Annual submission of research output to the Department of Higher Education and Training Current cycle: 2017 Publication Count The following checklists give an indication of the supporting documentation and information which must be provided to the Research Office for each research output submitted to the Department of Higher Education and Training (DHET). These submissions are subject to audit, and as a result, any claim not accompanied with the correct supporting documentation will be excluded from the collection.

Note: All research outputs for the reporting year must be captured on eRA (https://eraonline.uct.ac.za)

In order to prove that the journal article you are claiming qualifies for submission to the DHET you must provide certain information and materials. Have you checked that: √

1. 1The journal title is on the accredited lists of journals (ISI, IBSS, SA list, Scopus, Scielo, Norwegian, Scopus)1?

You have indicated on each hardcopy, which list the title is on e.g. ISI/IBSS/SA/SciELO 2. SA/Norwegian/Scopus?

3. The publication is not a book review, abstract or extended abstract, correspondence to the editor, obituary, news article or advertorial?

4. The publication date is 2017*?

5. Journal title, volume number, year of publication, page numbers (start page-end page), UCT authors and affiliation are highlighted on the article?

6. In cases where the UCT affiliation is not on the article, that a letter from the H.O.D confirming the author’s affiliation to UCT during the time of producing the publication is included with the hardcopy?

7. You have provided a good quality photocopy of the relevant pages or an offprint of the article?

8. The reference for this journal article has been captured on eRA including the CESM code (Classification of Education Subject Matter)? * If the year of publication is 2016, please check with the Research Office that no claim was submitted in the 2016 Publication Count Cycle. In such a case, attach a motivation in English stating reasons why the publication could not be submitted in 2016 Publication Count Cycle.

In order to prove that the book you are claiming qualifies for submission to the DHET, you √ must provide certain information and materials. Have you included the following:

1. Original copy of whole book even if only a chapter is being claimed?

2. Detailed evidence of the publisher’s peer-review process?

3. Tags, indicating the Table of Contents, Author Affiliation, Chapters being claimed, Name of Publisher, Peer-review statement and ISBN? 4. A written justification (maximum 500 words), signed by the author of the book, or the general editor (in the case of an edited book with several chapters from various contributors), explaining the contribution that the book makes to scholarship (which includes a declaration to the fact that no part of the work was plagiarised or published elsewhere). 5 A summary of the entire book in English (minimum of one page). Similarly, any supporting evidence or documentation must also be provided in English, If the book is published in a language other than English

10. Publication has been refereed/ reviewed by peers? (Provide evidence - refer to item 2 above.)

11. Publication is not a dissertation or thesis, text book or study guide, reference books, dictionaries, encyclopedias, inaugural speech, report forming part of contract research or a work of fiction, Introduction & conclusions (unless the entire book is being submitted for subsidy claim)

12. Author(s) claiming for subsidy have written and not edited the book (only)?

13. Target audience comprises academic peers (subject specialists) and not undergraduate students (textbooks), contractors (contract research reports) or laymen (coffee table books)?

14. The reference for this book/chapter has been captured on eRA, including the CESM code?

* If the year of publication is 2016, please check that no claim was submitted in the 2016 Publication Count Cycle. In order to prove that the conference proceeding you are claiming qualifies for submission to the DHET, you must provide certain information and materials. Have you √ included the following: 1. Photocopy of the complete paper in the conference proceeding for which subsidy is being claimed or an offprint of the conference paper? This applies to CDs, as well as online publications.

2. Photocopy of the outside cover/inside sleeve/jacket page with full name of publication, proof of publication date, publisher’s name, ISBN/ISSN (can be pages from CD-ROM, website etc)?

3. Photocopy of the table of contents?

4. Photocopy of the preface, foreword and introductory statement?

5. Proof that the full conference paper was independently peer-reviewed prior to publication by means of a statement copied from within the proceeding or a statement (letter or e-mail) from the editor of the proceedings or organiser of conference? (This is a compulsory requirement)

6. List of UCT contributors and proof of their affiliation to UCT highlighted on the hardcopy? In cases where the UCT affiliation is not on the article, forward a letter from the H.O.D confirming the author’s affiliation to UCT during the time of producing the publication.

7. An abstract if the proceeding is published in a language other than English?

8. Tags and information highlighted: indicating the Table of Contents, Author Affiliation, Conference papers being claimed, Peer-review statement and ISBN/ISSN?
