Prince George Promise – Board Meeting May 15, 2015, 2:00 pm @ Prince George Library

BOARD ACTIONS SINCE THE MARCH MEETING VIA EMAIL:  PGHS Art Club Smithsonian field trip - $500 was approved in April.  PGHS BuildOn 5K fundraiser support – this request was not approved in April.  Middle School Girl’s Basketball camp in July - $500 was approved in May.

ATTENDEES: Percy Ashcraft, Noel Brown, Jessie Carmichael, Bettina Coghill, Keiandria Dickerson, Shel Douglas, Lowell Flickinger, Linda Gholston, Tyreshia Griffin, Cynthia Hasley, Sharon Jadrnak, Tera James, Graciela Johnson, Flor Lopez Trejo, Hermon Maclin, Chandra McPherson, Jay Paul, Sheila Roalf, Butch Sanford, Dennis Sebera, Katie Sloan, Rachel Turner.

(1) Call to Order – Vice-President Jay Paul called the meeting to order.

(2) Roll Call – Director Percy Ashcraft was absent. We had a quorum.

(3) Presentations: The outgoing board members (Shel Douglas, Sharon Jadrnak, Dennis Sebera) and Rachel Turner were recognized for their service to PG Promise. The grant check was presented to the PGHS Build On chapter representatives: Cindy Hasley, teacher, and Tyreshia Griffin, president.

(4) Announcements from Stakeholders  Katie Sloan (Smart Beginnings) – The toddler fair went very well.  Chandra McPherson – The library summer reading program is gearing up and the 1000 books by kindergarten program is also underway.  Keiandria Dickerson (Ft. Lee EFMP) – Their special needs fair is coming up; they have an autism support group in Colonial Heights and LEGO club  Sheila Roalf – PGS schools liaison  Butch Sanford – Safe Kids participated in the Toddler fair; Saturday, June 13 is their motorcycle ride fundraiser (no golf tournament this year)  Flor Lopez Trejo – The James House has ongoing support groups for adults and children; their offices recently moved to Prince George; they can come speak to groups  Gracelia Johnson – Red Cross  Lowell Flickinger (Boy Scouts) – There are four troops in Prince George; Merit Badge weekend is this weekend at Albright’s scout camp  Linda Gholson (P.O.W.E.R. Program) – Tonight is the youth empowerment lock in retreat (leadership) for PG students

 Jessie Carmichael (PGHS) – Brought some information about a high school student recognition program for volunteerism in Chesterfield. The information gets published in the local paper; awards are given out once per year; teenagers are nominated for the award; there are certain criteria. Her grandson received an award and she thought it was a good program. She is willing to help with this if PGP wants to do something similar.

(5) Comments from Board Members  Hermon Maclin – 4-H basket bingo in on May 21; summer camp is filling up fast; the 4-H congress is coming up as well as intermediate congress for the younger kids; they are offering lots of summer workshops for PG students (stop by the office for a brochure or call 733-2686 for more info); digital media program at the Ed Center (Virginia Youth Voices on Facebook).  Tera James – Showed the t-shirts for the Youth Empowerment Retreat from 6:00 pm Friday (tonight) to 7:00 am Saturday; Jay Paul will be a speaker tonight  Jay Paul – There are volunteer opportunities out there for youth this summer if they look for them.

(6) Approval of the Minutes – The minutes from March 20, 2015 were approved.

(7) Treasurer’s Report – Bettina Coghill reported that total deposits for March and April were $1,295.54 and expenses were $4,425.00. The balance as of April 30 was $24,395.92. Included in that balance is $2550 for the PG Youth Workforce Academy. The total raised from the NFL Points for Kids fundraiser was $8,279.25 with $3,892 from one-time donations and $4,387.25 from pledges. Unfortunately three of the businesses that pledged did not send in a check after being invoiced twice.

(8) Committee & Sub-Committee Reports

(A) Grants – June 1 is the next deadline and 1 grant has been submitted so far. PGHS Art Club – Christy Eliades, teacher, explained that $500 was given to them for a field trip, but the check got there after the students paid their fees. Motion, seconded, approved to use $500 to go to VMFA.

(B) Fundraising – The Reverse Raffle is scheduled for Thursday, September 24, 2015 at the Disputanta Community Center. It was suggested that the ticket price be raised to $30. We might also want to look at the amount of the prizes and make some adjustments. Volunteers are needed to help plan and implement this event.

(C) Activities & Events – No report.

(D) Marketing & Public Relations – The t-shirts, pins, and stickers need to be available at the Reverse Raffle. All of these items are in Percy’s office – t-shirts are $10.

(E) PG Youth Workforce Academy – Sharon Jadrnak reported that classes are over and several stakeholders or board members were instructors. Out of the 27 students who were selected and enrolled in the program, 25 students were placed in internships with five employers. The students will work for minimum wage for at least 80 hours during the summer. Commencement will take place at the end of summer. (F) Student Summit – Jay Paul met with a group of diverse kids at PGHS for a short time. He is waiting on more feedback and needs to meet with Bill Barnes soon. Hopefully he can meet with the students again before school ends to empower the students to have a voice so we can hear their concerns.

(G) Nominating Committee – A slate of board members and officers was presented: Board Members (2015-2017 terms): Tera James Noel Brown Lowell Flickinger Sheila Roalf Officers for 2015-2016: Percy Ashcraft (President) Jay Paul (Vice-President) Bettina Coghill (Treasurer) Tera James (Secretary)

(9) New Business

(A) United Way – A motion was made to not participate this year. The motion was seconded and passed. The main concern was that we might not be able to do the NFL Points for Kids fundraiser due to the United Way blackout dates.

(B) Strategic Plan – A motion was made to accept this draft from the committee as version 1 of the strategic plan and put this on the website. The motion was seconded and passed.

(10) Next Meeting – Friday, July 17 will be our annual meeting with recognitions of donors. It will start at 2:00 pm and take place at the Prince George Library.
