The purpose of this memo is to provide guidance to RDOS staff on procedures for using the Similkameen Water Information Database (SWID). The procedures include:

1. Opening the form. 2. Browsing and searching existing records. 3. Editing existing records. 4. Entering new records. 5. Printing a record.

1. Opening the form To open the Similkameen database entry form, double click on the Similkameen Water Information Database (SWID). This will open up Microsoft Access. Now double click on the ‘ENTER RECORDS HERE’ link on the far left (Fig 1-1).

This will open up the Access database form for entering or editing data.

2. Browsing and searching existing records. To browse existing records use the paging arrows at the bottom of the form (Fig. 1-2).

Click on the right or left arrows to navigate between records.

Search for specific records using the search button at the top of the form (Fig. 1-3).

Clicking the button will bring up the search modal dialog box (Fig. 1-4).

P:\20138017\00_Similkmeen_WP1\Advisory\01.00_Advice\Database\Manual\mem_SWID_UsersMemo_20140127.docx Memo To: Regional District of Okanagan Similkameen January 27, 2014 - 3 - x Use the ‘Find What:’ field to filter what text you would like to search for. x The ‘Look In:’ dropdown sets if a specific field that currently contains the mouse curser will be searched, or if all fields on the form will be searched. x The ‘Match:’ field specifies which part of the field will be searched. x The ‘Search:’ dropdown specifies how the search will navigate through the records (i.e. up, down or all). x The ‘Match Case’ check box determines if the search text is case insensitive or not. x Once all your search parameters are set, click the ‘Find Next’ button to start searching through the database records. x The ‘Replace’ tab works exactly the same as the ‘Find’ tab, except it allows the editing of data.

Clicking the ‘Cancel’ button will close the ‘Find and Replace’ dialog.

3. Editing existing records. To edit an existing record, once the desired record is displayed make whatever edits are desired. Changes are automatically saved as a record is edited.

4. Entering new records. Enter a new record by clicking on the new record button near the Date field (Fig. 1-5) or the new record button at the bottom of the form by the navigation buttons (Fig. 1-6).

Clicking either of these buttons will open an empty form.

5. Printing a record. Print a record by clicking on the print button (Fig. 1-7) will displaying the record to be printed.
