Westfield Theatre Boosters Meeting Minutes September 14, 2016

Call to Order Booster President, Tina Dempsey, welcomed everyone and meeting was called to order at 7:02 pm. Attendance for the meeting was 24 members. Meeting was adjourned at 7:50 pm.

Meeting Minutes June meeting minutes were approved.

Director’s Report – Rachel Harrington Johnson  Discussion of class requirements including syllabus, expectations, grading, focus on vocabulary. Had discussed news article on studying the arts with 3/4 class.

Thespian's Report – Kaley Haller  Focus on community service this year. Service projects to be done in conjunction with mainstages.  Discussed newly structured sibling program and sibling events: tailgate, pumpkin carving, gingerbread, valentine cards, spring fling, end of year send off.  CAPPIES critics interest meeting on September 19th.  Improv interest meeting on September 26th. Improv will be a club this year.

Committee Chair Openings – Tina Dempsey  Committee sign up list was circulated.

Membership Update – Paula Witt  Credit card payment for membership will be available through end of September only. Paper forms w/check will be used after that.

Treasurer's Report – Jennie Parker  All is in order.

Upcoming Events  Back to School Night is September 20th. Tina will assist Rachel.  CAPPIES critics interest meeting on September 19th. Needs 6 new members. Interested students will need to write sample review to submit by September 23rd. Discussion of CAPPIES process and events including WHS show, dinner for CAPPIES critics at our show, GIGS and BITS, and Gala.  Fall Cabaret – more Broadway oriented skits and songs. Need volunteer to chair Front of House for Booster Events (Tamara Russler). Auditions on Friday, September 16th. Rehearsals a few hours over next week, will be posted on FB.  Improv interest meeting on September 26th. Improv will be a club this year. Planning March Madness fundraiser.  Homecoming Parade/Tailgate – Thespians are taking the lead with banners (around the world in the theme). Linda and Holli will assist with banners and parade. Paula and Laurie Lewis are coordinating tailgate potluck.  Parent Coffee will be on October 15th, hosted by Julie LeVine.  Haunted House and Carnival – Holli and Cathy Kirby will coordinate. Need to determine interest meeting date for first week of October. Build will be on Thursday, October 20th. Rachel will solicit 2 students to direct HH and 2 students to direct carnival. Jennie needs help with publicity, distribution of elementary school flyers and A frames. Julie LeVine and Cathy Kirby volunteered. Suggestion to include some other schools – Coates and Floris.  Tempest rehearsals will mostly be 3:30 to 5:30 everyday. Changes posted to FB.

Spring Field Trip  Date changed to March 9-12  Destination is Chicago. Tour company working on putting together play, musical, and improv workshop for itinerary.

Spirit Wear  Looking at new items: blanket w/ logo, garment bag, robe. Might send out sign up for pre-orders to determine interest.  Investigate using an on-line store, similar to athletic boosters.  T shirt payments can be made this year w/ Paypal.
