STEP Caribbean Conference - 2010 Shipping Instructions for Convention Materials – Hilton Barbados

To ship, send or carry any convention items, goods or materials of any kind, the following procedure MUST be followed at least ten days prior to the shipping of your items. To possibly avoid duty charges, a letter addressed to Comptroller of Customs containing specific shipping information needs to be emailed or faxed to:

This letter needs to contain the following information:

 Name of Group. Group arrival and departure dates, Number of guests in the group  Itemized list of all goods coming into Barbados via courier service as well as hand carried items, with the itemized commercial value  Shipping dates and courier service if known

All materials must be clearly marked "CONVENTION GOODS" and shipped to the following address:

HILTON BARBADOS, NEEDHAMS POINT, ST MICHAEL BB 11000, BARBADOS, WEST INDIES

ATTN: Winston Ifill, PURCHASING MANAGER PHONE: 246 467 5683 HOLD FOR: STEP CARIBBEAN CONFERENCE BOOTH NAME (your company name)

If the above instructions are not followed, items brought in are subject to duties or they may be refused entry into the country. Duty charges assessed range from 20% import duties, 1% environmental levy, 6% CESS, 15% Vat of the commercial or estimated commercial value of the items. (This includes everything except items arriving with a person on their own flight.) All charges incurred for customs clearance and any shipping charges will be charged to the sponsor. Please note T-shirts are subjected to 117% duty. T-shirts and Polo Shirts require import license.

The hotel cannot be held responsible for any items that do not arrive at the hotel. Please note that the address listed above should only be used for shipments. All other correspondence should be addressed the hotel’s street address for the most expedient service.

COURIER SERVICES UPS, DHL, and FedEx have offices in Barbados. Goods will normally take 48 hours (COURIERS ARE CLOSED ON WEEKENDS & PUBLIC HOLIDAYS). P.O. Box addresses are not accepted; please use the hotel’s street address.

EXPORT FROM BARBADOS OF CONVENTION MATERIALS: In order for the hotel to arrange export of goods, all boxes must be clearly labeled and an itemized list of all goods, with estimated value, should be provided to the Business Centre. Export materials and services are available in the Business Centre 7:00am-7:00pm daily. Shipping charges may be billed to a credit card or courier account number.

(Those exhibitors using DHL must have an international account number). SAMPLE SHIPPING LETTER - please note that the letter will need to be labeled exactly as below (Conference letterhead) and MUST BE SENT PRIOR TO SHIPMENT ARRIVING IN BARBADOS.

Please be advised that we will be shipping the following items to the Hilton Barbados for the STEP Caribbean Conference - 2010 scheduled 23rd - 26th May 2010. The expected number of attendees is 250.

All of the convention materials being brought into Barbados will be returned to the [COUNTRY OF ORIGIN] with the conference participants.
