Job Summary

Support the Human Resource team in delivering excellent service to both internal customers and applicants. Perform, administer and manage specialized functions and record keeping for the Human Resources Department at the WinCo Foods Corporate Office. Perform back-up functions for other Human Resource Assistants when required. Perform related work.

Typical Duties and Responsibilities:  Perform customer service functions; answer and direct multi-line telephone calls (HR Hotline) to appropriate Human Resource staff members and deliver messages; answer questions from employees, applicants, vendors, solicitors, etc.; receive, respond and direct email communication (HR Inbox) to appropriate Human Resource staff members.  Create and distribute job postings. Assist the recruit team and hiring managers with candidate contact, scheduling interviews, and managing related documentation.  Review internal applications and former employees’ employment records to determine eligibility for transfer, promotion or rehire. Notifies appropriate parties of results.  Provide follow-up correspondence to candidates (via applicant tracking system and/or email) related to status in selection process.  Administer activities associated with the new store recruitment process in coordination with the Staffing Manager.  Assist store personnel with administration of online applicant tracking system, including new user guidance, trouble shooting and problem solving.  Conduct onboarding and orientation for new hires to the general office location; assists with new employee process, answers employee questions; complete and collect related paperwork and documentation.  Maintain new hire packets, ensuring packets are current, accurate and complete for each state.  Manage posting and application process tasks associated with the Manager in Training (MIT) and Manager Apprentice (MA) Leadership Development Program (verifying criminal background results, administering assessments, maintaining progress reports and accurate participation records) and tracking MIT development.  Manage the Learning Management System (LMS) administration, enrollment, training data input, documentation, related travel and follow up.  Administer WinCo’s Tuition Assistance program.  Perform tasks associated with administering WinCo’s Drug & Alcohol policy and the administration of criminal background verifications.  Receive, organize, itemize and verify HR related bills/invoices for final review and approval. Prepare and submit to Accounts Payable for timely payment.  Ensure all current and new store and warehouse locations have current employment notices available for posting as required by local, state and federal law.  Prepare and provide documents requested by WinCo’s unemployment hearing representative for hearing/appeal purposes.  Maintain an inventory of MATS training supplies and fulfill store orders when requested.  Assist and complete Human Resource related projects, reports and support.  Promote WinCo’s philosophies and values, ensure quality in all areas and encourage teamwork by providing support in the HR department and throughout the organization.  Cultivate effective relationships with internal and external customers.  Perform other duties as assigned or needed.

Requirements Education:  High School Diploma or equivalent Experience:  At least one (1) year office experience to include answering a multi-line telephone system.  At least two (2) years in human resource environment or related experience.  Demonstrating proficiency in the use of Microsoft Office (Excel, Word, Outlook, etc.) software.  Demonstrating highly skilled administrative functions; quick and accurate alpha and numeric data entry, attentive to detail and effectively monitor progress towards completion of tasks.  Requiring a professional level of confidentiality handing sensitive applicant, employee and company information.  Developing and maintaining effective relationships with team members, managers and employees.  In a role requiring a high level of organization and attention to detail.

Ability to:  Communicate clearly and professionally, utilizing excellent verbal, written and inter-personal communication skills.  Field and prioritize varied tasks, phone calls and projects.  Work independently and efficiently with minimal supervision (self-motivated, take initiative and drive results).  Accept direction from multiple sources and effectively manage time to ensure deadlines are met.  Be highly adaptable to change.  Sit and twist upper body for extended periods of time.  Use both hands repetitively for extended periods of time.  Perform all tasks with integrity and dependability.

Machines and Equipment Operated:  Office machines (multi-line telephone, computer terminal, copier/scanner, 10-key, fax machine, etc.).

Preferred Education, Experience and/or Credentials:  One to two years’ experience in a Human Resource team environment.
