A transcript is a detailed account of examination results, i.e. a list of subjects, percentage awarded per subject, credits*, and overall result.
*credits only apply for students who attended since 2004
A parchment is official certification of the award, conferred by the awarding body. The parchment details the student name, the course title, and the overall result achieved. This is a legal document and should be retained.
How do I get a transcript of my results?
You can download a transcript request form here. You may also phone the Examinations Office - 090-6442547: 090 6442560 - or email [email protected] to request this form. There is a charge of €20 for the re-issue of a transcript – this fee covers all years requested. Your request must be accompanied by the relevant fee.
Can my parchment be re-issued?
The awarding body facilitates the re-issue of a parchment. There is normally a charge for this service. The first step is to identify the awarding body.
For awards conferred prior to Autumn 2004, applications should be directed to Quality and Qualifications Ireland (www.qqi.ie). QQI no longer re-issue parchments but can offer a Record of Awards, ie a full statement of all FET certificates and components and their grades. Please note, these are not reissued certificates. There is an administration fee of €15 for this service.
Under the Qualifications (Education & Training) Act 1999, from Autumn 2004 the majority of the Institute’s awards will be conferred by AIT under delegation of authority. Applications for re-issue of parchments in respect of awards conferred after Autumn 2004 should be forwarded to the Examinations Office of the Institute (telephone 090-6442547: 090 6442560 email: [email protected]). A fee of €65 currently applies.
Can I get a copy of my son’s/daughter’s results? Can a potential employer obtain a copy of my results?
In the case of a minor (under 18 years of age), details can be released to the parent or guardian.
In all other cases, the Institute cannot release details of individual examination results to any person other than the student in question. It is a legal requirement (under the Data Protection Act) that the Institute obtains a letter of release, signed by the student, approving the issue of his/her examination results to a named third party.
Can I get my examination results over the telephone?
No. Examination results cannot be communicated over the telephone.
How soon after my exams are finished can I get my results, and where?
Details regarding the release date of examination results are posted on notice boards within the Institute and on the Internet. Results can be accessed via the Institute website at www.ait.ie . Your student number is required, in addition to a pin number which will be sent to your student email address prior to the results being posted on the internet. A transcript of results is posted to the student at the address supplied by the student to the Institute. Please ensure that the address you have supplied to the Institute is correct.
Students with fees outstanding may not be able to access their examinations results.
My overall result is ‘exemptions granted’. Does this mean I have passed?
No. Exemptions granted applies to the subjects you have passed; it means you are exempted from having to re-sit these subjects. You will notice that EXE appears beside all the subjects you have successfully completed. An overall result of exemptions granted indicates that there are elements of the Programme which have not yet been completed.
How do I apply to repeat an examination?
A Repeat Examination Form will be posted to you with your results. In addition this form is available on request from the Examinations Office Institute (telephone 090-6442547: 090 6442560 email: [email protected]). This form must be completed and returned to the Examinations Office with the appropriate fee, currently €100.
Application for the Autumn repeat examination session must be completed online. The details of how to apply will be linked to your online transcript. The application window is generally at the end of June.
A late fee applies after the deadline.
Is the repeat examination fee applied per subject?
No. The repeat examination fee applies for entry to the relevant exam period/s, irrespective of the number of subjects to be repeated. I was unsuccessful in my exams in August and have to repeat a semester one exam and a semester two exam in the next academic year. I have only received one examination entry form. Do I have to apply for each semester separately?
No. This is the only occasion where one examination entry fee covers both semesters. Return your entry form with the appropriate fee (€100.00 before the closing date) and you will be registered for the exams for both semesters. Please remember to check the internet www.ait.ie for details of your exam timetables.
When will the exam timetables be available and where can I get them?
Timetables for Semester 1 will be available at www.ait.ie from 11th November Timetables for Semester 2 will be available at www.ait.ie from the first week in April Timetables for Autumn will be available at www.ait.ie from mid-July
I failed an exam in the Autumn sitting. Can I still apply to register for the next year of my course?
You should email [email protected] to request an application form to progress carrying a failed module. This must be approved by your Head of Department and returned to the Registration office. The following restrictions apply:
1. You must have attempted the repeat exam in August (exceptions must be approved by HoD.) 2. You may only carry forward one module 3. The module must be less than or equal to 10 credits 4. You cannot apply across award years - e.g: from a Higher Certificate to a Bachelor Degree. 5. A module can only be carried into the following year. e.g: first year to second year. 6. All applications must be approved by your head of department before being finalised. 7. The current fee to carry forward a module is €175.00. This fee is not covered by any grant.
PLEASE NOTE that should you decide to carry forward a subject, you will not need to pay the repeat examination entry fee, as this will be included in the ‘Progress and Carry’ fee. I have failed more than one exam and have too many credits to carry forward to the next year. Can I attend classes in addition to repeating?
You can apply to attend classes in the subjects you are repeating. You must complete a ‘Repeat and Attend’ form. This form is available from the Fees and Grants department of the Institute. This must be approved and signed by your Head of Department.
PLEASE NOTE that should you decide to Repeat and Attend, you will not need to pay the repeat examination entry fee, as this will be included in the ‘Repeat and Attend’ fee.
Can I appeal my examination results?
Yes. A request for appeal may be made in writing to the Registrar’s Office within five days of the issue of examination results. A fee applies per module. This is refundable if the appeal is successful. Contact [email protected] for information on appeals.
What is a deferral and how do I apply for one?
Students who defer their examinations sit them at the next available sitting. In general a certified absence is the only acceptable reason for deferring examinations. Application must be made to your Head of Department as soon as you are aware that you may need to defer to the next sitting. ATHLONE INSTITUTE OF TECHNOLOGY EXAMINATIONS DEPARTMENT
