Senior Vice President to assist the President and Secretary in their roles and day to day running of the association, in addition take on the disciplinary matters and appeals which are currently handled by various other roles (secretary, umpires co-ordinator, president and Vice President). This executive member would be able to act up into the president role or secretary role in times of illness or holidays.

The Junior Vice President role would be responsible for fundraising efforts and alongside the Senior Vice President, manage grant applications. This role would also involve being on the financial committee and would perform a project management role for bigger projects such as lighting and courts resurfacing, the majority of this work would not necessitate a high presence on a Saturday but would require work behind the scenes. The most important aspect of this split would be the ability to not only share the load of work to another executive member, but also would allow for greater succession planning and encourage more people onto executive to learn how St. George works before taking on more complicated roles.

In previous year’s St. George has struggled to find people to fill such big executive roles as the roles are demanding and the learning curve steep. The splitting of these roles would allow a pathway onto executive that is not so demanding or ‘off putting’.
