Breast Cancer Campaign Job Description Job title National Events Manager Reporting to Head of Community and National Events Reports Two Location London Hours 37 hours per week Salary £34,345 Introduction Breast Cancer Campaign is in the midst of the most exciting period of its history; launching Europe’s first breast cancer tissue bank and developing the organisation’s stature and capability. In fundraising, we have a long history of successful corporate partnerships, events, community support and our supporters often have a uniquely close relationship and affinity with the cause. The Community and National Events functions are key parts of the fundraising department and deal with around 13,000 supporters every year. Building genuine relationships with our supporters is vital to our work as we fill places in mass participation events; facilitate individuals and groups, clubs and associations in organising their own events; manage volunteers across the country and continue this exemplary donor care when dealing with those giving in memory of others, or through a legacy. This area of fundraising has driven much of our growth over the years, but in this climate the risk and decline is most strongly felt in Community and National Events – and this is true across the entire charity sector. We must stand-out and build strong, long-term relationships with those who come to us, and once they participate in an event for us, we must develop relationships with them so that they stay with Campaign and continue to BE PART OF THE CURE. The analysis that informed the fundraising strategy of 2010 showed that despite functionally managing our activities and supporters well during their first interaction with the charity, we did not know sufficient information about them to plan, tailor and structure our communications based on ‘who they are’, and ‘why they support us’ to keep them loyal to the charity. We have started this work and it must continue over the next year, so that we better know not just who they are, but also the types of events and messages that they will respond best to. The National Events Manager will be responsible for overseeing the delivery of a new mass participation event that will be developed in 2011/12. Through this they will report into/be part of the New Product Development team consisting of heads of department who are tasked with taking the recommendations from the Fundraising Strategy Analysis, and the development of the brand/ stewardship work, to develop an event that supports the Campaign-wide strategy of supporter recruitment and development. They will also be responsible for delivering over £1 million in income through our running programme, treks and challenges via line management of two staff. Finally, as a member of the management team within the newly formed Community and National Events team, this post will contribute to the development of renewed organisational focus on this area of fundraising, and the management and use of volunteers to help deliver our events. This post has two direct reports, Event Executives, which run the day to day management of participants and suppliers of treks and challenges, running and participation events. We do this well and have a strong staff team and active and engaged groups of people doing events on our behalf. The post-holder will oversee the delivery of the events, and monitor and report to the head of department, by exception, on our key performance indicators (e.g. number of participants, pledges, average values, non-payer rates, etc). It is essential the post holder works closely across the organisation in particular with the Stewardship team to ensure we optimise opportunities to learn about our supporters and the Supporter Services team who will be integral to the supporter experience as they deal with initial enquiries for our events.  Managing, overseeing and delivering Breast Cancer Campaign’s portfolio of running and challenge events bringing in £1.1 million gross, within agreed expenditure budget and in line with supporter needs

 Work with the New Product Development project team on the delivery of a new mass participation event

 To work with the Head of Community and National Events and other managers to oversee, deliver and develop Campaign’s community and event fundraising and volunteer management

 Ensuring that appropriate and compliant risk assessment and health and safety procedures, protocols and policies are in place and implemented for all events, and managing staff and volunteers to ensure the safe and enjoyable delivery of the event for supporters.

 Line management of two Events Executives in line with Breast Cancer Campaign’s terms and conditions, and our wish to develop and value our workforce

 Hold weekly meetings with the team and regular updates with each direct report to monitor progress against the business plan, objectives and budget, and provide advice/ support to develop the portfolio and ensure each event is delivered to the highest possible standard

 To monitor and report against key metrics, such as enquirers, conversions, sign-ups, number of participants, pledges, average donation values, non-payer rates, etc

 To make any recommendations to streamline procedures within events, and (if agreed) to work with colleagues in Events, members of the Fundraising management team and managers in Supporter Services and Resources to implement

 To work with Head of Stewardship and Head of Supporter Services to ensure that we optimise opportunities to collect data, and learn about our supporters, to help develop effective stewardship for participants in our events and improve financial targets and lifetime value (LTV)

 To work across Breast Cancer Campaign to strategically embed a supporter-led approach across the organisation, as a means of achieving our organisational objectives

 To oversee the management of events contracts in accordance with Campaign’s procedures. This includes appointing, negotiating, reviewing and maintaining external specialist agencies as required to ensure effective working partnerships between Campaign and the agency

 Work with Head of Department to set budgets on areas under your responsibility

 To work closely with Supporter Services to provide and take responsibility for excellent customer care to maximise conversion, participation and timely paying of money including making sure all enquiries are dealt with promptly and appropriately and supporters are thanked promptly and appropriately  Full understanding, and acceptance, of need to work unsociable hours e.g. represent Campaign throughout the UK, attending evening or weekend events/meetings/conferences throughout the annual programme of activity

 Working with colleagues across the fundraising department advising on events and ensuring they support in regards to recruitment of our activities

Person Specification

A Deliverer: 1. A proven ability to deliver mass-participation events and a positive supporter experience– be they owned or others’ national events 2. Demonstrable proof of having managed a demanding and unpredictable workload 3. A demonstrable understanding of how to manage demanding supporters, event participants and last-minute emergencies or demands 4. Experience of supporting staff, and volunteers 5. Experience of personally delivering to defined and challenging goals 6. Experience of implementing successful marketing strategies across a range of areas including social media and e-marketing to deliver recruits to the charity and using it as a retention tool

Highly Numerate: 7. Experience of monitoring and delivering to a budget in excess of £1 million, and ability to report by exception on Key Performance Indicators (KPIs) 8. Ability to understand and make decisions on financial and other data and analysis 9. A demonstrably effective worker, able to create structure for others whilst managing a very varied and variable workload

Hours of work Staff are required to work 37 hours a week from 9.00am to 5.30pm Monday to Thursday and 9.00am to 5.00pm on Friday excluding an hour break for lunch each day. The Charity reserves the right to vary these normal hours of work.

Whilst every effort will be made to ensure that your workload does not require you to work beyond these hours you may from time to time be required to work any additional hours considered necessary to meet business needs.

Staff are not entitled to any payment in respect of any hours worked in excess of their normal weekly hours but the Charity operates a “time off in lieu” arrangement.

Annual leave Staff are entitled to 25 days holiday per calendar year rising to a maximum of 30 days after the following periods of service:
