Midsummer Fiesta in Montpellier Project timescale

The event takes approximately 9 months of organising, and is a one day event lasting 9 hours. Start date: Finish date:

First planning meeting to be held November Event date – Saturday 5th July 2014 2013 Please give a brief description of your project including what it aims to achieve (maximum of 100 words). This will appear in public documents so please be accurate.

The Midsummer Fiesta in Montpellier is the biggest free event in the borough. It celebrates Cheltenham’s diverse communities, brings them together and showcases the talents within them. Entry and almost all attractions are free. These include: Marketplace with around 90 stalls including local organisations, VCS and small businesses. Sports village with rugby village, mobile football cage, demonstrations and opportunities to try other sports such as fencing, kung-fu, free-running etc. Children’s village with bouncy castles, face-painting, arts and crafts, petting farm, children’s music and entertainment. Live music from local bands and free dance workshops and dance performances. Fairground rides and games, classic cars, food and drink.

How will this project build up community pride and enable your group to be more influential in supporting your community and improving your neighbourhood?

The Fiesta is the one event in which everybody in the borough can participate as there are no charges. Friends and families enjoy performances from people in their community, and can access information about all the local events, groups and clubs. Most community groups take a stall as it is the ideal opportunity to engage with a large audience of local people. With thousands of visitors each year, the Fiesta is the biggest opportunity in the borough for musicians and also people who want to promote their organisation or business.

As the public are aware that the event is free, organised by a small group and run with a lot of volunteer help, they are always very appreciative and supportive of the event and its volunteers and entertainers, and most are keen to help in any way they can, whether by volunteering or Community Pride Grant Application Guidelines 2 of 6 helping to promote the event.

What permissions and/or licences do you need to achieve your project and what are your plans / timescale to secure these permissions?

Permission to use Montpellier Gardens - this was submitted on 29th July 2013 Street Trading License for marketplace –this will be applied for once permission to use the gardens is granted Plans for noise management, security, waste management, tree protection, risk assessment, insurance etc will also be submitted during the ECG procedure. Wayne Sedgwick, head ranger at CBC is a member of the ECG and also a key member of the Fiesta steering group, responsible for obtaining licences, permits and meeting health and safety criteria.

Who will benefit from the project?

Small businesses, voluntary and community groups who wish to sell products, reach a wider audience and promote themselves. Dance and sports clubs who would like to get more people participating. Bands and performers who would like to reach a wider audience and promote themselves. Volunteers who wish to gain experience. Everybody in the borough who likes to enjoy a day out with their friends and family. Local businesses from increased trade in the area.

How will you know if the project has been a success?

Visitors on the day are asked to fill in surveys to enter into a free prize draw. Participants are asked to return feedback forms after the event. Comments on social media. Reports in the media. Word of mouth. Interest in returning the following year.

What are the longer term plans for the project once the grant funding has come to an end?

The intention is for the Midsummer Fiesta to continue as an annual event and investigate ways to become more self-sustaining. As the event is growing in reputation, it is easier to sell catering and market stall pitches and the level of grant and sponsorship income needed is reducing each year.

Who else will you work with to deliver the project?

Hesters Way Partnership-steering group member Cheltenham West End Partnership-steering group member Sports and Play Development- Steering group members Cheltenham Music Festival University of Gloucestershire Participants-local performers, groups, stall holders and traders.

We follow the Council safeguarding advice in the planning and risk assessing of the event, in particular the children’s village.

Are all your staff and volunteers who will be associated with the project CRB (Criminal Records Bureau) checked?

Volunteers will not be left alone when assisting in the children’s village. As far as possible everyone assisting with children’s activities will be checked by the disclosure and barring service.
