MINUTES OF WAYS & MEANS COMMITTEE MEETING

HELD ON 8/13/13 AT NEW BRITAIN CITY HALL ROOM 504

Members Present: Peter Gostin (chair), Laura Hunt, Anne Marie Mastroianni , Betty Dennis , Mike Wyman, Sue Devokaitis , Sue Larsen (honorary) Members Absent: Lou DeCilio (excused), Joanne Jelenik, Tracy Mirsky (new appointment – Litchfield County), Kathy Grace (new appointment – New Haven County), Kristen Venditti (new appointment – New London County), Christine Magaldi-Lewis (new appointment – Tolland County), Melissa Russell (honorary – excused), Barbara Brenneman (honorary), Bob Sherman (honorary), George Cody (honorary)

Meeting commenced at 10:10 am. Members introduced themselves to one another and the following discussion points were taken up and decided upon for the September 12 – 13 Fall Conference:

a. Raffle Prizes –

1st Galaxy Note 8.0 (16GB, White)

2nd Visa Gift Card $200

3rd Garmin nuvi 50LM 5” GPS Navigator

4th Laptop Case

Tickets to be sold: 1 for $5 / 3 for $10 / 8 for $20

Winning ticket MUST be present (but not person)

b. Hotel Room Raffles – The committee reviewed the lunch raffle approach used at the Spring annual meeting (give away extra ROVAC rooms the same day as they would be used) and favored a different approach. Judi Beaudreau is to be contacted by Peter Gostin for advice on the following: Conduct a raffle prior to the Fall conference which would be limited to the names of those who’ve registered for the conference as of Friday August 30th. A $5 ticket purchase, separate from the conference fees and sent to Peter Gostin by September 6th, would be required for entry into the drawing. Judi Beaudreau would send out to the membership a separate informational e-mail (not included with all other conference materials) stating the opportunity for those attending the conference to win a free night’s room and to conduct the drawing at the end of the day Friday September 6th. Peter would inform Judi of all paid entries for the drawing on September 6th and, depending on the number of free rooms ROVAC is entitled to under the contract with the Crowne Plaza Hotel, the winner(s) names would be drawn and then notified by Judi.

c. Sales / Volunteer Schedule – leave time blocks loose and members will check-in at table regularly after each training class or during other times each day and will rotate tending to sales based on days in attendance at the conference, availability, and training class preferences.

d. All proceeds and/or net profits from all raffles to be turned into ROVAC Treasurer at the close of the conference and be deposited into the ROVAC checking account.

e. Merchandise Store: Lou Decilio was not present but indicated he would volunteer to investigate options for new merchandising approach (i.e ROVAC logo upgrade via third party design, overhead sample displays with website address links, individual ordering, etc.). The committee agreed to ask Lou to report back with his findings of options at the January 1, 2014 meeting . Depending upon Lou’s findings further action may be undertaken for implementation at the Spring 2014 Annual Meeting.

f. The next Ways & Means committee meeting will be held on Tuesday January 14, 2014 in New Britain city hall at 10:00 am.
