2. INTRODUCTION

Conventions

Throughout this guide the following conventions have been used:

AS/400 commands which are to be entered exactly as shown are displayed with a Bold typeface e.g. CHGLIBL LIBL(QTEMP)

Any commands which require a generic parameter to be substituted by specific parameter are displayed with a Normal Italic typeface enclosed within curly brackets e.g. {IRIS Data Library}, {Tape Device}.

Any AS/400 commands where a parameter needs to be entered where one does not exist are displayed in a Bold Italic typeface. This generally only occurs on AS/400 screen displays where the screen is initially displayed without a parameter and one is selected from a list e.g. *DEV *TAP

On AS/400 screens where the existing parameter requires amendment, the existing parameter is displayed in a Bold Italic typeface and is enclosed in curly brackets e.g. {XUNMSYS}. The value that needs to be substituted is given in the accompanying text.

3. OVERVIEW

IRIS Release Naming Convention

Because of the development of a GUI (Graphical User Interface) version of the IRIS database, it has become necessary to introduce a revised naming convention for the releases of the IRIS software. Previously the naming convention consisted of two parts:  a Version number and  a Release number For example IRIS 8.1.

With the introduction of the GUI version, the naming convention consists of three parts:  the GUI Version number,  the IRIS version number and  a Release number For example 4.9.1

The last required release of the IRIS software was version 8.14. The AS/400 8.14-001 ptf can only be applied to Version 8.14.

If the version of IRIS being used is earlier than 8.14 then the current version of the IRIS software needs to be upgraded to Version 8.14 before proceeding with this upgrade to Version 8.14-001. If you do not have the upgrade instructions or tape for version 8.14, then please contact either the Helpdesk (020 7780 5373) or your Account Manager.

IRIS Upgrade Applicability

This documentation refers to the installation of the upgrade to IRIS Version 8.14-001 of IRIS from Version 8.14.

The installation is achieved via a central menu, which is provided on the tape supplied. This method of operation promotes ease of use and reduces the possibility for error.

Please read the whole of this documentation thoroughly and decide on the various options presented before undertaking the upgrade installation.

4. EXPECTED TIME

To assist with the planning of this installation, estimates of the expected time are provided for each of the major sections of the installation. This includes the preparation time before the actual install is attempted. It should be emphasised that the times provided are only estimates. The processor size of the AS/400 and the quantity of the data within the IRIS database will affect the times stated below.

6. INSTALLATION PRE-REQUISITES

This upgrade installation has been prepared on the basis that the following conditions exist on your machine:

 The AS/400 is currently using Version 3 Release 2 or later of the operating system

 The person undertaking the Installation has authority equivalent to QSECOFR or QSECADM

 The User Profile E#UW exists on the AS/400 and has authority to the following commands: RSTLIB RSTOBJ RSTDLO.

If any of the above are either not true or are not available then the upgrade installation will not run. Please contact your Account Manager for guidance.

7. INSTALLATION REQUIREMENTS

Current Version of IRIS

This installation can only be applied to Version 8.14 of IRIS. The current version of IRIS can be found in Data Area ZZPFRZA0. If you are currently on V8.14 of IRIS, this data area should be set to ‘8.14’. The Data area can be accessed through the Data Area Manager option within IRIS. This option is found on the Housekeeping Menu. The data area can be found within the section entitled ‘General Data Area Maintenance’ and is entitled ‘IRIS Release Status’. In the past, this data area was not updated automatically when a system was upgraded, so unless it has been updated manually, it may be misleading. If you are at all unsure of the version you are currently on, please do not hesitate to call us.

Exclusivity

The upgrade installation cannot be applied if the IRIS system is in use. Please ensure that Users have been advised in advance of the intended date for the upgrade and that no Users are signed on to IRIS during the installation process.

8. INSTALLATION INSTRUCTIONS

General Instructions

Please note that all commands must be entered in upper case unless otherwise indicated. Sign on to the AS/400 using the profile E#UW. This profile must be used to ensure that the correct authority is used when applying Release V8.14-001.

Before the upgrade you should try to obtain a password for one of the User signons. This will be useful for checking accessibility to the IRIS system after the upgrade is completed.

The following section is a description of each of the menu options. This should be read before starting the upgrade on page 17 under the Pre-Installation procedures.

