BUTE HALL The Bute Hall is a beautiful grand hall within one of Scotland’s most historic landmarks. The University of Glasgow is located in the city’s Hillhead area. There is a map of the University campus enclosed with this briefing paper (Bute Hall is marked A13 in the main building, on University Avenue).

Those travelling from outside the city are advised that the city centre can become very congested on a Saturday morning and ample travelling time should be allowed.
CAR PARKING INSTRUCTIONS Car parking on the University campus and surrounding area can be extremely difficult. There is only limited car parking available at the University itself, however there is some on street parking available on University Avenue (metered) or Kelvin Way which is at the foot of University Avenue parallel to Kelvingrove Park (also metered).
ARRIVAL INSTRUCTIONS On arrival, all Award Recipients (new Fellows, Members, Associates, Diploma Awardees and Certificate Awardees) and Prizewinners must report to the Institute registration desk which will be situated in Hunter Hall, West (A14 on the enclosed map). Access by turning left once you have come through the Main Gate off University Avenue, go under the 2nd archway, take the stairs and follow the signs. All Award Recipients and Prizewinners must sign in on the graduation register. After signing in you will be given a ticket which will indicate your row and seat number and which side of the Bute Hall your seat is located. The registration desk will be open from 9.30am until 10.15am. Anyone arriving after the registration desk is closed will NOT be able to graduate.
COLLECTION OF ROBES (Fellows and Members only) After signing in on the Graduation Register and collecting your seat card, Fellows and Members should collect their gown and hood from Ede and Ravenscroft who will be located in the same room as registration (Hunter Halls). To ensure a speedy process, please bring any booking reference or acknowledgement card which has been supplied by Ede and Ravenscroft.
REFRESHMENTS After registering and (where applicable) collecting your robes, Award Recipients, Prizewinners and their guests are welcome to join the Council of the Institute for tea and coffee, which will be served, in the Hunter Halls. Members, Associates, Diploma Awardees, Certificate Awardees, Prizewinners and all guests are respectfully asked to leave the Hunter Halls by 10.30am to allow time for Council and Fellows briefings. After the briefings, the Council and Fellows will have group photographs taken and the Fellows will then be escorted to their seats in the Bute Hall.
SEAT ALLOCATION All Award Recipients and Prizewinners must be seated by 10.45am at the latest. Please note that the seating allocation has been deliberately planned and you must sit in the seat allocated to you. Seat allocation will not be altered under any circumstances.
1 GUESTS Guests should not sit in the area at the front of Bute Hall with numbered rows as this is reserved for Graduands. Institute staff and University Staff will be available to advise guests if they are unsure of where to go or sit. Guests must also be seated by 10.45am. Please advise the Institute office of any elderly or disabled guests as soon as possible and we will make special arrangements to accommodate them. There is lift access available to both the Hunter Halls and the Bute Hall.
DRESS CODE Dress for the graduation ceremony will be semi-formal ie smart attire/lounge suits. Highland Dress or other national costume is also acceptable. Fellows and Members will wear academic gowns and hoods during the ceremony. Academic dress is not required for Associates or for those receiving Diploma or Certificate Awards, or for non-graduating Prizewinners.
PRINTED GRADUATION PROGRAMME The Institute will be printing a graduation programme giving details of the ceremony and names of all Award Recipients and Prizewinners. A programme will be placed on each seat on the day of the ceremony.
ORGAN RECITAL An organ recital will be given by the University Organist prior to the ceremony and will commence at 10.30am.
COUNCIL PROCESSION The ceremony will begin with a procession of the Council of the Institute. Award Recipients, Prizewinners and guests should stand for the procession.
OPENING PRAYER The opening prayer will be given by the Rev Dr Moyna McGlynn. All Award Recipients, Prizewinners and guests should remain standing for the opening prayer. At the end of the prayer the President will ask the assembly to be seated.
CONFERMENT OF FELLOWSHIP After the Honorary Fellowship is awarded, the Fellowship of the Chartered Institute of Bankers in Scotland will be conferred. Fellows will be presented in alphabetical order for their award by Mr Colin Morrison, Deputy Chief Executive of the Institute.
When your name is announced you should proceed up the aisle in the middle of the hall, and up the steps at the front of the stage. Stand at the right corner of the stage and turn to face the audience. Mr Morrison will read a brief biography for you before inviting you to accept your award from the President. You should then move over to the President in the middle of the stage and shake hands. The President will hand you a tube containing your certificate and a photograph will be taken at this point.
You should then leave the stage by the side steps and join the outside end of your allocated row of seats (rows will be numbered). You should then gradually move along the row as each person is called on stage until you return to your original seat. As each person moves on to the stage, everyone in that row must move down one seat to make their way closer to the row exit in the middle of the hall. This will ensure that there is a free seat at the other end of the row for the person leaving the stage to return to.
Please see the diagram showing the procedure for presenting awards at the end of this briefing. There will be a briefing for Fellows in the Hunter Halls at 10.40am to go over this process.
2 CONFERMENT OF MEMBERSHIP, ASSOCIATESHIP AND THE DIPLOMA & CERTIFICATE AWARDS After the Fellows have been presented with their awards, the awards of Membership, then Associateship, then Diploma and Certificate will be conferred. For the conferment of each of these award categories, the procedure will be that detailed below:
Mr Colin Morrison, Deputy Chief Executive of the Institute will present the Award Recipients of each category.

