4th, 5th, AND 1ST MULTI-YEAR – NOTIFY DATE DECEMBER 15 2015-2016 Contract Consideration Calendar for AFT Professional Staff

Wednesday, July 1 Professional Staff and supervisors prepare the APAS for the year (July 1, 2015 – June 30, 2016). Division Goal(s) and/or Unit Goal(s), Employee Outcomes, Achievement Targets, and Measures are discussed and established. Please note that the APAS should be prepared as close to July 1st as possible to ensure that job expectations for the year are clear for both employee and supervisor. Please do not submit the APAS at this time. The prepared 2015-2016 and completed, evaluated 2014-2015 APAS will still be submitted as per this calendar as part of the reappointment application.

Tuesday, September 1 (on or before) Professional Staff submit request for contract consideration to appropriate supervisor. The request will include a completed evaluated APAS (appraisal period July 1, 2014 - June 30, 2015), a one page written self evaluation, including: a summary of the past year(s) accomplishments including achievement of goals; an analysis of professional contributions and potential for continued development; a statement of professional goals and objectives; a current dated resume; and a current dated job description.

In addition, submit a complete, prepared, unevaluated APAS for the upcoming year (appraisal period July 1, 2015 – June 30, 2016).

Tuesday, September 8 (on or before) Optional: Candidates meet with supervisors to identify at least three employees serving with the candidate in a regular and continuing functional working relationship from whom supervisors will request written evaluations. The list must satisfy the supervisor's need for relevant feedback. A current job description should be included with each request.

Friday, September 18 (on or before) Written peer evaluations to the appropriate supervisor are due (if requested).

Friday, September 25 (on or before) Supervisors completing the APAS should review and consult about the assessments of their entire staff with the next manager in line prior to individual meetings with employees.

Wednesday, September 30 (on or before) Candidates and Supervisors are to hold the formal assessment meeting. The request for reappointment is reviewed and discussed at this time. Results and/or Analysis, Action Plan, and Supervisor Comments should be assessed for the past year (July 1, 2014 – June 30, 2015). The APAS sections Division Goal and/or Unit Goal, Employee Outcome, Achievement Target, and Measures are developed for the July 1, 2015 – June 30, 2016 APAS (if not done already). Job descriptions should be dated may be revised if necessary.

Friday, October 2 (on or before) Supervisors inform each candidate of their recommendation and evaluation in writing on the APAS form.

Friday, October 16 (on or before) Supervisors forward all documents to the Administrative Officer next in line, including a copy of the prepared APAS form. Friday, October 23 (on or before) Administrative Officers note their recommendation on the A PAS form and forward all documents to the Division Head.

Friday, November 6 (on or before) Division Heads note their recommendation in writing on the APAS form and forward all documents to the Office of Employee Relations.

Thursday, November 12 (on or before) The President’s nominations for reappointment are forwarded to the Board of Trustees through the appropriate Board Committee.

Monday, December 7 (Tentative) The Board votes on the President’s nominations.

Tuesday, December 15 (on or before) In the case of each applicant nominated for reappointment, the President notifies each candidate of the Board of Trustees action. In the case of each candidate who was not nominated for reappointment, the President notifies the applicant of the action taken by the President.

At every level of review if there is a negative recommendation, candidates must be notified in writing and may request a meeting with the person making the recommendation. This meeting will be held prior to the recommendation being submitted to the administrator next in line. It is the option of the candidate to request the presence of a union representative at the meeting as an observer/advisor only. At least 48 hours prior notice of the scheduled meeting will be given to the candidate unless waived by him/her. Candidates may also respond in writing and such information will be attached to the APAS packet and included in the candidate’s personnel file.

Notify by December 15, 2015 (CURRENT AGREEMENT as modified by LOCAL AGREEMENT)