Conversion Menu

8.1 Conversion Menu Options

Option 1. Set Parameters / Data-areas This option allows the operator to enter the details of the conversion to be performed. These details are stored and used by the later options on the menu.

Option 2. Restore Upgrade Libraries This option restores all libraries necessary for the upgrade to Version 8.14-001 to your AS/400. The libraries are named according to the standard library naming convention (The naming standards are explained in the Appendix in section 20).

Option 3. End Journalling on Data Libraries Journalling is ended on the data library to be upgraded.

Option 4. Re-size Upgrade Files This routine re-sizes all the new or amended physical files being delivered. This ensures that they are big enough to receive all of the data currently held in the equivalent environment to be upgraded IRIS file.

Option 5. Upgrade Data Libraries This option upgrades the existing data library for the chosen environment on the AS/400 to version 8.14-001 of IRIS. All current data and data-area settings are retained. The parameters required for the option have already been entered under Option 1 - Set Parameters / Data Areas

If the error report contains one of the following error messages:  'Error occurred while converting IRIS files: see report for details.'  'Error occurred while adding members to currency file: see report for details.'  'Error occurred while deleting unwanted objects: see report for details.'  'Error occurred while running V14 fix programs: see report for details.'  'Error occurred while changing authorities to *ALL: see report for details.'  'Error occurred while updating MAXMBRS parameter: see report for details.'  'Error occurred while setting data area values: see report for details.' then the main data conversion has completed normally, but one of the additional conversion routines has failed. Menu option 5 - Upgrade Data Libraries can be re-run after the error has been corrected. The data conversion routine will continue from the point where the error occurred. The error report will be produced automatically on your spool queue and will help to determine the problem.

The upgrade can be re-started after any error that occurs during the Upgrade Data Libraries option has been corrected. It is not necessary to restore the AS/400 or start the whole upgrade again. The re-start is made available by re-running option 5 on the menu.

Option 6. Run Fix Programs This option calls the relevant fix programs to be run. There are some fix programs that are run automatically, but there are others that are not. You need to check the Fix program section on page 42 and follow the instructions.

Option 7. Restart Journaling Journaling is restarted for the (now upgraded) data library.

Option 8. Update Bureau Message Severities This resets the Bureau message severities back to your preferred values.

Option 9. Print Update Messages This option prints a report listing the current situation of the upgrade procedure, the upgraded library names and any outstanding tasks. The option can be run at any time to determine the status of the upgrade. It should be run if any of the options end abnormally.

Option 10. Display Upgrade Status Data-area This option displays the stage in the upgrade process that has been reached.

Option 11. Tools This is a menu consisting of various options designed to reduce the manual work involved in the upgrade. Details are below.

Option 12. Apply PTF to System Library This option should only be run if a PTF is being applied. For full releases, a new copy of the system library is restored from tape. For PTFs, changed programs need to be applied to the existing system library, so this option needs to be run. A parameter screen will be displayed for the system library to be entered. (e.g. XUNMSYT for a test upgrade, XUNMSYS for a live upgrade).

Conversion Tools Menu (CNVTOL)

This is a fairly new menu that has been added since the 6.12 release to try to reduce the amount of manual job submission for the user. The Menu is accessed from the standard conversion menu. The options on the menu need not be taken in sequence, i.e. one after the other, but are to be used as and when the manual states. It is important to note that these options will not run unless the parameters have been set for the upgrade. This is explained later in the manual.

Option 1. Set output queue of this job's spooled files to HOLD

It is recommended that this is run before you begin the upgrade to prevent reports printing automatically.

Option 2. Check Scope

This option will submit the integrity checking job, and can only be run if the parameters have been set. The parameters are set using option 1 from the main Conversion menu. (F12 back to this menu if you are currently in the ‘Cnvtol’ menu). You will be asked to enter the name of the data library, journal library etc, and these will be used throughout the upgrade. If files are detailed on the reports produced by the checking job, these will need to be deleted before the upgrade can take place.

Option 3. Check for Data Library Lock

This option will display any users locking the data library. It is essential that no-one is using the data whilst the upgrade takes place, so do not start the upgrade whilst there are locks shown here.

Option 4. Rename System Library (only after LIVE upgrade)

This is not relevant for PTFs.

Option 5. Set Print files to HOLD

This option will prevent all print files produced by IRIS from printing automatically.

Option 6. Copy Library List

This option will copy ZCSLREP which holds the information necessary for APD into the relevant system library.

DO NOT RUN THIS IF APPLYING A PTF

This is not relevant for PTFs.

Option 7. Release output queue of this job's spooled files

This option will release the output queue held by selecting option 1.

Option 8. Set Print files to not held

This option will reverse option 5 and allow all print files produced by IRIS reports to print automatically.

Option 9. Store Check Information before Upgrade

Running this option will store record counts for all files and hash totals from selected fields on selected files BEFORE the upgrade.

Option 10. Store Check Information after Upgrade

Running this option will store record counts for all files and hash totals from selected fields on selected files AFTER the upgrade.

Option 11. Run Upgrade Check

This option will run reports comparing the BEFORE and AFTER information stored from options 9 & 10.

Installation Application Strategy Options

Please note that it is important to decide on the strategy to be adopted when applying this upgrade in advance of undertaking the task.

The installation can be performed in a number of ways depending on your current set up and the intended objective. It is important to decide your preferred route in advance. The factors affecting the choice are detailed below.

8.2 Environment (Mode) The following options are available for the upgrade of the environments on your system.

Upgrade of Test Environment or Training Environment Upgrade of Live Environment

Your selection may depend on whether you intend to test the new installation prior to its release to general Users of the system for the live business activities

Places that hold library lists in the GUI/AS/400 (initial library lists/System administration) will have to be re-visited after a test upgrade has taken place, to reflect any changes in system libraries. Section 9 has some reminders of what may need to be changed.

Pre-Installation Procedures

Ensure you are signed on as E#UW.

8.3 IRIS Preparation Before the installation is applied a check must be made to ensure that all batch jobs have completed normally. To check a particular job queue, use the command:

WRKJOBQ QBATCH

In this example QBATCH is the job queue, but you can substitute this for your own specific queue.

It is strongly recommended that a closings update and post closings are run. Furthermore, any reports scheduled to run during or after the installation should be completed prior to this installation. If any jobs do not finish normally then the problem must be resolved before the installation is attempted.

8.4 Back-up IRIS System Before applying Release 8.14-001, it is imperative that the IRIS system is backed up. This will ensure that the system can be restored to its previous state should the installation fail or an unforeseen event occur whilst the implementation is taking place.

8.5 System Preparation (Live Environment only) The installation will proceed more quickly if the following subsystems are ended:  QSNADS  QBATCH

Note: These sub-systems can be ended for a LIVE upgrade, but NOT for a TEST upgrade, since it will affect Users of the LIVE system.

The subsystems can be ended one at a time using the following command: ENDSBS SBS({name of subsystem})

8.6 Delete SQL Packages

Please note that you need to delete the SQL packages for QGPL if you are upgrading a test or live system environment. In both test and live upgrades, users will have to be signed off whilst this deletion takes place. They will be able to sign back on to any environment not being upgraded straight after the deletion. For example, if you are upgrading the test system, users will be able to sign back on to live once the sql packages have been deleted.

8.7 Restoring XUNMTOOLS Firstly, you will need to remove your existing copy of the conversion tools library, XUNMTOOLS, from the library list. This will enable the existing library to be deleted. To remove the library from the library list type:

EDTLIBL

on a command line and press enter. This will display the libraries currently associated with your job. If XUNMTOOLS is displayed simply remove it from the list. Press enter twice to return to the previous screen.

You can either rename or delete your current version of XUNMTOOLS.

To delete the existing XUNMTOOLS library from the AS/400 enter the following command:

DLTLIB LIB(XUNMTOOLS)

If you receive the error message "Library XUNMTOOLS not found" as a result of the delete library command, then ignore it.

To rename the existing XUNMTOOLS, enter the following command:

RNMOBJ OBJ(XUNMTOOLS) OBJTYPE(*LIB) NEWOBJ(XUNMTOO014)

Having deleted/renamed the library, the version of the XUNMTOOLS library on the tape can now be restored onto your computer.

Place the tape into the AS/400 tape drive and restore the conversion tools library, XUNMTOOLS, from the tape onto the AS/400, making sure you leave the tape in the drive when it has finished.

The command is

RSTLIB SAVLIB(XUNMTOOLS) DEV({TAP01}) SEQNBR(1) ENDOPT(*REWIND)

Change TAP01 for the tape device name on your AS/400. If you are unsure of the tape drive to use, follow the instructions below headed ‘Identifying the tape drive’.

The message 'Security or data format changes occurred' may be received as a result of this command. Scroll down on the message. If there is an additional message stating that '0 objects not restored', then the upgrade may be continued.

Identifying the tape drive (only read if you are unsure of the tape drive to use)

If you do not know which device name to enter, use the following command:

WRKCFGSTS (Prompt the command by pressing F4)

Amend the screen displayed over the page to reflect that below and press enter twice: Work with Configuration Status (WRKCFGSTS)

Type choices, press Enter.

This will produce a list of device drives and their status.

If more than one tape drive is listed, you need to determine which drive your tape is actually in. The following command can be used to see what is in each of the tape drives. By repeating the command for each one, you will see which drive the IRIS tape is in:

Enter the name of each of the tape devices. Continue to press enter until a field called ‘Volume id’ is in view. For the correct tape device this will have a description of ‘IRIS’. Once you have found the correct drive, there is no need to continue checking the remaining drives.

8.8 Begin Upgrading IRIS to 8.14-001

Take each option in turn and follow the instructions detailed below. You will not be able to continue with the next option until the previous one has completed successfully.

8.8.1 Option 1: Set Parameters / DataAreas This is the first and most important menu option in the upgrade. This screen initialises all the parameters used by the upgrade during its course. It is the only menu option in the installation process where information must be entered, and this must be done before any other options can be run.

version of IRIS that you wish to upgrade. IRIS Data Library to Upgrade Enter the name of the current IRIS data library for the version of IRIS that you wish to upgrade. IRIS Journal Library: Enter the name of the current IRIS Journal Library to be upgraded. Note each Environment (see below) has its own Journal Library. The correct Journal Library must be associated with the correct Environment. Statements Data Library: Enter the name of the current IRIS Outward Statements data library that you wish to upgrade. No action will be taken if the Outward Statements module is not installed. Note: The upgrade to V8.14-001 does not require the Statements library to be upgraded. Please ensure this parameter is left blank.

Test / Train / Live Environment: State the type of environment that you are converting i.e.  TST for Test, or  TRN for Train, or  LVE for Live

Device: State the device name of the tape drive.

Current IRIS Version: State your current version of IRIS. (see data area ZZPFRZA0). The program default is 014 New IRIS Version State the AS/400 version of IRIS to be upgraded to. The program default is 141 (V8.14-001)

If you are unsure of the library names, the IRIS standard naming conventions can be found in the Appendix in section 20.

8.8.2 Integrity Checks/Database Locks

Run option 1 from the CNVTOL menu (under option 11 from the Conversion menu) to hold the output queue where any spool files that are produced by the upgrade will be sent, thus preventing them from printing automatically.

Run option 3 from the CNVTOL menu (under option 11 from the Conversion menu) to check that no-one is signed on and using the environment to be upgraded. If users are found to be locking anything, it is imperative that they sign off.

The integrity check job can now be submitted. Run option 2 from the CNVTOL menu (under option 11 from the Conversion menu) to submit the integrity checking jobs.

The following jobs are submitted to batch. Reports are produced which detail any errors.

The routine checks that the scoping of the database is consistent. All database relations (logical and physical files) must exist in the same data library. If this is not the case, then errors may occur during the delivery routines. Errors are detailed on two reports:  Bad physical files are ones which have logicals scoped over them from outside the data library  Bad logical files are ones that are scoped over physical files that exist outside the data library.

You can see the output produced by typing the following command:

WRKSPLF

If there are any files listed in these reports, they will have to be deleted before the upgrade can go ahead.

8.8.3 Store Check Information before the Upgrade Run option 9 from the CNVTOL menu (under option 11 from the Conversion menu).

This will produce data in two output files in XUNMTOOLS which will then be used by the next option to produce a checking report.

Continue by taking the following options from the main Conversion menu:

8.8.4 Option 2: Restore Upgrade Libraries Take option 2 and press enter from the main Conversion menu. There are no parameters to enter.

NB. If the upgrade libraries have already been restored then this option can be bypassed. Instead run the command:

CHGDTAARA DTAARA(UPGSTATUS) VALUE('2')

8.8.5 Option 3: End Journalling on Upgrade Libraries Take option 3 and press enter from the main Conversion menu. There are no parameters to enter.

