This checklist is designed to help Rotary club presidents-elect and presidents plan and monitor club activities on a monthly basis. It also serves as a monthly reminder of activities and deadlines that apply to all Rotary clubs.

Read the entire checklist to gain an overall perspective of the next 18 months.

Encourage your board members to attend RLI seminars: August Georgetown, Grand Cayman September Road Town, Tortola October Providenciales, Turks & Caicos October Phillipsburg, Sint Maarten November Kingston, Jamaica January Charlotte Amalie, St. Thomas February Nassau, Bahamas January 2010 (President-elect) – January is Rotary Awareness Month

 Begin developing goals and appointing committee chairs.

 Begin preparing for next year’s club budget and reviewing the status of continuing club projects.

 Encourage all incoming club officers and new members to attend the district conference.

 Check with District Rotary Foundation Chair to determine the availability of DDF to support Ambassadorial Scholarships, etc.

 Check with the District Scholarships Subcommittee Chair to determine the district deadline to submit Educational Programs applications.

 Educate the club about the Ambassadorial Scholarships & other Scholarships programs and promote them in your community.

 Identify and recruit a public relations (PR) chairperson and committee for the club.

 Obtain Rotary Foundation contribution and recognition reports from current club leaders

February 2010 (President-elect) – February is World Understanding Month

 Register: PETS (President-elect Training Seminar) – Kingston, Jamaica May 4th-8th, 2010

 Leadership Team: Meet with your new board members and begin to appoint committee chairs, committee members, and service directors for your year.

 Goals: Continue to finalize club goals.

 Register: Rotary International Convention in Montreal, Canada June 20-23, 2010

 Club Budget: With appropriate board members and key committee chairs, set up your preliminary operating and charitable budgets for the year.

 Encourage all incoming club officers and new members to attend the district conference.

 23 February: Promote the Foundation Benefactor program as a way to build a brighter future for TRF’s programs on Rotary’s birthday.

 Obtain contribution and recognition reports from current club leaders.

 Read the Club President’s Workbook and the Club Committee Manuals from RI

March 2010 (President-elect) – March is Literacy Month

 Register: PETS (President-elect Training Seminar) – Kingston, Jamaica May 4th-8th, 2010

 Register: Rotary International Convention in Montreal, Canada – June 20-23, 2010

 Review Important Documents: Club By-laws, District Administration Guide, RI Manual of Procedure, and District Directory (Handbook)  Attendance at Pre-PETS Webinar/Seminar organized by your Assistant Governor (mandatory for all board members)

 Club Leadership: Finish appointing committee chairs and committee members.

 Complete Planning Guide for Effective Rotary Clubs

 Plan to complete survey to select Matching Grant Project

 Set the club’s annual giving goal to The Rotary Foundation, taking into account the “Every Rotarian Every Year” campaign

 Contact Governor-elect to confirm Group Study Exchange (GSE) pairing for the coming year. Begin promoting GSE program within the club and encourage Rotarians to recruit potential GSE team member candidates and/or consider applying for the position of GSE team leader (Sint Maarten/St. Martin and Haiti)

 Encourage the PR committee to develop a PR plan for the next Rotary year.

 Work with the current club president to ensure PR Award and Best Cooperative Projects Award applications have been submitted to the Governor.

April 2010 (President-elect) – April is magazine Month

 Goals: With appropriate board members and committee chairs, develop realistic club goals and objectives for your year. Be sure to pay attention to the district goals and incorporate them into club’s goals.

 Complete and review with AG The Planning Guide for Effective Rotary Clubs and submit final to your AG by April 30

 Finalize Matching Grant application for submission at PETS and Assy.

 Membership Development: Start membership drive NOW to ensure a focus on club membership growth in 2010-11 ; every president must bring in a new member.

 Nominate an Ambassadorial Scholar from your area or college – DUE DATE: July 1, 2010

 Register: PETS (President-elect Training Seminar) – Kingston, Jamaica May 4th-8th, 2010

 Register: Rotary International Convention in Montreal, Canada – June 20-23, 2010

 Submit your Fund Development Club Goal Report form to your District Governor-elect by 1 May, 2010

 Ask the PR chair to finalize the PR plan for the club, and identify key local media contacts.

