SPECIAL PROVISIONS

1. These contracts are established to furnish Vehicle Maintenance Service for vehicles owned by State Agencies based in the Topeka, Kansas area.

2. Contract Period: Date of Award through June 30, 2014.

3. Payment: Payment may be made either with the State of Kansas Procurement Card (Currently “Visa”) or the “Wright Express” (WEX) fleet card (if the contractor will accept this card).

4. Prior to receiving service from a contractor, each State Agency shall contact the Contractor to establish an account and to establish the payment process. Agencies shall also provide to the Contractor a contact person and address to send monthly reports.

5. Each driver shall receive an invoice, which would clearly identify the service which was completed. The appropriate State Agency shall receive a monthly statement from the vendor. The statement shall identify all preventative maintenance service completed by vehicle number and invoice number. The Statement total must equal the sum of all of the invoices attached to the statement. All invoices must be signed by a State Employee associated with the work request. All invoices should display the vehicle number of the vehicle receiving service. Each invoice should have a unique identifying number.

6. At any time the State Agency may request that replaced parts be sent at the vendor’s expense to the State Agency for inspection.

7. All repair and maintenance work done outside the specified service will be at the labor rate and the time allocated for the job not to exceed the current Motor Labor Guide or other comparable industry recognized publication.

8. Drivers are expected to make an appointment prior to service and the vendor at the time shall indicate to the driver the amount of time he/she could expect the service to take and the cost of the work based on the contract pricing. The vendor shall schedule work within forty-eight (48) hours of notification. Work shall be completed within a reasonable time.

The vendor shall indicate on each invoice if an appointment was made and the “Time In” and “Time Out” for each vehicle serviced.

It should be understood that time may vary based on additional work that is discovered during the service work and that work done without an appointment could not be promised in the specified time period for the corresponding service.

9. Monthly Reports: Contractors shall provide to each agency a monthly report which at a minimum shows vehicle ID, date of service, type of service, invoice number, Invoice dollar total.

10. The Price Schedule provides pricing on several specific types of service as well as labor rates and parts discounts on other services for automobiles and light trucks. Also, firm fixed pricing may be required on additional services such as brake pad replacement, transmission fluid flush & fill, coolant system flush and fill, etc. Pricing includes all shop, disposal and any other type fees. Pricing Schedule

A. Oil Change service to include:

The engine oil to be drained from the crankcase and replaced with a quality energy conserving 10-W30 SG/CC motor oil.

The oil filter is to be replaced with a new one that meets or exceeds the manufacturer’s recommendations.

Chassis Lubrication

The tires are to be checked for proper air pressure.

A visual inspection for leakage, deterioration, or abnormal wear is to be made on the following components: drive belt(s), radiator and heater hoses, shock absorbers and/or McPherson struts, exhaust system, windshield washer. Levels are to be topped off where necessary.

All running and turning lights will be checked and any problems reported to the driver.

B. Tire Rotation:

Tires are to be rotated according to the pattern set forth in the vehicle owner’s manual.

$14.00 per service (all 4 tires)

No additional cost for inspection of all four brakes and components during rotation.

Additional cost for wheel bearing lubrication to include cleaning, inspection and repacking with quality energy conserving grease.