8.8.6 Option 4: Re-size Upgrade Files Take option 4 and press enter from the main Conversion menu. There are no parameters to enter.

8.8.7 Option 5: Upgrade Data Libraries Take option 5 and press enter from the main Conversion menu. There are no parameters to enter.

8.8.8 Option 6: Run Fix Programs Take option 6 and press enter from the main Conversion menu. There are no parameters to enter. Refer to the Fix program section on p42, for details of fix programs you may need to run. (It is important you look at this section and run any fix programs required at this point).

8.8.9 Option 7: Restart Journalling Take option 7 and press enter from the main Conversion menu. There are no parameters to enter.

8.8.10 Option 8: Update Bureau Message Severities For a PTF, before taking option 8, make sure that the name of the software library you are upgrading is in your library list. For a live upgrade, this will be XUNMSYS. There is no need to do this for a full release. You need to do this for this installation.

Take option 8 and press enter from the main Conversion menu. There are no parameters to enter. You must do this for both a PTF and a full upgrade.

8.8.11 Option 9: Print Upgrade Messages Take option 9 and press enter from the main Conversion menu. There are no parameters to enter.

8.8.12 Option 12: Apply PTF to System Library This option should only be run if a PTF is being applied. For full releases, a new copy of the system library is restored from tape. For PTFs, changed programs need to be applied to the existing system library, so this option needs to be run. A parameter screen will be displayed for the system library to be entered. (e.g. XUNMSYT for a test upgrade, XUNMSYS for a live upgrade).

8.8.13 Copy APD Library List Definitions to delivered System Library

This option does not need to be run for this particular release.

This option only needs to be run if APD menus are installed.

This option should only be run if a full release is being installed. For full releases, a new copy of the system library is restored from tape. The APD library list definitions need to be copied from the current system library into the new copy of the system library.

Run option 6 from the CNVTOL menu (under option 11 from the Conversion menu) to copy ZCSLREP into the new copy of the system library.

8.8.14 Rename System Library

This option does not need to be run for this particular release.

This option should only be run if a full release is being installed to the Live environment. For full releases, a new copy of the system library is restored from tape. It is named with a suffix indicating its release. The current XUNMSYS must be renamed and given a suffix and then the new library must be renamed to be XUNMSYS.

Run option 4 from the CNVTOL menu (under option 11 from the Conversion menu) to carry out these system library renames.

8.8.15 Store Check Information after the Upgrade Run option 10 from the CNVTOL menu (under option 11 from the Conversion menu).

This will produce data in two output files in XUNMTOOLS which will then be used by the next option to produce a checking report.

8.8.16 Run Upgrade Check Run option 11 from the CNVTOL menu (under option 11 from the Conversion menu). This will run a report to check the details from before the upgrade against the details from after the upgrade.

This will produce reports on your spool queue. You can access these by typing the following command:

WRKSPLF

Pressing F11 will show you the date and time of each spool file, so you should be able to identify this report.

The upgrade is now complete. The remainder of the document still needs to be read and followed, as there may be client specific changes to be made.

9. SYSTEM LIBRARY CHANGES

If the Test system is being upgraded and a new system library has been created:

The system library specified in ‘Sys Admin’ for the Test system, will need to be amended.

The following is also required (reminded again later in section 12)

- The library defined in ‘Sys Admin’ must be changed to XUNMSYT (or whichever library name you are using) - DRPSTP will need to be run - CRTSTP will need to be run

If XGIS are performing the upgrade on behalf of a client, remember to remind them to do this.

11. USER DEFINED QUERIES

It is important to realise that any Queries that use a file or files that have been changed by this Installation, need to be recompiled. This can be achieved by taking Option 2 - ‘Amend’ against the particular query and, without changing it, press F3 to exit and save the query program. This will ensure that the file changes are saved into the query.

12. POST UPGRADE PROCEDURES

Set Printer Files to HOLD if required (only run after a live upgrade) Some clients like to have all their IRIS printer files set so that spooled-files are created in a HLD (held) status, instead of the normal default, which is RLS (released). Following an IRIS upgrade you can run option 5 from the CNVTOL menu. If your requirements change and you subsequently wish the files to be created in a RDY state, you can run option 8 from the CNVTOL menu.