 Obtain contribution and recognition reports from current club leaders.

May 2010 (President-elect)

 Club Assembly/BOD: May or June: Meet with your Assistant Governor and board of directors to present and discuss plans and objectives for your year.

 Make plans to attend the District Installation for all Club Presidents to be installed by RI President, Ray Klinginsmith on July 3 in St. Thomas

 Goals: Finalize club goals and objectives for your year. Be sure to pay attention to the district goals and incorporate them into club’s goals. Confer with committee chairs to assure progress toward the club’s goals. Since they were a part of the committee setting the goals, they should already be on board.  Attend PETS, Assy. and Conference – Kingston, Jamaica May 4-8, 2010

 Register: Rotary International Convention in Montreal, Canada – June 20-23, 2010

 Review Presidential Citation requirements and District Award’s standards and requirements.

 Club Budget: With appropriate board members and committee chairs finalize your operating and charitable budget for the year.

 Confer with the secretary and incoming secretary to update the RI membership database via the web, (www.rotary.org/en/selfservice ), on or before 1 June, so that the July semiannual report (SAR) from Rotary International will be up-to-date and accurate. Ask the PR chair to develop a list of prospective media contacts and an outreach calendar based on the PR plan. Ask the PR chair to order PR promotional materials including This is Rotary(#001) and What’s Rotary (#419) for distribution to the media as may be needed.

 Obtain contribution and recognition reports from current club leaders.

 Remind Treasurer to send out invoices to members for Club dues

June 2010 (President-elect)

 Make plans to attend the District Installation for all Club Presidents to be installed by RI President, Ray Klinginsmith on July 3 in St. Thomas

 Club Assembly/BOD: Meet with your Assistant Governor and discuss plans and objectives for your year.

 Rotaract District Conference June 4-8, 2010 – Negril, Jamaica

 Rotary Club’s Report to District Governor: DUE to DGE Diana White June 15 – 30, 2010. Report Format: Report should include Plans & Objectives for the Year- Commitment Letters from President, BOD and Committee Chairs-Club Budget-Club Roster-Club History-etc.

 Club Roster: Update your Club Roster to ensure that only current, participating members are listed prior to July 1, 2010 when the RI Semiannual Report will be updated and sent with DUES to Rotary International.

 Awards & Recognition Presentation & Induction Ceremony for BOD 2010-2011: You are presented the President’s Pin and Rotary Club Meeting Gavel. Share with the Club your vision and expectations for Rotary service during the coming year. Invite local media to Induction Ceremony.

 Recognition: Work with outgoing club president on recognition of outgoing officers and board members.

 Attendance: Recognize those members with perfect attendance.

 DG Official Visit: Notify club of the date of the District Governor’s Official Rotary Club Visit.

 MAIL: Open, read and take prompt action on all RI and District MAIL.

 Reports: Meet with your club secretary and membership chair to coordinate reporting each area of responsibility in a timely manner as required.

 RC BOD Joint Meeting: Working with current Club President, consider having your incoming 2010-2011 Board of Directors have a joint meeting with the outgoing 2009-2010 Board of Directors.

 Attend the Rotary International Convention Montreal, Canada – June 20-23, 2010  Consult with the secretary and incoming secretary to update the RI membership database via the web, (www.rotary.org/en/selfservice ), on or before 1 June, so that the July semi-annual report (SAR) from Rotary International will be up-to-date and accurate.

 Finalize the club budget for the coming year.

 Finalize Rotary Foundation contribution goals for the coming year

 Confer with the outgoing president to ensure a smooth transition.

 Ask the PR chair to promote new club officers to local media contacts

 1 June: Review interim Monthly Contribution Report (MCR) toward 100% of Annual Programs Fund goal achievement. Ensure that all contributions are sent in by 15 June to be credited in the current Rotary year.

 Ambassadorial Scholarship Applications– DUE DATE: July 1, 2010

July 2010 (President) – July is Literacy Month

 Attend the District Installation for all Club Presidents to be installed by RI President, Ray Klinginsmith on July 3 in St. Thomas

 Remind Club Treasurer: MAIL Semiannual Per Capita Dues for each of your members to Rotary International. MAIL District 7020 Dues to District 7020 Treasurer. DUE DATE: July 1, 2010. Send a copy of current Club Roster Report to Rotary International and D7020 Office Manager.

