Penn Alumni Relations and The Penn Fund are both eager and excited to welcome you back to campus on May 14-17, 2021! While it is our hope and intent to celebrate in person, the University administration along with the Health System continue to monitor the ongoing Covid-19 pandemic. We ask for your patience and partnership in the coming months as we work within the guidelines outlined as it pertains to safely returning to campus. Reunion planning may look a little different than in years past, but what you are tasked with as reunion volunteers remains the same. Together, you will discover new opportunities to celebrate and engage with your class and the Penn community. Build Your Committee

Reunion success is based on the dedication and enthusiasm of your committee. Begin by recruiting classmates to join your committee, delegate committee roles, and start connecting with classmates!

Reunion Chair(s) Recruits committee members and works with respective chairs on planning and outreach strategies. Works directly with Alumni Relations staff liaison to plan reunion weekend events. Creates agenda for monthly call with chairs, provides updates to staff liaison.

Outreach Chair(s) Recruits classmates for outreach. Works with Reunion Chair to set outreach goals and strategy. Coordinates outreach strategy meetings and conference calls. Tracks outreach strategy progress and provides updates to Reunion Chair.

Communications Chair(s) Works with Reunion Chair and Social Media Chair on communication strategy. Provides class email content to Alumni Relations staff liaison per communication deadlines.

Social Media Chair(s) Work with Reunion and Communications Chairs to create social media buzz about upcoming reunion activities. Utilize class Facebook groups, Instagram, Twitter, etc.

Affinity Student Involvement Chair(s) Recruit classmates to reach out to affinity and student involvement groups. Work with Reunion and Outreach Chairs on affinity outreach strategy. Report back to Outreach Chair on progress.

Penn Spectrum Chair(s) Coordinate outreach to diverse classmates. Work with Penn Spectrum diversity groups to support and promote Spectrum programming. Collaborate with Communications and Outreach Chairs to include Penn Spectrum messaging and event listings in class outreach.

Education Chair(s) Identify and suggest classmates who may be appropriate to participate in the featured all-alumni education events. Identify potential topics/ speakers for a class-specific panel.

Schedule Committee Meetings

Committee meetings are necessary to keep track of outreach and planning goals, as well as a great opportunity to connect with your class. Schedule monthly meetings with each sub-committee as well as the full outreach committee using virtual platforms or conference calls.

Alumni Weekend Snapshot

1. Use Alumni Weekend signature events to enhance your programming. • Friday: FranklinFest and yPenn Highball (6:00 PM - Midnight) • Saturday: Conversation with President (10:45 - 11:30 AM) • Saturday: Alumni Day Parade and Picnic (Noon - 3:30 PM) • Sunday: All-Alumni Breakfast and Memorial Service (9:00 - 11:30 AM)

*All reunion volunteers, both outreach committee and gift committee, are invited to The President’s Volunteer Leadership Reception on May 14 at 5:30 PM, in honor of your volunteer service.

2. Online registration opens March 1, 2021! Committee members are encouraged to register once registration is open.

3. For classmates who are unable to attend the full weekend, advertise the Alumni Day Pass ($40), which includes Franklin Fest and yPenn Highball, Alumni Day Picnic, All-Alumni Breakfast, and Penn Alumni insulated tote.

4. Hotels fill up quickly! Promote the Penn Alumni hotel room blocks to your class: www.alumni.upenn.edu/awhotels.

Alumni Weekend Registration Specific reunion pricing will be advertised in January. The cost of the Alumni Day pass will be $40 and required to enter Alumni Day picnic tents, including participating school tents. Name badges are required to enter picnic tents, so plan to pick up your name badge prior to the Alumni Day parade at the registration tent located behind Sweeten Alumni House. Both reunion specific pricing and the Alumni Day pass will include a Penn Alumni insulated tote. The Penn Alumni insulated tote will only be available at central registration.

Alumni Day Picnic During the picnic, activities will be available for all ages. Entertainment includes a DJ and performances by the Glee Club and Penn Band.

