ABOUT THE GENERAL MANAGER ROLE

Having recently undergone a transformative period of organisational and artistic development, enabled in part by a £1m investment from Wellcome Trust, we are seeking an experienced and meticulously organised General Manager to join us, to provide exceptional administrative coordination to the company and to Performing Medicine; our award-winning education programme for Healthcare Professionals.

You will be supporting a newly appointed Executive Producer as well as the Executive Director of Performing Medicine, and will be confident in multi-tasking, solving problems and taking responsibility for the smooth delivery of a wide range of tasks.

GENERAL MANAGER JOB DESCRIPTION

Full Time – 2 year fixed term contract

Salary: £25,000 – 27,000 per annum depending on experience Line-managed by the Executive Producer. Purpose of post: To play a key role in the smooth running of the organisation, managing operations, HR, evaluation and finance for Clod Ensemble, and managing events and administration of the Performing Medicine programme. Key responsibilities:

COMPANY OPERATIONS

• To coordinate the weekly company meeting. • To coordinate Board meetings, circulating agendas and supporting documents, and to attend and minute these meetings. • To maintain an overview of company schedules; ensuring that these are up-to-date and well communicated across the organization. • To line-manage interns, and manage recruitment relationships with university partners. • To maintain filing systems and archive, and to manage the archiving process at regular points throughout the year. • To ensure that Clod Ensemble meets all the requirements set out in the buildings lease and to undertake general premises management duties. • To be responsible for the daily operation of the computer network, phones and office. • To order new stationary, equipment and furniture when required. • To ensure that the office is kept clean and well-presented always. • To manage all general enquiries.

HUMAN RESOURCES

• To maintain organizational policies and procedures, to ensure that staff are aware of them, and to work with the Executive Producer to update these as appropriate. • To issue all contracts for employed staff and to manage holiday and sickness calendars.

DATA MANAGEMENT

• To manage collection and collation of audience/participant data across all of Clod Ensemble’s programmes. • To work with the Communications and Marketing Manager to monitor web traffic and social media insights, collating data for reports.

FINANCIAL

• To process all invoices and to create sales invoices on a weekly basis. • To support the Executive Producer to monitor cash flow and expenditure by liaising with budget holders, circulating and securing sign-offs on monthly reports. • To oversee the work of the Bookkeeper, ensuring bank statement reconciliations are conducted in a timely manner and that the company submits regular VAT and Inland Revenue returns. • To work with the Executive Director to ensure all legal requirements are met including insurance, licenses, Charity Commission and Companies House.

PERFORMING MEDICINE PROGRAMME (2 days per week)

• To be the first point-of-contact for general enquiries about Performing Medicine. • To liaise with key stakeholders to schedule programmes; including NHS Trusts, medical schools and other university partners. • To be the primary contact for Associate Artists regarding scheduling and contracting; checking availability, and confirming bookings. • To manage schedules across all Performing Medicine delivery. • To coordinate Art of Healthcare events programmes; researching locations and booking space, coordinating invitations and RSVPs; working with the Communications and Marketing Manager to ensure events are well attended; coordinating event planning e.g. catering and AV; managing events in person. • To work closely with the Executive Director of Performing Medicine to ensure the smooth running of the programme, • To provide administrative support to the Performing Medicine team as required.

Working hours are usually 10am- 6pm Monday to Friday. Address: Unit 3, The Laundry, 2-18 Warburton Road, London, E8 3FN Flexible hours may be offered in certain circumstances. Some evening and weekend work will be expected; no overtime is paid, and we operate a TOIL system. 25 days holiday per year. We will operate a stakeholder pension scheme from summer 2017. We run a childcare voucher and cycle to work scheme.