 Club Administration: Club Officer Data / Club Membership Data / Rotary Foundation CRS RI Website: www.rotary.org - Link in Member Access In order to use Member Access, club presidents and secretaries will first need to register. For more information about Member Access, visit the E-Learning Center to view a self-paced presentation.

 Attendance & Membership Report: File with the District Secretary /CC: District Governor. The Attendance Report is due 5 days after your last monthly meeting as per RI Bylaws article .20100. The Membership Report is due at the same time as the Attendance Report.

 RC BOD Meeting: Hold board meeting each month. Plan time of monthly board meeting for coming year. Quarterly review of club goals.

 District Dates: Notify all appropriate board members and chairs of all district function dates.

 Introduce your Assistant Governor and invite him/her to make remarks to the club on district activities.

 President’s Council Meeting; Attend with your Assistant Governor.

 Ambassadorial Scholarship Applications– DUE DATE: July 1, 2010

 District Goals: Review the district goals with your board.

 Four Avenues of Service Citation: Club nominates one candidate for this citation. Club president endorses the nomination and submits to Rotary International. DEADLINE – On-going Rolling Basis

 RI Membership Development & Extension Award MDEA: Time Frame - July 1, 2010 – May 15, 2011. District Governor will report Club winners to RI after May 15, 2011

 Promote & Register: District Conference in St. Thomas, USVI – April 4-9, 2011  Promote & Register: Rotary International Convention in New Orleans, USA – May 22-25, 2011

 Plan and conduct monthly board meeting.

 Initiate membership development programs for the year & Review current RI sponsored membership development certificate programs.

 Plan and conduct a club assembly to discuss and adopt the year’s program. Affirm goals set for the club’s participation in Rotary Foundation programs.

 Ensure that the semi-annual report (SAR) has been received by the club secretary. Work with the secretary to complete the SAR and send with dues to RI. Submit district per capita dues, if applicable. A past-due reminder notice will be sent on 1 October if RI dues have not yet been paid.

 Begin submitting applications for Matching Grants and proposals for Health, Hunger and Humanity (3-H) Grants. Although the deadline for submission is not until 31 March, clubs are strongly encouraged to submit their applications as early as possible during the year

 Update classification roster. Prepare current list of filled and unfilled classifications. Contact the District GSE Chair to confirm deadlines for submitting GSE team member/leader applications for district GSE selections. Recruit young professionals between the ages of 25-40 and encourage qualified candidates to submit a GSE Team Member Application. (If appropriate) *

 Rotary World Peace Fellowships: applications due to The Rotary Foundation from districts by 1 July.*

 Lead by example and encourage every Rotarian to make a personal contribution to The Rotary Foundation at the first meeting of the new year or in the month of July.*

 Log on to Member Access and download TRF contribution and recognition reports.*

 Ask the PR chair to promote the club as planned

August 2010(President) – August is Membership and Extension Month

 The Rotary Foundation Seminar: Finalize plans for your Foundation leadership team to attend TRF Seminar (TBA)

 Attendance Report: Each club shall forward monthly Attendance reports of its meetings to the District Secretary / District Governor within 5 days of the last meeting of each month.

 President’s Council Meeting: Attend with your Assistant Governor.

 Membership: Check membership progress – make adjustments to your membership growth plan as needed.

 Promote & Register: District Conference in St. Thomas, USVI – April 4-9, 2011

 Promote & Register: Rotary International Convention in New Orleans, USA – May 22-25, 2011

 Plan and conduct monthly board meeting.

 Consider nominating a club member for one of these service awards from The Rotary Foundation: District Service Award, Citation for Meritorious Service, or Distinguished Service Award. *

 1 August – Deadline for submitting Competitive Matching Grant Applications for consideration at the October Trustee Meeting* Ask the PR chair to promote club as planned – including any literacy projects for 8 September, International Literacy Day.

 Log on to Member Access and download TRF contribution and recognition reports.*  Plan for New Generations Month in September

September 2010(President) – September is New Generations Month

 Plan for Vocational Service Month in October.

