Business Centre

The Business Centre is located on Level 3 of the ICC near the entrance. The centre can provide photocopying, fax facilities and secretarial services. Opening hours are 09:00 to 16:30 Monday to Friday.

Cashpoint

There is a cash point located within the ICC’s main mall, next to the cloakroom. The machine offers free withdrawals.

Smoking / E-cigs

If exhibitors or contractors wish to smoke they may do so outside of the venue in the designated smoking areas. Using e-cigs or vaping is not permitted inside the venue.

Any items not removed from the halls post-event will be deemed rubbish and disposed of accordingly, so exhibitors are advised to remove all items as soon as possible.

Graphics may be affixed to the panels using Velcro, double-sided sticky tape, or other item of the sort as it is not possible to nail or screw items into the shell scheme panels.

HEALTH & SAFETY

In accordance with the Health & Safety at Work Act 1974, and the Management of Health & Safety at Work Regulations 1999, the event organiser and exhibition contractor must supply the Event Manager with:

1. A copy of their organisation’s H&S policy statement 2. A Method Statement for work being undertaken as well as a Safe Systems of Work document to highlight the control measures being put in place in a written format 3. A suitable and sufficient risk assessment/s to cover the event as a whole.

These documents should be made available at least 14 days prior to the start of the event, in case of any query, and should examine all potential risks to exhibitors, staff, ICC staff and delegates. In addition, the event organiser should obtain a risk assessment from each exhibitor plus any additional contractor/s, which must be brought onto site and be available for viewing in case of any query from H&S advisors or local authority inspectors.

If you intend to carry out treatments on your exhibition stand, you must inform the organisers of your intention.

DEMONSTRATIONS

Exhibitors intending to use televisions or any other potentially loud appliances for stand demonstrations or who wish to hold live demonstrations must contact the organisers for approval at least one month prior to the show to gain written permission.

DELIVERIES & COLLECTIONS

Due to limited space and multiple events at the venue, deliveries will only be accepted from 14th September 2017.

Ensure your contact name and number, and your stand name and number are clearly displayed on all items delivered. You must also be available to sign for your goods as neither the Organisers, nor the venue, can accept responsibility of your goods in your absence.

Please note that there is no on-site storage, so you must make your own arrangements to store packing cases/storage boxes for the open days.

Any goods for collection post-show must be clearly labelled and left in Bay B/Goods Inwards, and collection must be made within 3 days after breakdown. After this, and similarly with any goods left in the halls after this time, the goods will be deemed rubbish and disposed of accordingly.

Access to the Halls

As you may imagine, after certain recent events, the ICC will be tightening security this year. They require a full list of names of your representatives and contractors who will be requiring access to the halls during build-up.

Please send list of Building contractors names within one week of the event to [email protected]

For Exhibition open days, you must display your exhibitor badge, to be provided by the BACN from Friday 15th; names must be given to BACN by 16th August 2017.

Access to Hall 3 is via Bay A; access to Hall 4 is via a lift from Bay B. The entrances to both loading bays are on Cambridge Street. Please note that traffic wardens operate along Cambridge Street.

VENUE INFORMATION

Venue Location

The ICC is located centrally in and is easily accessible by road from all over the UK. Visitors from any direction can travel in to Birmingham using many different routes connected to the following motorways: M1, M5, M6, M6 Toll, M40 and M42. The ICC is signposted on motorways and major roads, and is marked on most road maps.

The ICC is accessible to wheelchair users via ramps or lifts. Tactile signage is fitted in the majority of lifts. Assistance Dogs are welcome at our venue. For vehicles displaying blue badges, parking is free of charge at or near the main entrance. Spaces need to be booked in advance so you must call The ICC in advance: 01217 804 949.

Catering

Catering will be provided for exhibitors during the breaks of the conference.

Cleaning

General cleaning of stands will be carried out prior to the exhibition opening on each morning. This service is free of charge to all exhibitors and paper or packaging rubbish should be placed in the aisle at the end of the day (any bagged waste left on stands will not be removed). The cleaning of exhibits, however, remains the responsibility of the exhibitor. Any exhibitors requiring extra cleaning should contact Fran Moore on +44 (0)121 644 5150.

Please note that, with the exception of paper and packaging, exhibitors are expected to dispose of their own rubbish. Should you need to dispose of a large quantity of rubbish following the event, please contact your Event Manager.

The disposal of Medical waste (such as needles) needs to be pre-booked and will be charged for. Please contact your Event Manager.

Dilapidation Charges

All construction must be completely self-supporting and no fixings, fittings, rigging, or painting may be made to any part of the permanent structure, floorings (including sprinkler pipes) or fittings of the halls. Any construction must allow access to services. You are

In your own interests, you should satisfy yourselves as to the condition of your stand site before the building of your stand and after its clearance.

The Organisers will pass on to the exhibitor any charges for damage to the exhibition halls, caused by exhibitors, their staff, or their contractors. This includes the charge for removing any carpet tape left on the floor and any heavy building rubbish left behind after the exhibition.

Security

The halls will be hosted and monitored by venue staff, and monitored by CCTV for the duration of the event, however, the organisers will provide general security within the exhibition halls. However, the individual security of the stands and exhibits lies within the responsibility of each exhibitor. Valuables should be locked away overnight and additional care should be taken during exhibition build and breakdown. During the pull-out period extra care must be taken, as this is a vulnerable time. In the unlikely event of a theft, please report to the organisers’ office immediately.

