Procedures for Submitting Research Proposals to the Oregon Mint Commission

Procedures for Submitting Research Proposals and Progress Reports to the Oregon Mint Commission and the Mint Industry Research Council (MIRC) (see separate attachments for MIRC) – 2018-19

October OSU CAS Dean’s representative sends Request for Proposals (RFP) to all current and potential researchers. Dean’s representative also requests that all researchers funded the previous year prepare a detailed progress report.

November 15 Proposal Due Date  Preparation o Follow the proposal format provided later in this RFP o Create your proposal as a Word document and then save as a PDF - 10 MB maximum size. Do not include page numbers o OSU scientists – please include the signature page as the first page in your PDF but note that actual signatures are not required. Non-OSU scientist – a signature page is not required o Use the “save as” function in Word and save directly as a PDF. Please do not print and then scan the document to create a PDF unless this is your only preparation option o Review the PDF before submitting to be sure it is in acceptable format o Please use this naming convention when saving your proposal as a PDF– LASTNAME_OMC_ 2018-19_proposal. If you have two or more proposals, after the word “proposal,” add a one word descriptor such as _fertility, _genetics, etc.

 Submission deadline - 5 p.m. on November 15

 Submission to the Agricultural Research Foundation (ARF) o Go to http://agresearchfoundation.oregonstate.edu/webform/oregon-mint- commission-proposalreport o Enter your first and last name and email address o Upload your PDF proposal file o Meet submission date/time deadline

 Signature copy for OSU scientists – we will be using the OSU DocuSign system to secure needed signatures on proposals. If you as an OSU researcher have not signed up for this system, you must do so at http://is.oregonstate.edu/docusign ARF personnel will route proposals for signatures. You do not need to print a hard copy of the proposal and route for signatures but please be sure that you have accurately and fully completed your signature page. You will receive an email asking for you to electronically sign your proposal and will later receive a fully signed copy of your proposal from the DocuSign system.

 While not required, we would appreciated an email from you indicating that you have submitted a proposal through the web-form system. In this first year of use of these new systems, this is our failsafe. Please send an email to [email protected] November 15 Report Due Date

 2017-18 funded researchers must also submit their detailed progress reports by November 15

ARF collects and binds research proposals and forwards along with progress reports to the OMC. Researchers who submit a proposal for joint funding between OMC and MIRC should indicate separate budgeted amounts for the OMC and the MIRC in each proposal.

MIRC proposals are submitted directly by the researcher to MIRC.

November 15-January  OMC Research Committee considers research proposals.  MIRC considers proposals.

January All researchers who received funding the previous year are required to present an oral report at the Annual Mint Meeting scheduled for Jan 11 & 12 at Salishan Lodge in Gleneden Beach, OR if requested. Discussion of 2018-19 proposed research will occur the afternoon of Jan 10 (2 pm) as part of the OMC meeting scheduled for that day. Researchers who receive funding from MIRC are expected to present the results of their research at the Annual MIRC Meeting.

April Final approval for funding of research proposals is made by the OMC Research Committee. Contracts for funded research are developed with ARF and funds are made available by July 15. MIRC decisions are handled separately. Required ARF/OMC Proposal Format (this is not the MIRC format)

Use Arial 12 point, 1 inch margins, six-page maximum not including the signature page
