1. Introduction

The following document is the user manual which describes the main functionality of the Lekwungen Community Portal 2017 (LCP2017) web application, which is distributed by modules. This document is divided into two separate manuals due to the fact that this project developed the web application LCP2017 and then linked in a separate web application, WebTrees, as per the client’s requirements. The WebTrees application provides all the functionality determined in the Family Tree module during the Analysis and Design phases. In addition, given that the client does not have a system administrator, a step-to-step installation guide is presented in the third section of this document.

2. Objectives

The manual has the following objectives:

 To offer a guide for the management of each web application module;  To answer user concerns when the user is interacting with the web application;  To be a support for new users when they start to interact with the web application;  To be a last resort functionality backup in the case that extreme events happen such as the loss of main users without advance notification .

3. Modules

The LCP2017 web application has the following modules:

 User Administration  Family Trees  Language Portal  Job Board  Message Board

4. Modality

This manual uses the FAQ modality, and each consitutuant part module , is called a guide because does they do not containall the functionality of whole application. WEBTREES USER MANUAL

1. General Description According to WebTreesTM developers, WebTrees isan open-source software, defined as a leading, on-line, collaborative genealogy application. The application requires PHP and MySQL to be installed and executed. To see more information, go to https://www.webtrees.net

The WebTrees installed in the web server hosting is the new version 1.4.9, in which the interface is visualized and familiar.

The WebTrees application has been divided into the following modules:

 User Administration  Manage Family Tree

2. User administration guide The user administration guide is mainly targeting administrator and manager user types. The following are considered to be the most relevant questions:

How to create a Family Tree? If you are user administrator, you can create a family tree and assign this to a specific user account, by following these steps:

1. You must sign in as an administrator. 2. Go to the menu “My Page” and click in the sub-menu “Control Panel” at your right side. 3. Select “Family Trees” menu and click in the sub-menu “Manage Family Trees”. (Figure 30)

4. Fill in the field “Family Tree Title” and “URL” (Figure 30). It is recommended to use the family name in these fields because will be the core of the created “Family Tree” however, this always can be update. 5. When you create the user account you can assign he/she correspondent family tree.

How to add a user account from administrator Account? If you are user administrator, these are the steps to add a user account

1. You must sign in as an administrator. 2. In the up-right side of your window, click in menu “My Pages” and select the option “Control panel” (Figure 31).

3. This takes you to the “Control panel” window where you will find the application administration for all the process. In this case, you click in “Add a user”.

4. In the windows you input the information and determine the roles the user will have in each family tree created. You must select the “Email verified” option for the verification to manually occur from the user side. See Appendix A.

5. The user receives an email about his/her new user account (Figure 33).

6. The new user account is now approved.

How to add a user account via an on-line request? If you like to add a user account via on-line request, these are the steps:

1. In your browser access the website http://songhees.ca/Webtree/. 2. In the webpage, click on the Button: “request a new user account” (Figure 34).

3. In the new window, fill in the request form and continue. 4. In your email account, you will now receive an email. 5. There is a link in the email. It takes you to the User Verification Window (Figure 35).

6. If the verification is successful, the administrator will accept you as a user. If the administrator has not yet accepted your account, then you will see message as shown in the (Figure 36). You could then send an email to the administrator. Songhees First Nation 5 User Manual

7. You will receive an email when your account has been accepted. 8. You can then login in and work on your family tree. 9. Your account will be now be shown as accepted and verified by the application administrator (Figure 37).

3. Manage Family Tree Guide

Manage Family tree Guide is where you can start to input your genealogical history in a family tree. You are now an assigned user of the WebTrees application. This manual does not have all the features whose this module offers you because, as mentioned previously, the WebTrees app has its own online support. If you have any questions or problems when you are using the web application and this manual or the online support are not helpful, you are welcome to contact your administrator by click in the link “For Technical support or genealogy question contact XXXX” (Figure 38).

The following are considering the most relevant questions:

How to add members to my family tree? When you sign in, you will find a default member in your family tree named “John COE”. This default member is created by the developers of the WebTrees application. You will not able to eliminate the default member, but you can modify his/her information if you wish (assuming there is no John Coe in your family tree). The followings are the steps for adding a member to your family tree:

1. When you login in, you will be sent to the main webpage “My page”. On the left side are a set of icon menu items. Click in the “Family Trees” icon and select your Family tree from the list. Observe that, by default, family trees are listed in alphabetical order.

2. Now, that you are in your “Family Trees” click in the bottom “Default Individual”. This will bring you to the Family Tree Management Tab Menu. If it is your first time, you will find the default individual mention above “John COE”. Here you have two alternatives: modify this and create your family or create a new individual.

3. From the “Individual” Tab Menu, observer that the tab “Families” is the default selection. 4. Above the “Individual” Tab Menu, you see a short description of the chosen individual. To assure that you selected the correct individual, check on your left bottom menu in the bottom “Families Navigator” that the desired individual (family member) has a selected mark.

Add member by modifying the default individual:

5. Considering it is your first time and you like to modify “John COE”, then click in the pen icon button to open the window “Edit the name” as the below figure shows.

6. As you can see, there are many fields and categories which characterize the individual, however the more relevant are: “Given names” and “Surname”. After you input the individual information, click on the button “save” to store information or on the button “close” to cancel the actions. 7. If you saved your changes, the follow message will appear in your webpage with an additional link menu called “Pending changes”.

8. Remember that all your changes need to be accepted by the moderator. If you have moderator or higher privileges you will be able to accept or reject our own changes or those made by others according to your role.

9. If you accepted all the changes, you can see them in the “Individual” web page. The more important tabs are: “Fact and Events” which is a tab wherein you can input the birth date, death date and others significant events for each individual; “Families” tab, wherein you can add family members of this individual and the “Interactive Tree” tab wherein it is possible to visualize the family tree. Add a new individual member:

10. If you don’t like to modify “John COE” or if you need to create a new individual, click in Menu “My page” and selected “Control Panel” options. 11. In the “Control Panel” web page, go to “Family Trees” menu and click in “Manage Family Tree” element list. The “Manage Family Tree” manages the main features of a family tree such as: family tree, genealogy data, add unlinked records and GEDCOM file. 12. In this case, you are going to add an unlinked record by creating an individual. Click in the element list “Individual”. The “Create an individual” webpage is similar to “Edit the name” webpage with the difference that the former has more individual attributes to fill in. 13. The main fields are, as mentioned previously, “Given names” and “Surname”. You also can include the Birth date but it is not mandatory.
