Walden-CAN Community Conference Planning Committee Minutes Meeting Jan. 21- 7pm Board Room, Lively Citizen Service Centre

Present: Walden-CAN Brenda Salo, Gwen Doyle, Forbes Stoodley, Karen Tait, Gord Key, Ralph Shore, Dale Kilbey, Richard Bois, Rene Trottier, Jennifer Carlisle Excused: Neeltje Van Roon CC Committee Members: June Epple, Susie, Perry Sarvis Excused: Mait Wilson, Pat Brunne

Note: Brenda asked Gwen to Chair the Meeting

1. Walden Lions …idea to share re: Volunteer Fair by Claire Hobden, VP  Claire reported that Walden Lions were looking for volunteers – as were many of the community groups who had attended the Nov. CC Brain-Storming Meeting  Walden Lions are discussing possibility of coordinating a Volunteer Fair- for groups to reach out to the public about: what we do for the community; the programs, projects organized by volunteer groups  Make it a fun event- as well as an opportunity to recruit new volunteers  Would take place after the Community Conference – possibly in May- 9th or 29th  Need to discover if groups are interested in Volunteer Fair; Letter to be sent to groups – asking if they’re interested in the idea- before any planning  Asked Walden-CAN: what do we think of concept? Would Walden-CAN support & help Walden Lions – if there is community interest in having a Volunteer Fair  After brief discussion , because there were 10 members of Walden-CAN Executive present

Moved by Forbes Stoodley & Seconded By Gord Key … That Walden-CAN support the Walden Lions initiative re: Volunteer Fair to be held sometime in 2009 and information re: Volunteer Fair to be included as part of the Community Conference advertising & communication Motion passed unanimously

2. Minutes of Jan. 15th CC Planning Meeting: Accepted as written

3. Update re: Tour of LDSS by Brenda & Gwen * See Update  Application for Use form to be completed for Rainbow Board  Chris Gore, CGS to confirm need for Certificate of proof of Liability Insurance Coverage  April 24,25 Booked: use of 2 gyms, cafeteria/kitchen, Conference Room & classrooms

4. ‘Draft’ Job Description & Time-Lines: Discussion, editing, approval

a. ‘Draft’ Theme & Logo for Conference: See Revised Drawing  Approved the Slogan TOGETHER- WALDEN CAN, use of Evergreen Tree as Logo  Themes listed on branches: minor changes to text 1. Advocate for Health Services 2. Promote Safety & Security and Enhance, Preserve & Protect Our Environment  Communities listed – as roots of Tree- representing Walden  Need a Graphic Artist to interpret our Drawing- 8 ½ x 11

b. ‘Draft’ List of Themes & Workshops: See revised, approved List  List of Themes & titles of workshops/open forums discussed & Text changed to reflect changes agreed to in Text on Drawing: advocate, promote, enhance, preserve  See approved List -2-

5. ‘Draft’ Job Description & Time-Lines: See revised, approved document  Role of Sub-Committees & time-lines discussed …See changes in red  Approved: Duties of Chair, need for E-Updates/reports to CC Committee and need for Final Reports to CC Committee/Walden-CAN/Councilor/CGS Staff/public; Role of Sub- Committees  Approved: Time-Line Feb – May 2009  Deadline of March 15th for Pre-Registration

6. Create Sub- Committees: See Approved ‘Themes & Topics of Walden-CAN Community Conference ‘…Sub-Committees re: Open Forums & Break-Out Workshops

 Sub-Committees requested more information to assist them when organizing & contacting speakers: Fact Sheet, Speaker’s Information Sheet & Agenda for weekend

7. Action List before Next Meeting:

 Brenda & Gwen to prepare ‘Draft’ documents before next meeting & and to prepare a ‘Draft’ Budget before meeting with Jacques- at his convenience

 Gwen to confirm is Chris Gore would be available for our next meeting- to act as CGS Resource for Workshops re: Improved, Accessible Transportation…within Walden & with CGS, Aging at Home…accessible home care services within Walden and Open Forum re: Enhance & Develop; Preserve & Maintain …communities within Walden 24/7 and Volunteer Recruitment, Retention & Training Note: New Walden-CAN Liaison Person- Sherri Moroso

 Youth Issues Committee: Richard, Forbes, Mait & June …Karen to confirm the timing of a Tour of 2 potential Sites for WYFY Program

8. Next CC Meeting: Jan. 27 at 10 am at former Council Chambers