No exhibits may be removed from the hall during build-up or the open days of the show without obtaining a pass out authorisation from the organisers’ office. Passes should be worn at all times by both exhibitors and contractors.

Terms and CondiƟons for the supply of electrical services to exhibitors 1. General – These terms will form the basis of a contract under English law. For the purposes of this contract the person or business requiring electrical services will be known as “the Exhibitor” and the supplier of the services will be known as “Index Group”. 2. Payment – Payment is required from the exhibitor prior to the supply of services. No electrical services will be provided without full sele‐ ment in advance. 3. Services – Index Group will supply electrical services as requested by the exhibitor via the official Index Group order form and associated plan paperwork. Failure to correctly complete the order form or plan paperwork may result in delay to the supply of services. All correctly completed orders will be provided by Index Group prior to the start of the exhibion/event. Index Group will perform essenal tesng of the services prior to the handover of the installaon to the exhibitor, to comply with health and safety legislaon. Any changes required to the services and/or their posioning on the installaon must be nofied to Index Group prior to the start of the event. Any late changes will be dealt with as quickly as possible but Index Group will not accept responsibility for any delay in provision of services, due to late changes. 4. Failure – In the unlikely event of failure of the pre‐tested services, the exhibitor must inform a member of Index Group staff within 1 hour of the failure. In the unlikely event that the services have not been put in place at the start of the event, the exhibitor must inform a member of Index Group staff within 1 hour of the start of the event. Index Group has a manned services desk to assist customers, which is the first and main point of contact in the event of the failure of services. During office hours the following number may be used if the desk is temporarily vacant – 02476 636783. Engineers are also onsite and wearing Index Group indenfying clothing 5. Refunds – Index Group will not issue refunds in the event of: i) Alteraon of the original installaon by non‐Index Group staff ii) Delay in reporng of faults or failures subject to Condions 3 and 4 above ii) Variaon of the exhibitor’s original order during the event. 6. SPECIFICATION

1. No other apparatus will be permitted to be attached to services provided without the approval of the ICC/NIA (NEC Group). Only BABT approved apparatus can be connected directly to telecommunications circuits.

2. Call Barring and special services will be carried out by the ICC/NIA (NEC Group) on the written request of the customer.

3. We would advise you to insure against loss or damage.

STANDARD CONDITIONS OF CONTRACT

1. In this document "ICC" means the International Convention Centre, Birmingham and "NIA" means the National Indoor Arena, Birmingham, divisions of the National Exhibition Centre Ltd. "NEC" means the National Exhibition Centre.

2. If by the reason of force majeure, labour difficulties or shortages of materials or any other cause outside the control of the ICC/NIA, ICC/NIA is unable to provide all or any of the services ordered by the customer during the whole or any part of the duration of the event, the customer's rights shall be limited to the return of a corresponding proportion of the charges paid by him for such services.

3. ICC/NIA/NEC its employees or agents or their employees will not be liable for the damage to property or death or injury caused to persons by or in any way connected with the services agreed to be provided, except only where such damage or death or injury is occasioned by the negligence of ICC/NIA/NEC, its employees or agents or their employees.

4. On no account will ICC/NIA/NEC be liable for any direct loss suffered by the customer howsoever caused.

5. Orders received or amended after the date specified on the front of this form will not be installed until after the completion of orders received prior to this date. Late orders will be fulfilled in the order that they are received. This condition will be applied to all orders placed during the event.

6. ICC/NIA/NEC reserves the right to refuse to process orders until payment in accordance with our terms of payment for the service has been received. This condition will be enforced for all orders placed during the event.

7. Early orders will earn a discount as shown. Orders on site will incur a 50% surcharge.

8. All orders must be accompanied by dates, times and a dimensioned drawing showing the position of services on the stands, which should be above, or in close proximity to, ducts/outlets to avoid surface obstructions. If insufficient information is provided the equipment will be installed in a position decided by the ICC/NIA/NEC.

9. Wireless Interference - all wireless services, regardless of location or service provider, are susceptible to interference. This can lead to loss of connectivity, slow network traffic or poor performance. By ordering this type of service you have acknowledged that wireless services cannot be fully supported in the presence of interference.

CANCELLATION

Cancellation of order will only be accepted when made in writing. Where cancellation is received in writing by the NEC Group later than one week prior to the start of build-up, the services ordered will be charged at the standard rate.

COMPLAINTS

Complaints with regard to services supplied will not be accepted unless notification of such complaint is received in writing by the NEC Group during the open period of the exhibition.

Deliveries to Site - Deliveries to site are only accepted during tenancy times, and preferably when the client is available to sign for packages. Delivery label should be fully completed, and couriers should be advised to report to Bay B of the ICC (off Cambridge Street) for further delivery instructions. The ICC Goods Inwards will sign for goods (on acceptance of arrival basis only). The ICC will not accept any liability for items after delivery. Please be advised that there is no on-site storage available, and all tenancy areas must be clear at the end of the event. Any parcels or stands left at the venue must be clearly marked ready for collection and left in Bay B/Goods Inwards. Collection must be made within 3 working days of tenancy ending; anything left behind beyond this time will be disposed of by the venue. Please note that it is the responsibility of the individual organiser/standholder to arrange their own courier.
