Alpert Medical School of Brown University Evaluation Instructions for Clinical Psychology Postdoctoral Fellowship Training Program

Entering your Individualized Training Activities

All fellows and their supervisors/mentors should establish, and mutually agreed upon, the fellowship Individualized Training Activities, for the year, by the end of the third week of each new training year. These activities will allow you to demonstrate competency at time of evaluation.

1) Go to the Postdoctoral Fellowship Program/Training Manual/Evaluation Procedures/Fellowship Training Plan & Individualized Training Activities. Here you will find a link to the Individualized Training Activities Form as well as a link to a Sample Form to use as a guide.

2) Input your Individualized Training Activities for each general area of training onto the Individualized Training Activities Form (i.e., I. Ethics & Legal Standards; II. Professionalism & Self Awareness; III. Interpersonal & Communication Skills; IV. Organization, Administration & Management; V. Assessment & Diagnosis; VI. Effective Intervention; VII. Supervision & Teaching; VIII. Research & Scholarly Activities; and IX. Cultural & Individual Diversity).

NOTE: APA-accredited fellows must have training activities listed in all Objective areas (Items I-IX), while research-focused fellows may not have goals in clinical areas and should write “N/A”. ALL fellows are expected to have goals in areas: I. Ethics & Legal Standards; II. Professionalism & Self Awareness; III. Interpersonal & Communication Skills; IV. Organization, Administration & Management; VIII. Research & Scholarly Activities; and IX. Cultural & Individual Diversity.

Fellows and their supervisors/mentors must review all training activities, including a discussion of the experiences that will be provided to enable the fellow to demonstrate competency in all goal areas, as part of the Fellowship Training Plan (described below) that is completed annually and/or any time significant changes are made.

3) Submit the signed form to the Training Office for your file.

Logging into MyEvaluations.com

Once you have given the Training Office your Brown Email, you will receive your username and password from MyEvaluations.com. If you do not receive it, please inform [email protected] in the Training Office.

To log in, please follow the steps below:

2) Type in your username and password.

(If you do not remember your username/password, then click "Forgotten Your Username or Password?" and enter your registered e-mail address. Click OK, and your information will be e- mailed to you immediately.)

Fellowship Training Plan (completed annually and/or if significant changes)

The agreement between Supervisor/Mentor and fellow regarding Individualized Training Activities is electronically documented in MyEvaluations.com by completing the Fellowship Training Plan. This has been devised to ensure that the fellow and supervisor/mentor fully understand and agree upon the fellow’s training objectives and have discussed the expectations of the fellow and supervisor/mentor that will enable the fellow to successfully meet the requirements of the fellowship.

The Fellowship Training Plan form should be completed annually and/or any other time significant changes are made in the fellow’s training activities and/or supervision plan.

You and your supervisor will be prompted by MyEvaluations.com to complete a new Fellowship Training Plan annually. However, you will need to inform the Training Office that you need to complete a new Fellowship Training Plan any other time during the year that significant changes are required (e.g., there is a change in your primary supervisor or there are significant changes in your primary clinical or research responsibilities from what was agreed upon previously).

2 | P a g e If the Training Plan has changed, clicking “Yes” will prompt your Track Coordinator and the Training Director to review your new training activities. New version signed Individualized Training Activities Form should be submitted to the Training Office.

NOTE: The Fellowship Training Plan is not an evaluation form; therefore, supervisors are not asked to rate any goals on the Training Plan. Ratings are only done on the Progress Evaluations that are completed every six months of training and the End Ratings that are completed at the end of the fellowship.

Evaluations

Progress evaluations (completed every six months)

Although supervisors/mentors should be providing ongoing feedback regarding your performance throughout the year, formal evaluations will be completed every six months of training. E-mails are sent automatically from MyEvaluations.com, letting supervisors know what evaluations need to be completed and the due date.

After the mid-year Progress Evaluation is completed, you and your supervisor/mentor can create new individualized training activities or modify existing activities for the remainder of the year if you have already accomplished your annual activities or if the activities are determined not to be appropriate any longer for another reason. (As noted above, any changes to your training activities should be mutually agreed upon by you and your supervisor/mentor, and any significant changes to your training activities and/or supervision plan should be documented with a new Training Plan.)

End Ratings (completed at the end of the fellowship)

This form must be completed by your supervisor/mentor at the end of your fellowship training. For those completing more than 12 months of training, please inform the Training Office as soon as you are aware of the end date of your fellowship training, and the final evaluation forms will be assigned. It should be noted that you are not able to obtain your Certificate of Completion from the Brown University Clinical Psychology Training Consortium to document your graduation from the program until all evaluations have been completed and submitted and you have completed 1 full year of fellowship.

Supervisor Evaluation (completed every six months)

Fellows will be prompted by MyEvaluations.com to complete an Evaluation of Supervisor/Mentor every six months of training. After these evaluations are entered via the on-line system, you need to print a hard copy of the evaluation form to give to the supervisor/mentor at a meeting that must be scheduled to discuss this feedback. After this meeting is held, the final evaluation should be submitted by clicking on the “Finish / Final Submission” button at the bottom of the evaluation form.

Anonymous Evaluation of Supervisor/Mentor/Training

Although trainees are encouraged to share any feedback with their supervisors/mentors directly such that it can be discussed and incorporated into future training experiences, it is understood that there are some circumstances in which it can be difficult to deliver feedback. If you find yourself in such a situation, you are encouraged to seek out guidance from your faculty advisor and/or track coordinator regarding how you might be able to approach your supervisor in a professional manner to discuss your feedback constructively. If you do not feel comfortable doing this, or if you and your faculty advisor or track

3 | P a g e coordinator determine that it would not be in your best interest to deliver your feedback directly to your supervisor, you can utilize the Confidential Comments box at the bottom of the Evaluation of Supervisor/Mentor form to provide feedback to the Training Director, which will not be viewed by your supervisor or any other members of the faculty. You may also check the box to request a meeting with the Training Director to further discuss any concerns that you have regarding your supervision or training experience. If anonymous/confidential comments are provided to the Training Director in this manner, feedback will not be shared with your supervisor that could identify you as the source of information. However, feedback may be collected over time and shared with the supervisor, when it can be done in an anonymous manner, to improve the overall quality of supervision and training in the program.