 Monitor membership development initiatives and goals. Ambassadorial Scholarships applications due to The Rotary Foundation from districts by 1 October. *

 Plan activities for Rotary Foundation Month in November.

 Remind Treasurer: Mail Rotary Foundation Annual Giving contributions to RI for First Quarter.

 Register: Interact Officers and Sponsor plus Rotary Youth Director/Chair to attend Interact Leadership Training Meeting (TBA)

 Attendance Report: Each club shall forward monthly Attendance reports of its meetings to the District Secretary / District Governor within 5 days of the last meeting of each month.

 Promote & Register: District Conference in St. Thomas, USVI – April 4-9, 2011

 Promote & Register: Rotary International Convention in New Orleans, USA – May 22-25, 2011

 President’s Council Meeting: Attend with your Assistant Governor.

 Invite Interactors and Rotaractors to meeting as part of New Generations Month.

 Sponsor Rotaractors to Rotaract PETS.

 Plan and conduct monthly board meeting.

 Highlight and promote youth-related activities and programs and celebrate club success in Interact, Rotaract, RYLA and Youth Exchange programs.

 Submit a club project in need of funding, volunteers, donated goods and/or partners for a Rotary Foundation Matching Grant, or completed projects that can be used as examples of best practices to be posted on Project LINK, RI’s online searchable database.*

 Monitor membership development initiatives and goals.

 Endorse qualified GSE team members’ applications and submit them to the district GSE selection committee by their deadline for consideration. *

 Ask the PR chair to promote club as planned – including any polio efforts for 24 October, World Polio Day.

 Obtain and review Monthly Contribution Report (MCR) toward suggested benchmark of 20% of Annual Programs Fund goal achievement.*

October 2010(President) – October is Vocational Service Month

 Goals: Quarterly review of club goals at Board Meeting.

 President’s Council Meeting: Attend with your Assistant Governor.

 Attendance Report: Each club shall forward monthly Attendance reports of its meetings to the District Secretary / District Governor within 5 days of the last meeting of each month.  Promote & Register: District Conference in St. Thomas, USVI – April 4-9, 2011

 Promote & Register: Rotary International Convention in New Orleans, USA – May 22-25, 2011

 Promote and/or sponsor Rotaractor for International RYLA.

 Plan and conduct monthly board meeting.

 Conduct vocation-related activities and programs.

 Based on the club’s contributions to The Rotary Foundation, submit a timely request for Paul Harris Fellow recognition items, for presentation at a club ceremony during November, “Rotary Foundation” Month.

 Ask the PR chair to promote club as planned – including any service projects that might be highlighted by local media during the upcoming holidays Continue submitting applications for Matching Grants and proposals for Health, Hunger and Humanity (3-H) Grants. (Deadline is 31 March)*

 Nominations and Elections of 2011-2012 Officers and Directors by October 31

November 2010(President) – November is Rotary Foundation Month

 Prepare for Rotary Awareness Month in January.

 President’s Council Meeting: Attend with your Assistant Governor.

 Attendance Report: Each club shall forward monthly Attendance reports of its meetings to the District Secretary / District Governor within 5 days of the last meeting of each month.

 Reminder: Make sure president-elect and president-nominee REGISTER for 2011 in St. Thomas USVI April 4-9, 2011- PETS, Assembly, and Conference

 Deadline: District Governor Nominations 2012-2013 to DG – DUE DATE: November 30, 2010

 Promote & Register: District Conference in St. Thomas, USVI – April 4-9, 2011

 Promote & Register: Rotary International Convention in New Orleans, USA – May 22-25, 2011

 Celebrate World Interact Week (week including Nov. 5) with Interactors

 Plan and conduct monthly board meeting.

 Consult with the secretary to update the RI membership database via the web, (www.rotary.org/en/selfservice ), on or before 1 December, so that the January semiannual report (SAR) from Rotary International will be up-todate and accurate.

 Conduct related activities and programs on Rotary Foundation programs, including PolioPlus, and fund development*. (e.g. Paul Harris Fellows, Benefactors, Bequest Society members and major donors).