Your class gift counts all of the commitments made in support of undergraduate education from your class during your reunion year including gifts through the reunion fund and endowed scholarships. Reunion Fund: Gifts to The Penn Fund are immediately directed to areas of the University that need support the most. These areas include undergraduate financial aid, residential and campus life, and academic enhancement.During a reunion year, we count all commitments to The Penn Fund (pledged over a five year period) as your Class Reunion Fund. For example, if you make a commitment of $2,500 per year for five years, you are recognized for your commitment to your Class Reunion Fund at the $12,500 level. For classes celebrating their 25th through 50th reunions, a portion of the class reunion fund may be directed to a class project (e.g. a class scholarship, bricks-and-mortar project, or an internship). Perfect Donor: Special recognition as a perfect donor is given to alumni who have made a gift every year since graduation, including graduates who participated in their senior class gift. Easy options for loyal giving include multi-year pledges and recurring payments. Both opportunities allow you to multiply the impact of your gift and help Penn better forecast its budget. Each year you will be thanked for your gift and reminded of your pledge payment instead of solicited. Multi-year pledges: • Pledge a certain amount to be paid over five years. In your reunion year you and your class will be recognized for the full amount of your pledge. • Ex.: Make a five year BFS pledge of $12,500 and support The Penn Fund with $2,500/year for the next five years. Recurring Gifts: • Your gift is made over a time defined by you to meet your preferences (monthly, quarterly, annually). • Recognition as an Always Donor. • You provide payment information to Penn and your gift is automatically processed on the schedule outlined. • During your reunion year, arrange for your 5-year pledge to be fulfilled through a recurring gift to maximize convenience.

Gift Strategy

Determine the best schedule for your Gift Committee work based on your specific role and availability. You can use MVP all year to send email solicitation messages at your convenience. Below is a suggested timeline for your personal outreach. We recommend volunteers be mindful of current events and the potential for changes to these recommended activities.

September – October is the ideal time to focus your efforts on those classmates who you hope will increase their support compared to their past giving. If you are soliciting BFS level gifts and multi-year commitments, now is the time to send out a welcome message, introduce yourself to the classmates you plan to ask, and let them know you will be asking for their support. Mark your calendars for Tuesday, October 27th, and join us for the first of two giving days this year.

November is the perfect time to start soliciting more broadly amongst classmates. You should also consider hosting virtual events to reconnect with classmates. Your Penn Fund staff liaison can work with you to create a program that motivates classmates to make Penn a philanthropic priority. Consider including a guest speaker like a current student or a member of Penn’s development staff.

December is the time to ask for gifts from classmates who gave in the 2019 calendar year. Because Penn works on a fiscal year (July 1-June 30), we don’t want to miss these classmates. Every gift matters and we count on the continued support of all classmates to keep Penn at the top of national rankings. Our End of Calendar Year and the last day to give in 2020 is December 31st. January is the perfect time to thank your classmates who have already supported Penn. February is another great time to consider virtual Pre-Reunion events. Also, use this time to solicit classmates who haven’t been on your radar up to this point.

March Giving Red & Blue Day is tentatively scheduled for March 18th. Gather your committee virtually and focus solicitation efforts for this giving day.

April – Work with your Class Giving Director to identify classmates who gave last year or during your last reunion year but not yet this year. Focus your solicitation efforts on these segments if you haven’t already.

May – Take a look at classmates who have registered for Alumni Weekend but haven’t yet made a gift and ask them to join you in making a gift. Also, May is the ideal time to review those classmates who made a one-time gift this year and ask them to turn it into a multi-year commitment. During the weekend, you will present your Class Gift to Penn. We want to make sure as many classmates as are willing are included in the “big check” totals at Alumni Weekend. May is the ideal month to connect your giving message to the Alumni Weekend celebration.

June – The fiscal year ends on June 30 and this is a last chance to encourage classmates to make a gift in honor of your reunion year. Look at your progress-to-goals and see what your class needs to reach goal. Our End of Fiscal Year is June 30th. It is the last day to make a gift in fiscal year 2021 and be counted towards your reunion goals. July – Please remember to thank your classmates for their support, and encourage them to stay connected to Penn through giving every year. Give yourself a pat on the back for a job well done.
