POSITION OVERVIEW:

The City is seeking four (4) full-time Office Assistants to join the City of Wauwatosa across a variety of different departments. (City clerk, DPW, Administration etc.) Office Assistants perform a range of clerical and administrative functions and are instrumental to the City's operations.

ESSENTIAL FUNCTIONS:

The following are normal for the position but shall not be construed as exclusive or inclusive. Other related duties may be required and assigned.

• Provides comprehensive and knowledgeable information regarding city programs, requirements and guidelines to both internal and external customers. • Processes, prepares and tracks invoices; processes P-Card transactions. • Reviews, verifies and interprets information in records, applications, reports and other documents. • Resolves inquiries received over the phone, at the counter, in the mail or via e-mail. • Updates and maintains databases, files, software and other records; prepares various reports. • Implements process improvements in clerical functions. • Designs and develops communications, including letters, notices, flyers and reports. • Performs diverse range of clerical functions to support city operations including typing, filing, answering phones, managing calendars, relaying messages, maintaining and troubleshooting office equipment. • Coordinates meetings and prepares materials for meetings and trainings. • Maintains reservation system for rental facilities, including short and long-term rentals, tracks applications, and processes payments. • Processes transactions for City services and prepares settlement reports.

MINIMUM REQUIREMENTS:

• HS Diploma or equivalent. • Strong proficiency in Word, Excel and Outlook; ability to learn other software. • Strong oral and written communication skills. CITY OF WAUWATOSA Invites applications for the position of:

PREFERRED REQUIREMENTS:

• Associates Degree or continuing education coursework in a related field (Business, Communication, Office Administration, Information Technology, Paralegal, Legal Studies, etc.). • 3-5 years administrative assistant experience preferred.

ADDITIONAL INFORMATION:

Receives instruction and supervision from the City Clerk, Director of Administrative Services, DPW Business Manager, DPW Director, and/or others designated by management.