 Week including 5 November is World Interact Week. Support your local Interact club or help organize one. Monitor membership development initiatives and goals. 15 November:

 Deadline to submit nominations for The Rotary Foundation Distinguished Service Award. *  Request club assistance in hosting the visiting Group Study Exchange (GSE) teams in the district. Forward contact information of interested Rotarian hosts to the district GSE Chair.* Inform district GSE Chair of your club’s interest in having an inbound or outbound GSE team make a presentation at your club. * If applicable

 Ask the PR chair to promote club as planned – including any health or educational projects related to 1 December, World AIDS Day.30 November:

 Obtain and review Monthly Contribution Report (MCR) toward suggested benchmark of 33% of Annual Programs Fund goal achievement.*

 Recognize all of the club’s Major Donors, Bequest Society Members, Benefactors, Paul Harris Society members, and Paul Harris Fellows with special acknowledgement during Rotary Foundation Month.*

December 2010(President) – December is Family Month

 Club Officer Data 2010-2011 : Club officer data must be submitted to RI no later than 31 December 2010. This information helps RI keep your club’s records up to date online and in the RI Official Directory. It also ensures that your club will receive important mailings from RI, including the 2010-2011 Official Directory. Your current club secretary can fill out the Official Directory Data Form and FAX to: 1-847-773-9340 or MAIL to Rotary International/IS220, 1560 Sherman Avenue, Evanston, IL 60201-3698, USA. Extremely Important: Due 12/31/2010. Club Official Data 2010-2011: COPY should also be sent to the DG. This information is needed for District 7020 Directory.

 BOD 2011-2012- President-elect completes selection and election of the new board (officers and directors).

 Deadline for submission of nominations for District Governor 2013-2014 December 31

 Remind Treasurer: MAIL Rotary Foundation Annual Giving contributions to RI for Second Quarter.

 President’s Council Meeting: Attend with your Assistant Governor.

 Organize Christmas Party with Family of Rotary in mind

 Attendance Report: Each club shall forward monthly Attendance reports of its meetings to the District Secretary / District Governor within 5 days of the last meeting of each month.

 Membership: Check membership progress – make adjustments to your membership growth plan as needed.

 Promote & Register: District Conference in St. Thomas, USVI – April 4-9, 2011

 Promote & Register: Rotary International Convention in New Orleans, USA – May 22-25, 2011

 Plan and conduct monthly board meeting.

 Assess the progress of club projects and provide progress reports for Humanitarian Grants as required by the Foundation.*

 Conduct activities to demonstrate your club’s commitment to family and community.

 31 December: Deadline for reporting next year’s club president and secretary to RI for the Official Directory (007-EN), and to the district governor-elect.

 Monitor membership development initiatives and goals.

 15 December – New deadline for submitting Competitive Matching Grant Applications for consideration at the April Trustee Meeting*  Ensure that all contributions to be counted within the calendar year are received at The Rotary Foundation before 31 December*.

 Ask the PR chair to promote club as planned – including any family or service projects related to the holidays.

 30 December: Obtain and review Monthly Contribution Report (MCR) toward suggested benchmark of 50% of Annual Programs Fund goal achievement.*

January 2011 (President) – January is Rotary Awareness Month

 Remind Club Treasurer: MAIL 2nd Half Semiannual Per Capita Dues for each of your members to Rotary International.

 District Awards & Recognition: NOW is the time in advance of the due date to ensure adequate time is given to plan and prepare for award submission.

 President’s Council Meeting: Attend with your Assistant Governor.

 Reminder: Make sure President-elect and President-nominee REGISTER for PETS St. Thomas, USVI – April 4-9, 2011

 Reminder: Remind President-elect 2011-2012 and new President-nominee 2012-2013 of PETS and District Assembly dates.

 RI/District Communication: Copy the President-elect on communication from RI and the District.

 Goals Mid-Year Review: Review of club goals at Board Meeting.

 Plan for World Understanding Month in February.

 Attendance Report: Each club shall forward monthly Attendance reports of its meetings to the District Secretary/District Governor within 5 days of the last meeting of each month Selection.

 Promote & Register: District Conference in St. Thomas, USVI – April 4-9, 2011

 Promote & Register: Rotary International Convention in New Orleans, USA – May 22-25, 2011

 Sponsor and register Rotaract officers for District Rotaract Conference.

 Plan and conduct monthly board meeting.

