Sample Employee Attendance Guidelines INSTRUCTIONS

1. Attendance Guidelines are established by a supervisor and should be consistently applied for each full-time board approved employee.

2. Attendance Guidelines may vary by department according to the unique department needs.

3. Below is a sample set of attendance guidelines for an office based on the all employee policy manual.

4. As a supervisor, please feel free to revise these guidelines according to your department practice, needs, and employees.

5. Prior to publishing your guidelines or reviewing them with employees, please have your guidelines approved by MCC Human Resources.

6. Having guidelines in place provides greater clarity of supervisor expectations.

7. When an employee does not follow the published guidelines, corrective action up to and including termination can be taken.

Employee Attendance Guidelines

Beginning DATE, the following guidelines and procedures will be effective:

1. The primary consideration in determining work schedules for individual employees will be to assure business needs are met, such as meeting the needs of students, faculty and staff and others (i.e, your colleagues) served by the work done by that position.

2. Due to the nature of the work, flexible scheduling is allowed and supervisor is willing to accommodate requests for alternative work schedules as long as the needs of the college are still being met. However, flexible schedules are not unpredictable schedules. All employees need to establish regular starting and stopping times and approximate lunch breaks. Employees are expected to be on campus during their scheduled time unless a variation has been approved in advance by the immediate supervisor.

3. On occasion, an employee may need a temporary rescheduling of their work week. These adjustments can be made as long as the needs of the college are still being met. Any variation in a published schedule requires the immediate supervisor's prior approval.

4. PSA employees are expected to adhere to their scheduled hours of accountability. As per Section 3.H.5 of the PSA policy manual, employees will be paid overtime or compensatory time when the hours exceed forty in any one week period. The overtime or compensatory time will be paid after forty hours of compensated time (including sick, holiday, vacation, etc.)

5. Positions are posted with the understanding that an individual will take a lunch break. Therefore, all employees are asked to take an unpaid lunch break during each scheduled shift. Lunch breaks may either be 30 minutes or 1 hour as agreed upon between the supervisor and the employee. In addition, full time PSA employees may take a 15 minute paid rest period during the first four (4) hours worked and second four (4) hours worked as per Section 3.F.3 of the PSA Policy Manual. The schedule for lunch and rest periods will be coordinated by the supervisor.

6. Vacation requests should be made in writing to the immediate supervisor at least 2 weeks prior to the requested absence. Due to the busy nature of the department, vacation requests will not be approved for the months of August and January, except in special circumstances.

7. During the first week of class in January and August, employees are expected to be at work every day and be on time to cover the students’ traffic. Care should be taken to minimize absences during this time.

8. Employees who are unable to adhere to their posted schedule for any reason (sickness, running late, personal issues, etc.,) must call their immediate supervisor at LIST PHONE NUMBER as soon as possible. This contact must be made either prior to or within 30 minutes following their scheduled start time, or end time in the event of an inability to return to work either on time or at all

2013 MCC HR following a lunch or rest period. In the event the supervisor cannot be reached, a message to the supervisor's voicemail, along with a call to DESIGNATE BACK UP at LIST PHONE NUMBER leaving a contact number will substitute.

9. PSA employees will record absences and comp time entries in Time & Labor (T&L) according to the approved type of accrual available (i.e. sick, vacation, personal time, comp time used, comp time earned).