AWARD RECIPIENTS WHO ARE ALSO RECEIVING PRIZES Any Award Recipients who are also receiving prizes will be given two seat tickets at registration. These will be clearly marked to show you which seat is your first seat and which is your second. We would be grateful if you could arrive at the Bute Hall with enough time to check the location of both your seats before the ceremony begins.
After visiting the stage the first time to have your award conferred, you should NOT return to your first seat. Instead, you should leave the stage by the side that your second seat is on and go to this seat by entering the outside end of the seat row. If your second seat is in the front row you may go directly to the seat.

AWARD OF PRIZES The Certificate/Diploma prizes will be awarded before the Membership/Chartered Banker prizes. When your name is called, you should approach the staged area, climb the steps and shake hands with the President who will present your prize. A photograph will then be taken. You should then leave the stage by the side that your seat is on and join the end of the row of seats. Those receiving more than one prize will go on the platform only once and will receive all prizes at the same time.

PRESIDENTIAL ADDRESS The Presidential Address will be given by John Needham, President of the Chartered Institute of Bankers in Scotland.
THE BENEDICTION The benediction will be given by the Rev Dr Moyna McGlynn, Award Recipients, Prize-winners and guests are asked to stand for the benediction.
CLOSING PROCESSION The assembly is asked to remain standing for the closing procession of Council.
3 AFTER THE CEREMONY – INSTITUTE RECEPTION, DRINKS AND CANAPÉS We invite you to join us to celebrate your achievement at the Institute drinks reception which will take place at the back of the Bute Hall. You can arrange to meet up with your guests in the drinks reception itself or if you are not staying for drinks, there is room to meet your guests in the Cloisters at the foot of the stairs to Bute Hall. At the reception we will serve, wine, soft drinks and canapés.
PHOTOGRAPHY Ede and Ravenscroft photography studios will be based at the back of the Hunter Halls (the registration room). A group photograph of the new Fellows will be taken after their briefing at 10.40am, before they are seated in the Bute Hall. Each award recipient and prizewinner will also have their photograph taken on stage during the awards presentation.

4 PROCEDURE FOR PRESENTING THE AWARDS AND PRIZES
STAGE
1) Leave your row from the aisle in the middle of the hall and walk up the stairs at the front of the stage
2) Shake hands with the President, receive your scroll tube/prize and pose for a photograph
3) Leave the stage by the side that your seat is on (or the side that your 2nd seat is on if you are an award recipient who is also a prizewinner)
4) Go to the outside end of your row (rows will be numbered) and gradually move along the row as each person is called on stage until you return to your original seat.
Please note: As each person moves on to the stage, everyone in that row must move down one seat to make their way closer to the row exit in the middle of the hall. This will ensure that there is a free seat at the outside end of the row for the person leaving the stage to return to.
