To: AOLT From: Ambulatory Education & Systems Team Re: CCC Scheduling Enhancements: Identifying No Shows

Effective today, there are two new CCC Scheduling System tools that are available to help manage “No Show” appointments. We will be issuing a broadcast announcement to all scheduling users in the next few days. Please consider how you would like your practice to use these tools.

1- Identifying No Show Appointments for an Individual Patient

At the “make appointment” prompt a new option is available that will allow users (in the course of scheduling) to view the patients history of “No Show” appointments for a specific clinic (or clinics) and within a specified date range. The system will display the scheduling identity, date of service, type of visit and clinic name for which the patient did not show. Please note: A patient is considered a “no show” in visit ticket entry when the visit is dispositioned in Visit Ticket Entry as “N” (not kept) at the “Kept” prompt.

If the patient did not have any “No Show” visits within the specified time frame or clinic, the following message will appear:

No missed visits on file. to continue

2- No Show Report: A new report option is available that will allow a clinic to print/download a list of all patient who did not show for appointments within a specified clinic category (or categories) and within a specified date range. To appear on this report the patients visit must be dispositioned as “N” (not kept or DNK) in visit ticket entry. If a patient was a no show multiple times within the date range, they will appear on the report for each date they did not show. The report list patients alphabetically. The report also displays the patients next scheduled appointment within the specified clinic (if any) and if the patient has an appointment block entered via EPM for that specified clinic category. Any comments entered at the point of visit disposition are also displayed. The report can be printed or downloaded.
