August 18, 2017 Annual Members Meeting Announcement

Dear Member:

The Annual Members Meeting of Robinwood Home Owners Association is scheduled for September 19th 2017, beginning at 7:00 P.M. at the Texas A&M AgriLife Extension Center located at 9020 Airport Road Conroe Texas 77303- 4334. The meeting will take place in the Master Gardener building.

The agenda for the meeting is –

 Sign-in  Introductions  Establish Quorum  2016/2017 Year in review  2017 Financial Report  Election of Board of Directors  Open Forum  Adjournment

 Refreshments will be served

We hope you are able to attend the annual meeting. If not, you can vote by mail or email on the enclosed absentee ballot. If you would prefer to designate another owner to submit a proxy to vote on your behalf, you may also do that on the ballot attached (Option 2). Only this proxy form will be allowed for this meeting – if you hold a proxy collected for any other purpose, the owner must reassign the proxy using this form. For validation, every proxy or ballot must contain your signature.

You may vote in person at the meeting. In this event, just come to the meeting and we will hand you a ballot when you sign in. Alternatively, you may fully complete and sign the enclosed proxy and give it to the person who will be attending the meeting to vote on your behalf. If that person does not bring the proxy or does not attend the meeting, no vote will be cast for you. Or, you may complete the enclosed Absentee Ballot, sign it, and return it to the Association at 3500 W. Davis, Suite #190, Conroe, TX 77304, email to Shelly Peterson at [email protected], fax to 936-756-0023 or drop it off to IMC Property Management office.

We will need to receive your vote by Absentee Ballot due date – September 18th, 2017 at 5:00 PM to ensure that your vote is counted.

We need every property owner to submit a vote. Please participate!

We look forward to seeing you at the September 19th, 2017 meeting.

Option 1: To Vote in Person at the Meeting Just come to the meeting. We’ll hand you a ballot when you sign in.

Option 2: To Vote by Proxy Complete this section and give this page to the person who will be attending the meeting to vote on your behalf. If that person does not bring this page or does not attend the meeting, no vote will be cast for you. I appoint ______(print name of person who will vote for you) to act as my proxy for voting purposes at this meeting, and any adjournment thereof, and to cast my vote as he or she determines. Option 3: To Vote by Absentee Ballot Complete this section and return this page for receipt no later than 5:00 p.m. on Monday, September 18, 2017. You can send it by mail or fax to the address or number shown on the letterhead. If you would like to verify receipt, please call our office and ask to speak to the person accumulating ballots for this meeting, Shelly Peterson. Required language under Texas Property Code chapter 209.00593: By casting your vote via absentee ballot you will forgo the opportunity to consider and vote on any action from the floor on these proposals, if a meeting is held. This means that if there are amendments to these proposals your vote will not be counted on the final vote of these measures. If you desire to retain this ability, please attend any meeting in person. You may submit an absentee ballot and later choose to attend any meeting in person, in which case any in-person vote will prevail.

There are FIVE (5) positions available for election to the Board of Directors for Robinwood Home Owners Association. If you are interested in holding a position on the Board of Directors please list yourself as a write in candidate.