Bureau Issues if System Library has changed If a client keeps different versions of the system library (HIH), you will have to change the following to record the new system library:

Jobd – DOWNLOAD in whichever library it’s held (replace old system library in list) Dtaara - UTLLRYAS and UTPSRSAS in XUNMDTA (replace old system library)

Stored Procedures build for GUI The GUI system uses stored procedures that get built as part of the upgrade. This build takes note of the data library and system library.

The stored procedures should be built with the correct data and system library.

Use the following command:

DRPSTP (press F4 to prompt)

Type in the relevant data library (XUNMDTT) and press enter.

CRTSTP (press F4 to prompt)

Type in the relevant data library (XUNMDTT) and system library (XUNMSYS013) and press enter.

NB. The above names are examples of standard library names.

Authority Changes Run the following command to ensure that all files have the appropriate authority. You will need to substitute the data library for the name of your data library:

CHGAUTALL DTALIB(XUNMDTT) and press enter.

Data Areas The GUI data area values need to be synchronised with the actual AS/400 data area values. You need to run the following two commands:

CALL PGM(UCDATAC0) PARM('XUNMDT*' '*YES' *REPLACE) CALL PGM(UCDATAC1) PARM('XUNMDT*' *YES)

Replacing XUNMDT* in both commands with the name of the actual library that you want to synchronise the data areas in.

(The 1st program builds a list of data areas in the file UCDOREP and the 2nd program retrieves the value for each data area and writes it out to the file UCDTREP)

Installation checks Following the installation of the upgrade and before Users are allowed back onto the system, it is recommended that the following checks are made:

1. Go into Closings Update as far as the submit screen but do not submit the report. 2. Go into Policy Enquiry. 3. Sign-on with a User’s password and repeat checks under 1 and 2.

Contact XGIS Once the upgrade is complete you should contact the IRIS Helpdesk to inform us that your Test / Live system is now on version 8.14-001 of IRIS. This will enable us to update our IRIS Support customer records. e-mail: [email protected]

The above programs have been written to deal with the following changes:

SN300060370/5537 Bureau Closings Settlement Dates

Fix program FUTO6R00 populates O6SMDT on UTO6REP from the settlement date on UTO1REP or the instalment due date on UTO6REP, depending on whether the closing is for an instalment or not.

The program is called as follows:

300079270/5596 Member Response Date is incorrect

The Member Response Date on Bureau Claims was being translated incorrectly from the message, e.g. a date of 10/03/2005 was being translated as 10/03/1905.

The fix program has been created to correct any invalid Member Response Dates on the Bureau Claims log files.

It is recommended that the History rebuild be run.

SN300050588/5556 Auto-allocate doesn't match items

The fix program FUTHCR00 was created to fix UTHCREP (Bureau Settlement Details) & UTSTREP (Bureau Settlement Status). The fix is required if GUI Manual Allocations is used, since this function was missing some processing to update the files. The fix marks Bureau generated cash as reconciled if it has been fully allocated.

To run the fix, enter the command 'CALL FUTHCR00'

Library Naming Convention

The following explanation provides details of the standard IRIS naming conventions. Variation does occur owing to clients’ requirements. There may be more than one ‘live’ environment for example

The naming convention is based on the MODE parameter of the conversion. The options available for MODE are TST, TRN and LVE.

All library names can be broken down into 3 distinct parts; the prefix, the middle and the extension.

The IRIS module being converted determines the library prefix. The prefixes are:  XUNM for IRIS,  XXOS for statements

The type of library and the environment determines the middle part of the library name For the program source libraries the middle three letters are for example:  SRC equates to the ‘Live’ environment source

For data libraries:  DTA equates to the ‘Live’ environment data

For the system library the middle three letters are  SYS equates to the ‘Live’ environment

In all instances the last letter of the three indicates the environment:  T equates to the ‘Test’ environment  R equates to the ‘Training’ environment

Please note that ‘Test‘ and ‘Training’ environments are optional and may not exist on your AS/400.

A slightly different convention follows for a journal library. The middle 3 characters are:  AJN If it is for the live environment LVE.  AJT If the mode is TST  AJR If it is TRN

Note that if you rename a data library after the conversion, then certain data areas require resetting to reflect the new library name. See the data area manual for further details
