Your contingency plans for continuity of instruction have not yet been received (as of 4 P.M. today). You should have received a packet of personalized plan forms with the cover memo replicated below. If you didn’t get a packet or have no idea what I’m talking about, let me know as soon as you can.

The due date for submitting plans to Student Services (Tammi Thomas) is «Duedate». Department chairs and program directors will begin reviewing plans next week.

Paper memo and forms packet sent to «Instructor» on 10/23/09:

The University has embarked on a project to develop plans for continuity of instruction if and when events conspire to cause or threaten to cause disruption to instructional activities. As with other units, SPHIS is requested to have a contingency plan in place within the next few weeks for course, section, and mentoring activity.

We’re using a simplified approach that is designed to do the basics as easily and quickly as practicable. Our goal is to have 100% of our current courses with plans that cover an estimated 80% of the likely contingencies but require a modicum of time to develop and implement. To accomplish this goal, we’re taking the following steps:

1. Instructors with active instruction this semester fill out a paper form for each instructional activity. Your forms are attached and include:  «Plan1»  «Plan2»  «Plan3»  «Plan4»  «Plan5»  «Plan6»  «Plan7»  «Plan8»  «Plan9»  «Plan10» 2. Completed plan forms are forwarded to Student Services (Tammi Thomas) by «Duedate». 3. Student Services transcribes the plan into electronic form. 4. Plans are reviewed electronically by the appropriate dept. chairs and program directors. 5. Plans are published on the continuity of instruction site in SharePoint (see URL, below). 6. Students are notified about the plans and where to find them. (More on this later.) 7. Instructors and students discuss the plans as needed.

There are two different one-page planning forms, each with pre-defined options for you to check off and blanks for you to fill in additional or different options (plus, as needed, the entire back of the page for more written specifications). The type of instruction determines which form is used. Known information (e.g., course info, type of instruction, names, etc.) is already filled for you. Figure about two minutes a plan, longer if you add additional specifications.
