Counseling Department

Student Counseling Department under the ambit of Office of Student Affairs is tasked with catering to student’s academic, personal and professional requirements. Office of Student Affairs is formed to cater to all these student requirements. For this purpose, Front Desk has also been given to student counseling so that students can be facilitated on the very first step. Furthermore, each centre has a dedicated counseling department with one senior manager to resolve student issues.

Academic Policies

Semester Load ILMA operates two full semesters Spring and Fall. Each semester comprises of 16 weeks. A 10 week Summer Semester is also conducted for students who have either missed a semester or for those who wish to repeat a course for grade upgradation. Spring Semester operates between January to April. Fall Semester operates between Septembers to December. Student allotted load for full semester is as follows:

Scholastic Dishonesty Policy At ILMA University the students are evaluated fairly on the basis of their own work completed in accordance with the instructions provided. The purpose of this policy statement is to describe those responsibilities and to clearly define behavior that constitutes academic dishonesty. It is in all students’ interest to avoid committing acts of scholastic dishonesty and to discourage others from committing such acts. Were the University to acquire a reputation for tolerating dishonesty, it would devalue the degrees of all present and future alumni.

The curriculum within the University prepares students for a profession in which honesty and ethical behavior are essential characteristics. If all students and faculty fulfill their respective responsibilities as outlined in this policy statement, the culture of honesty that is so important to the success of the degree programs at ILMA will be maintained.

Following policy is followed with respect to enrollment • Batch system is not followed here at ILMA. Students belonging to various programs can be enrolled in one course. • Student can only be enrolled in a course which is part of their respective curriculum and have completed the prerequiste course if any. • Cross Curriculum enrollment is strictly prohibited. • All enrollments shall be done by Office of Student Affairs the keeping in track student’s registered shift, specialization and program. • Students have the option to drop the Semester at least 2 weeks before start of semester. • After deadline, any semester drop shall be considered as withdraw and full fee shall be charged. Student Progression and Program Duration Policy ILMA maintains a formal mechanism for monitoring student progression and duration for supporting its students starting from the time once students are enrolled in respective course(s) in their very first semester as per their degree requirements, their progression through to graduation will be dependent upon meeting minimum criteria/requirement of the program and accordingly re-enrolling in the subsequent semesters as per the requirement.

The objective of the policy is to identify non performing students at an early bird stage, so that appropriate corrective measuresmay be taken to address their poor performance. The aim of this policy is to also encourage students to explore other options that may be more appropriate for them such as there may be other programs more suitable to continue and hence prevent students 10

ILMA PROSPECTUS 2020 - 2021 incurring significant costs. The University believes it must exercise a duty of care to students who incur fees and who are not well suited to their selected program. At no point in time, poorly performing students shall continue to study indefinitely.

The University recognises that there can be extenuating circumstances for poor performance and therefore, Students Counseling department has been established for providing proper guidance and counselling to the students. Student Advisors are there for guiding the students regarding course registration, add/drop of the courses, course withdrawal, semester freezing, attendance and other miscellaneous issues. Besides, the professional Counselors are available for discussing general problems relating to personal issues and shall maintain record of students counseled by them for future reference.

Poor Academic Performance Minimum required CGPA for various degree levels, below which a student may face probation, is as under:

• Undergraduate: CGPA less than 2.2 • Graduate/Post-graduate : CGPA less than 2.8

If a student falls to maintain the aforementioned CGPA criteria, consecutively in two semesters then admission will be canceled

Re-Admission Student whose admission is cancelled can apply through STEP for re-admission after necessary fee payment and documentation.

Graduation Requirements All students are required to meet min CGPA 2.5 for bachelor programs and CGPA 3.0 for masters program in order to graduate from the University.

2. Payment of Dues All students are advised to clear their dues by 22nd day of every month otherwise late fee of Rs.1000/month shall be charged.

3. Class Timing Punctuality is highly encouraged. In emergency/exemption cases late maybe allowed but not more than 15 minutes otherwise are marked absent.

4. Student Attendance If any student fails to maintain 80% attendance then he/she will not be allowed to sit in the examinations.

5. Misbehaving with staff or Faculty If any student found misbehaving with staff or faculty it is considered a serious offence and strict disciplinary action will be taken.

6. No Smoking Students are strictly not allowed to smoke inside the premises of campus. If any student found in breach of this policy than strict disciplinary action is taken by Disciplinary Committee.

7. Valid ID Card Students are strictly advised to display his or her ID card at all times when inside the University premises. Otherwise they are not allowed to enter the campus. If any student found in breach of this policy then strict disciplinary action is taken by Disciplinary Board.

8. Students are strictly prohibited from using derogatory remarks & abusive language within the campus / University premises or through any platform of communication (including social media; i.e. Facebook, Twitter, Whatsapp, Website etc.) otherwise strict disciplinary action is taken that will lead to cancelation of any scholarship/ discount along with the admission.

9. Students need to abide by the following etiquettes while participating in social networking as a group or as an individual: • Students should be honest about their identity. Participation is to be done only under the student’s name. • Students should have all the facts before posting something. Cite sources where applicable. • Be respectful and courteous in posting and communicating. • Maintain confidentiality. Never post personal, confidential or proprietary information. • Students are not allowed to discuss or post comments about any staff or faculty member of ILMA University and their family members on any social media site. • Students must seek official approval from the management before putting any official information on their site/page(s). However, approval is not needed if the information has been taken from official site. • Posting or displaying of any content such as images or text that in any way defame the university, its faculty, staff or other students is strictly prohibited. All postings are just like speaking at a public forum hence the dignity of ILMA University must not be compromised. • Any other act/deed/discussion on social media which may bring defamation to ILMA University.

10. Students are advised not to provide any misleading information to any other student, visitor. If any student found guilty for this act he/she will have to face the Disciplinary Committee for the action.

11. Students are not allowed to raise their voice, while talking or speaking in the campus premises (neither with other students nor with the faculty or staff). If any student found speaking or talking in a manner that may distract from or disrupt the educational pursuits of others, it may result in strict disciplinary action.

12. Students are strictly advised to maintain appropriate distance between them. If found sitting without maintaining appropriate distance or showing inappropriate body gestures, it may result in disciplinary action.

13. Students shall refrain themselves from taking part in any violent struggle involving the exchange of physical blows or the use of weapons. Violation may result in strict disciplinary action.

14. Only enrolled students are allowed to enter the campus premises.

15. All cancelled and graduates students are requested to take prior appointment through STeP before visiting the campus, as entry is only restricted to enrolled students.

20. Students demonstrating an intolerant behavior despite repeated counseling are liable to be penalized/suspended/expelled.

21. Students involved in drugs and narcotics substances and failing to observe the campus discipline policy are liable to be expelled.

22. Harassment and Retaliation Students involved or engaged in unwanted activities and unwarranted conduct which has the purpose or effect of : violating another person’s dignity, or creating an intimidating, hostile, degrading, humiliating, or offensive environment for another person – attracts major penalty of dismissal.

23. Religious and Political Debate/Promotion It is strictly prohibited to promote any material related to any Political or Religious party. In addition, students are strictly prohibited to debate on any disputed topic regarding religious/political party; otherwise strict action is taken against the guilty students.

24. Penalization/Suspension/Expulsion Any student found violating the above said ‘Code of Conduct’ and found guilty, he/she may be penalized, suspended or expelled from the University and the admission is cancelled.
