Item Action Only 5 No. present – not a massive turn-out (Canopy’s 15% off night, a Portway shopping night, the weather and traffic problems may well be the cause.) Decision taken to proceed nonetheless. 1 Matters arising from previous minutes Jewellery – 6-8 week notification advised following receipt of jewellery prior to any reply on valuation. We’ve not heard back from them as yet.

2 Request for Funds – Spending Update Rachel Hall has requested whether the PTFA could fund red caps with the WE logo on, for the singing leaders in the playground at a total of £56.25 (including print). This is part of a project called Singing Pathways. 25 No. caps requested (minimum order) – perhaps these could also be used for sports events and trips. We should perhaps consider whether its worth ordering enough for a class as a minimum. The idea was agreed in principle for such a relatively small amount. Consensus to be sought to decide on final numbers. ALL

We are now notified of a £10 room hire for holding the meetings at Haslam’s. Do we agree to accept the cost and continue? General thoughts – Use of the school means someone unlocking and locking (designated appropriate under insurance terms) and running the heating for the period. The Abbey is cold and means re-arranging furniture. Agreed provisionally to continue using Haslams (until next meeting at least).

EMcC and NJS have had a meeting with Hannah (HS) about general spending for next year. Are there any big items to start saving for or thinking about? Due to the Government spending review everything ‘financial’ has been put on hold. As the budget is unknown, the school is reluctant to make any decisions. Some things have been paid for and ordered and not materialised as yet – doors, skylights and nursery shutters. There are some ideas, but no decisions are to be made at this point. The teachers like the additional funding that has been put in place.

The new staging has arrived in time for the school Christmas shows. Options for getting rid of the old staging have been discussed – E-bay was discussed, but the staging is in a fairly poor state. It has been suggested that we get an estimate for scrap metal. The Old Vicarage school may be approached to see if they want it. (Space needs to be created). ER advised she had seen some table and chair combos that fold up and stack away – all combined – From a flexibility perspective, perhaps these may not work in an adult context.

3 Quiz Night Feedback An excellent night – 15 tables were filled – about the maximum number feasible for the room. A £500 profit was made (£200 last year). A fun time was had by all. A few people have suggested 2 quizzes a year! Thanks to SL, MC, PS & SF. PS & SF asked to thank all for their help tidying up at the end of the night.

4 Ladies Shopping Evening Help was requested from 15:30 for setting up tables. Anyone else out there who can help? Tidying up at 21.30 – several half hour helpers have been lined up for door duty, raffle etc. Events: Hall – food; PS&FS on the bar and gift-type people around the outside. Use of a class table (red & white check tablecloths) for tea & coffee, fizz, cup-cakes and wine tasting. Library – mobile boutique, Lori G (bridal boutiques and posh frocks – evening wear accessories handbags and jewellery) Mrs Reid’s Class Room – pamper room – Virgin, Eidelweiss and Beauty. Also hair dressers, nails and bottom line fitness. A team is required from 17:00 to help store holders – doors open at 19:00. No advance tickets planned – all to be sorted on the night. Posters to be administered around locally – fliers to local businesses & Polly’s List. The teachers are making cup cakes – posters are up in the staff room. PTFA landyards have been created to ease the evening, for questions asking, etc. Flat fee of £10 to be administered per store holder. The event may well not be a huge money maker – although there is potential via the door, raffle, and drinks money. There are some great prizes. It should be a fun evening.

5 Christmas Puddings Sales will commence at the Ladies Shopping Evening. Posters have gone up and there is already some interest – following the evening they will be sold at each event leading up to Christmas. May also do an order form if people would rather not purchase them that night. Perhaps send a text message also. Puddings were to be priced higher with deals for multiple purchases – however having seen costs in the shops they have been slightly reduced. (Ultimate Plum Pudding company).

6 Santa’s Secret Sale Potential present stuff is coming in – there is a mix of great stuff and some requiring consideration for appropriateness, i.e. some used items coming in too. Some things will go into a pile for the may fair. Everything is generally going ok, however. Slightly short of male presents. Plenty of helpers have offered assistance.

7 Rollerworld The family event is booked for 30th January 2011. Tickets are to be kept as before at £4 for an individual - £12 for 4 No. people (family ticket) – includes skate hire. We will only be selling upto the Thursday before and be stricter on this, this time around. The fee is £100/hour, i.e. £200 for the event. 17:30 to 19:30 hrs. The fee has been recovered well in the past. SHB recommended health & safety inspections for events (generally). DH will DH go down with a form before the event to assess how everything is looking. Previously we have checked on the details for their insurance. A standard form will be available on the NCPA website which they can fill in. ER aims to do this at the same time as taking the deposit down in the next few weeks. It’s always a great atmosphere and a good family night out. Smallest skate size is a size 10 (for kids).

8 Disco – 11th Feb 2011 The PTFA would like to find a volunteer to organise this – it’s an easy event. Plenty of ALL helpers also requested for the night. Confirmation is required that Bez can do the event, then it remains a question of advertising and selling tickets. It was believed that previously names were recorded as money was taken in before the event and the children’s names went on a list. It is planned to return tickets to indicate to the parents that it is acknowledged that they are going. It was assumed that kids would go back and get changed into their party clothes before returning.

9 Cauliflower (Christmas) Cards Cauliflower Cards – children’s card creations arrived back a month early. A couple of issues arose – one name was spelt wrong; some cards delivered instead of tags; one was printed the wrong way around – but from 260 kids it wasn’t bad going. Do we do it again next year or is that overkill? Consider perhaps ringing the changes – maybe organise every other year. The event was a lot of work and the process was started in the summer holidays last time around. In the future perhaps we could get more people involved in the organisation process – other people to do groups of years. It was a very popular event. Well done, NS.
