The Office of Information Technology (OIT) Report

Presented by Bill White, Chief Information Officer, Valencia College. An OIT organization update was provided, in addition to Jamie Rost who has already been hired to provide leadership to the East and Winter Park campuses there will be two additional directors of campus technology services in place in the next few weeks. One director will provide leadership and support for the West Campus, Sand Lake and Downtown Centers and the other director will provide the same for the Osceola and Lake Nona campuses. Bill stated that the hiring committee had interviewed and selected two qualified candidates and he hoped to introduce the two at this FTC meeting. However, some of the paperwork had not been finalized.

Bill stated his reorganization will provide:

 A single, campus-based point-of-contact for technology questions, projects, and initiatives. This person will coordinate, as needed, with central OIT resources

 Campus-based Audio/Visual and OIT technical support resources are now combined under a single “campus technology services’ department

o Faculty, & staff support classrooms, some labs, and technology refresh

Bill introduced Todd Treece the Director of Learning Technology Services who is responsible for the Learning Management System (LMS), instructional design services, and smart classrooms.

Bill provided updates on five technology projects under review by OIT:

 Lecture Capture Pilot (Spring 2013)

 Learning Management System (Canvas) evaluation (Spring 2013). The Canvas LMS may be demonstrated at the October 2012 FTC meeting.

Page 1 of 3  Instructional Use of Video Technology

 Atlas Portal Redesign (Meeting October 2012)

 New telephone system; Microsoft Linc will be demonstrated at an upcoming FTC meeting

Upcoming Technology Changes: Beginning September 17, 2012 OIT will implement a new policy requiring users accessing college email using personal phones and other devices to enter a PIN. Valencia could be held liable for data breaches on personal devices.

Lecture Capture

Bill White presented on Lecture Capture at Valencia

Discussion ensued concerning does Valencia need Lecture Capture system? What other lecture capture systems are available? How effective is lecture capture? Should we invest in Lecture Capture? If so, which vendor should we choose?

Concern was expressed about what would happen as a result of a sweat equity bias created by the design of the pilot. To objectively pilot different platforms, the people on the decision making team would need to experience the strengths and weaknesses of the 3 products being piloted. If we are going to purchase something as expensive as lecture capture software, we should think more about how the pilot is designed and how the college wants to use assets to help with the pilot. The whole thing felt rushed.

Gina Cassady shared she has been testing the Tegrity lecture capture system for a year now. It was decided that we would use the lecture capture system Tegrity as a Pilot.

The Timeline, Tasks and Questions should be answered by FTC members and forwarded to either Bill White or Gina Cassady.

Pilot Requirements and Limitations

 Discussion let to the general conclusion that Valencia would pilot and test lecture capture using Tegrity (since Gina has already beat the learning curve on that product), look at the research on pedagogical efficacy of using lecture capture, and information would be collected as to how to identify professors at Valencia who would want to use this or a similar product and are interested in piloting it.

 A minimum of 2 faculty members will be required to commit to the pilot for the Spring semester from each campus.

Items from the Floor

Page 2 of 3 Committee members expressed interest in a Technology Learning Day where VC technologies could be displayed, modeled and shared with faculty at the school. Vendors would be invited to showcase their products.

Agendas Items III, IV, V, and VI and the Second Life demonstration were not discussed and will be placed on future Agendas.

Next meeting scheduled for Tuesday, October 9, 2012, 1:00-2:15p.m., Campus to be determined.

The meeting adjourned after 2:30 P.M.
