Scheduling Group Transfers

Registration>Utilities > Transfer

This utility transfers a group of students who are at the highest grade level on a campus. The

high grade level at each campus should be transferred as a group to the next year campus for all

campuses in the district. This can be done more than once and it will only transfer students who

were not enrolled at the time the first transfer was performed. It is a good idea to run the group

transfer on the last day of school, or soon after, to transfer any student who enrolled after the

initial transfer was done.

Special program information is only loaded at the receiving campus if the special programs are offered there.

If a No Show student enters the receiving campus after the first day of school, the No Show record remains at the sending campus. If the student enters the receiving campus on the first day of school, the No Show record is deleted automatically from the sending campus.

Utilities > Transfer > Scheduling Transfer

1. The sending campus should be on the screen. There is a drop down menu to choose the receiving campus, i.e., the campus the students will be going to.

2. Check the box next to the grade level that will be transferring.

3. Do not check the box next to Match Next Year Campus unless there is more than one campus that they could go to and students have been assigned campus ids. Choose which options that you want transferred. Some are greyed out, meaning that option is not available to transfer.

4. Click on the Start button. Students who are group-transferred for scheduling purposes will have record status 3 at the sending campus and record status 4 at the next year campus. Usually, the record status 3 is not created in the next school year during MTGR. However, if a student with record status 3 has a year-end-status code of retained at the sending campus, the

Reverse Scheduling Transfer utility should be run to delete the student’s record at the next year campus. A next year schedule should be entered at the sending campus, which will create the retained student’s record at the sending campus for the next school year.
