Band Booster Meeting Minutes

January 23, 2017

I. President Kim Mildward called the meeting to order.

II. Secretary’s minutes from December were approved. Theresa Cummins is now the Treasure. If you are interested in being Secretary please let Kim Mildward know.

III. Treasurer’s Report-All debits and credits through the end of December are up to date except; 1) We have approximately 60 band cards that were sold by students that we do not have record of who sold them. High School Individual Account Statements were distributed tonight. Those students (or parents) not in attendance will receive them in class. Middle School students will receive their statements in the week. Please check and make sure your band card amount is correct. Students should receive $4.50 per car sold. (2) We need to pay the school back for band shoes purchased by students this year. Theresa also reminded us that the Boosters has authorized $500 for the band last April that will soon be spent; more for the All That Jazz Fundraiser; and $720 for flags that will be ½ reimbursed by the Winter Guard through their Taco John Fundraiser. Report was approved.

IV. Director’s Report

a. Pizza Hut Fundraiser is set for February 6th from 4-9pm.

b. Hy-Vee is currently selling coupon book worth $70 for $5 as a fundraiser for the Marching Band. $2 of each coupon book sold will go to the Band up to $400. At this time half have already been sold.

c. Cameron Invitational Band Concert was cancelled due to weather. It will not be rescheduled.

d. Four State Band and Choir Concert was this past weekend. 15 students participated. It was a great concert.

e. Last Taco John’s fundraiser to benefit the middle school was held. They are waiting to hear on the amount raised.

f. Ride-N-Drive Event-Tri-State Ford has emailed to schedule our Ride and Drive event. We looked at several potential dates. The best date is April 22nd in the morning prior to the band banquet. We will need individuals to help with test drives and signing individuals up for the event to receive further information about the potential purchase of a vehicle. Booster will earn $20 per sign up to $6,000. Event will last 4 hours. Mr. Wehmeyer will get the date set.

g. Mr. Sobotka from Nodaway-Holt is looking to sell his personal Tenor Sax that has less than two years of play on it. He would like $1,100 for the instrument. Mr. Wehmeyer would like to purchase for the band program. This purchase was approved by band boosters. Mr. Sobotka also has a Sousaphone for $4,500 but at this time we have enough and other instruments are a priority.

h. Mr. Wehmeyer has found a new company who sells 5.0 Marimba’s called Moda for $6,500 (new). They are a new company out of Florida. Kade Allenbrand introduced the Director’s to the company. Mr. Wehmeyer has the opportunity to go and test one at a gentlemen’s home who owes one. It was approved to go ahead and purchased a Mode 5.0 Octave Marimba for the band pending Mr. Wehmeyer’s evaluation of the instrument. That money from the Ride and Drive will be used towards the purchased and Booster will pay the rest.

i. Hy-Vee Cookie Sale- It is time to schedule a date for the Hy-Vee Cookie Sale. This is an individual account fundraiser. It was discussed to possibly host the sale from April 10th through April 21st. Students would be able to sell over the Easter holiday and would be here for delivery in time for graduation. It was discussed which students would sell the cookies. It was proposed that all grades in the band program be allowed to sell. Mr. Wehmeyer will see if the dates work with Hy-Vee. Discussion was then tabled until next meeting.

j. Leadership Training-Mr. Wehmeyer and Mr. Krug have an opportunity to take student to leadership training in Cameron. Cost is $500 per school. Up to 40 students would be able to attend. Training in on April 11th. Due to spring activities, the Director’s will see interest and we will discuss paying for it at next month’s meeting.

k. Ms. Mattke said that flags and Winter Guard outfits are in. They are working on sets for their show. Ms. Mattke has reserved the van for two of the four competitions to pull the band trailer for props. She could use help with pulling the trailer for the February 11th (Liberty) and February 18th (Blue Valley). She will also need the assistance of about 10 people to help get items moved at the events. They are looking at students to help generate more interest. However, she will only have wrist bands to get 5 of them in. She asked for $100 for admission fees to cover all students who help the props at their four competitions and then mileage reimbursement for the individual who pulls the trailers on 2/11 & 2/18. Total $300 to $400. This was approved by the boosters.

V. Marching Festival Proposal Update

a. This is currently stalled. b. The Directors will need to talk with Adam Townsend with Grounds about using the football field and the City for parade route.

c. Every date they had through of there is a home Northwest Football game schedule according to the Northwest Athletic Director.

d. They are working on another plan of action but it may be delayed a year due to the need to get it on calendars and promotion.

VI. Fat Tuesday-All That Jazz Fundraiser-

a. Event will be held on February 28th in the High School Cafeteria.

b. This will be a casual event that encourages socialization and mingling. Students are working on music for the event.

c. Cost of tickets is $15 each. Price includes dinner.

d. B & G Catering will be providing dinner. They will be serving sliced port, russet potatoes, steamed California blend, chicken, sausage and shrimp jumbo with rice. If we sell 200 tickets it will be $7.50 per plate. If less than, 200 tickets $8 per plate. Students will be able to eat for $5.

e. Northwest Technical School will make the desserts at cost. Boosters will provide drinks and table service.

f. Table cloths are being donated by Nelson’s and Kim Mildward will donate $50 for donations.

g. Mrs. Wehmeyer will take photos in the photo booth for $3 each.

h. Mr. Krug will contact KNIM and Kim Mildward will contact Nodaway News Leader. Mr. Krug will design poster/flier and tickets.

i. Tickets will be on sale in the next week at Hy-Vee. Goal is to sell 200 tickets.

Meeting was adjourned at 8:15am.