 Conduct activities and programs to provide members with continuing education on RI and to publicize Rotary to the community.

 Verify with the club secretary that the January semiannual report (SAR) has been received. Work with the club secretary to complete the SAR and send with dues to RI. Submit district per capita dues, if applicable. A past-due reminder notice will be sent on 1 April if RI dues have not yet been paid.

 Monitor membership development initiatives and goals.

 Conduct a semiannual checkup on all committee activities and objectives.

 Plan and conduct club assembly to review progress toward all club goals.

 Promote availability of Ambassadorial Scholarships and Rotary Grants for University Teachers locally. Check with district scholarships subcommittee chair on deadline for clubs to submit applications for the District- level competition. *  Promote availability of world-competitive Rotary World Peace Fellowships. Check with district Rotary World Peace Fellowships chair on deadline for clubs to submit applications for the district-level competition. *

 Ask the PR chair to promote club as planned – including Rotary’s anniversary on 23 February

 Follow-up with the district governor to confirm any celebration plans district wide.

 Remind club members about upcoming 31 March deadline for submitting applications for Matching Grants

February 2011 (President) – February is World Understanding Month.

 Conduct club activities to promote world understanding and peace.

 23 February (Rotary’s anniversary) is World Understanding and Peace Day. Conduct activities that emphasize Rotary’s commitment to international understanding, friendship, and peace.

 23 February: Promote Benefactor program as a way to build a brighter future for TRF’s programs on Rotary’s birthday.*

 Ask the PR chair to promote water and environmental projects for 22 March, World Water Day.*

 Monitor membership development initiatives and goals.

 Ask the PR chair to promote club as planned – including water and environmental projects for 22 March, World Water Day. Promote attendance at the RI Convention. Log on to Member Access and download TRF contribution and recognition reports.*

March 2011 (President)

 Remind Treasurer: MAIL Rotary Foundation: Annual Giving contributions to RI for Third Quarter.

 Rotary Foundation Goal Form 2010-2011: Make sure President-elect has Foundation Goal Form completed and ready to give DGE and District Foundation Director .

 President’s Council Meeting: Attend with your Assistant Governor.

 Promote & Register: District Conference in St. Thomas, USVI – April 4-9, 2011

 Promote & Register: Rotary International Convention in New Orleans, USA – May 22-25, 2011

April 2011 (President) – April is Magazine Month

 President’s Council Meeting: Attend with your Assistant Governor.  Promote attendance at the District Conference, perhaps offer to pay some of the expenses.

 Club Budget Report: Provide a year-end financial report.

 President’s Council Meeting: Attend year end wrap-up President’s Council Meeting with your Assistant Governor (with incoming AG and outgoing AG if applicable)  Awards & Recognition Presentation for BOD 2010-2011. Awards: Announce and present RI, District and Club Awards. Attendance: Recognize Rotarians with perfect attendance. Plan a dignified ceremony for the installation of next year’s club officers. Pin the new President and present the meeting gavel.

 1 June: Review interim Monthly Contribution Report (MCR) toward 100% of Annual Programs Fund goal achievement. Ensure that all contributions are sent in by 15 June to be credited in the current Rotary year.*

 Arrange for a joint meeting of the incoming and outgoing boards to ensure continuity.

 Submit final Rotary year contributions to The Rotary Foundation before 30 June*.

 Promote club members’ participation in Rotary Fellowships.

 Prepare a year-end audit of the club’s financial transactions, working with club secretary and treasurer. Submit a financial statement to the club about its fiscal status.

 Prepare a status update for the club on its Rotary Foundation goal achievements and program participation*.

 Monitor membership development initiatives and goals. Provide the club with a final report on membership growth and identify areas requiring continued action.

 Confer with the president-elect to ensure a smooth transition.

 Assess all Humanitarian Grants activity and provide progress or final reports to The Rotary Foundation for all open grant projects. *

 If club sponsored a GSE team member candidate, ensure that the candidate has submitted a final report to the GSE district chair. Continue to involve GSE alumni in club activities*.

 Rotary World Peace Fellowships: applications due to The Rotary Foundation from districts by 1 July*.

 Highlight any media coverage received and thank the PR committee for their outreach efforts.
