September 2013 NAMI Membership Manager Insider Is Sent on the Third Monday of Each Month

September 2013 NAMI Membership Manager Insider is sent on the third Monday of each month to membership staff, all NAMI State Organizations and NAMI Affiliates, executive directors, state presidents and the NAMI board. If you know anyone who should be receiving this communication, please email their name, email address, position and affiliate. In this Issue:  Future Updates to the “Find Your Local NAMI” Pages  NAMI 360 Tips  Direct Deposits Available for Membership Dues  NAMI 360 Training Survey  NAMI 360 Training Schedule  Streamlined Process for Updating Memberships in NAMI 360  Presentation Available for NAMI State Organizations  Discuss What You’ve Read with the Information Services Team

Future Updates to the “Find Your Local NAMI” Pages A message from NAMI’s Web Migration Core Team Recently, NAMI sent out an update about some changes happening to NAMI.org as we prepare to migrate to a new website platform. In that email, we mentioned that eventually NAMI 360 users will be able to include additional information on your NAMI State Organization or NAMI Affiliate’s page in the “Find Your Local NAMI” section of the website. Future additions will include the ability to add your logo, having links to your social media channels, a “Welcome and Announcements” section, links to online membership and more. This information will be managed through the “Edit State/Affiliate Profile” section of NAMI 360. These changes are expected to happen sometime next year. At that point, we will provide additional training on how to use these new fields. If you have any questions about the changes happening on NAMI.org, you can contact NAMI’s Chief Information Officer, Jean-Michel Texier ([email protected]) or NAMI’s National Director of Communications, Katrina Gay ([email protected]).

NAMI 360 Tips Now that NAMI 360 has been available for over a year, here are some helpful reminders that will help you make the most out of this system: For NAMI State Organizations, changing the “Associated with” field on a person’s record does not transfer their existing membership. When NAMI State Organizations change the NAMI Affiliate listed under the “Associated with” field in NAMI 360, this does not transfer the membership on that person’s record. It will affect who is able to access that record – only the NAMI Affiliates listed under the “Associate with” field can see that person’s record. If you need to transfer a membership, please email us at [email protected] with the members’ information and the NAMI Affiliates involved. You can remove someone as a leader at your NAMI State Organization or NAMI Affiliate by entering an end date for their role. If you go to “Edit State/Affiliate Leaders” in NAMI 360 and click on “Edit Leader Role and Contact Information” under a leader’s name, you can enter an “End Date” for that person’s leadership role. This removes the person as a leader at your office but does not affect their record in the database. Search first before adding a new individual to your NAMI 360 data. This will help to prevent duplicates in the system. The best way to search is by the first letter of the first name and the first few letters of the last name in case something is misspelled or NAMI 360 lists someone with their full name instead of a nickname (ex., as James Smith instead of Jim Smith). If you do find more than one record for the same person—they have two or more different ID numbers—please contact [email protected] with each ID number and name on the records so we can merge those duplicates. In order to keep clean records, please do not overwrite the name on one record with someone else’s name. This can create a duplicate in the database or you could lose someone’s information completely. If you search for someone using the tips above but do not find them in your data, you can create a new record for that individual. Please only create records for individuals. If you try to add an organization or family through the NAMI 360 system, an individual record—not an organization record—is created. For example, do not put First Name: “Mental Health” Last Name: “Association”, or First Name: “The” Last Name: “Jones Family”. If we find these types of records, we will contact you for the correct individual name. When you create an individual record, you can enter the contact person’s name in the first and last name fields and then enter the organization’s name in the organization name field. Please note: the organization name field is meant to be used for the employer of the individual. You do not need to enter the name of your NAMI Affiliate here, unless they do work for your office, as any record you add to the system is automatically tied to your NAMI Affiliate. Please check future newsletters for more tips on using NAMI 360!

Reminder: Direct Deposits Available for Membership Dues If you are currently receiving your portion of membership dues through your NAMI State Organization, you can send us your bank account information in order to receive those monthly payments as direct deposits to your account. You only need to fill out our authorization form and send it to NAMI for us to send you your portion of membership dues each month directly. If you have questions about the monthly payments or for a copy of the form, please contact us at [email protected].

NAMI 360 Training Survey We currently have two NAMI 360 trainings scheduled for August. In order to help us determine what times and days of the week work best for the majority of people to attend a training, please fill out the quick survey below. NAMI 360 Training Survey For instructions on how to register for a NAMI 360 training, please see the “NAMI 360 Training Schedule” article below.

NAMI 360 Training Schedule NAMI 360 training began in late May 2012, and we have continued to hold multiple trainings each month since then. Training is mandatory in order to use the system. NAMI 360 users will need a unique email address in order to have their account set up and correctly linked to their record in the database. Please note: Only attendees who were pre-approved by their NAMI State Organization or NAMI Affiliate President or Executive Director will receive access to the system after the training. If multiple people at one office want to be trained, they will all need to register separately even if they are all interested in attending the same training in order to receive access. To sign up for a NAMI 360 training, please complete the following steps:  Click the training link provided here and select ONLY ONE training date and time*. NAMI 360 Online Trainings *Only a few sessions are posted at a time, so please check back if you do not see a time that works for you.  Complete the registration form. NAMI staff will contact your NAMI State Organization or NAMI Affiliate President or Executive Director for final approval.  Once your training registration has been approved*, you will receive an email confirmation containing a link to the training session. *PLEASE NOTE: If your registration is not approved, you will NOT be able to attend the training you signed up for. The training sessions for October will be posted soon. We will add additional sessions for October if there is a high demand.

Streamlined Process for Updating Memberships in NAMI 360 The “Add/Renew Membership” link on an individual’s profile in NAMI 360 has now been separated into two links to help you more easily differentiate between the processes of renewing an existing membership versus adding a new membership to an individual’s record. To renew an existing membership, go to the individual’s profile in NAMI 360 and click on the “Renew” link next to the membership that you would like to renew. The rest of the process is unchanged. To add a new membership to an individual’s profile, click on the “Add New Membership” link in the list of links on the upper right-hand side of their profile screen. You should use this link only if you need to add a membership to a record that does not already have one. The rest of the process is unchanged. If you use the “Add New Membership” link on a record that already has a membership, you will receive an error message when closing the eBatch. To correct this, remove the person from your eBatch and use the “Renew” link on their profile instead to update their membership.

NAMI 360 Presentation Available for NAMI State Organizations Some NAMI State Organizations have asked that NAMI provide a PowerPoint presentation on NAMI 360 for their statewide meetings and conferences. We now have a template with an overview of the system’s capabilities and of the membership process overall. If you are interested in adapting this presentation for your NAMI State Organization’s upcoming event, please contact us at [email protected].
