Job Purpose Provide a short statement indicating the overall objective & purpose of the job.

To provide comprehensive co-ordination and administrative support for the Logistics Department on shifts.

Dimensions of Job/Key Performance Indicators Provide a summary of scope of operation of the job such as span of control direct/indirect, size of budget managed, scope of authority & decision making. Identify which KPI’s the job is directly/indirectly accountable for.

To provide an administrative service for up to 100 Drivers and 60 delivery vehicles.

Key Accountabilities Provide a list of the key elements of the job, that the job holder will be responsible for delivering (8-10 points)

1. At the start of shifts, to provide Drivers with all of the paperwork and equipment needed for them to carry out their duties.

2. At the end of shifts, to collect properly completed paperwork and all equipment from Drivers.

3. At the end of shifts, to complete an on-screen debriefing with Drivers and to input responses.

4. To despatch any faulty MDT equipment to suppliers and to ensure that returned MDT’s comply with Service Level Agreements (SLA’s).

5. To ensure that POD’s and associated processes comply with the Company’s Standard Operating Procedures (SOP’s).

6. To copy driving licences for all agency drivers and file when they have been checked by FLM.

7. To process all documents involved in compliance with transport and health and safety legislation, e.g. tachographs, Road Transport Directive, agency labour, RIDDOR and risk assessments.

8. To collate and process all standard reports (e.g. fuel management, VOR), as required.

9. To complete all other departmental administrative tasks (e.g. tachograph analysis, purchase order numbers, time & attendance system), as required.

10. To produce daily vehicle schedules utilising Routemaster.

Desirable  5 GCSEs at grade A*- C or equivalent  Previous experience in transport logistics operations  Knowledge of tachograph rules and regulations and Drivers Working Time Directive  Experience in the use of OPTAC system
