Transfer Files to Your iPad

There are several ways to transfer files to FileMaker Go in order to use them locally on your iPad: •Connect your iPad to iTunes through your computer with a USB cable •Use your iPad’s application to access a file hosted on a web •Send a FileMaker file to your iPad through email If a file that already exists on your iPad is transferred to FileMaker Go using iTunes, you will be presented with a dialog asking you if you want to replace the file on the iPad with the one you are moving. If a file that already exists on your iPad is transferred to FileMaker Go using email or the web, the file is added to the Files on IPad list with a serial number appended to the file’s name. For example, if the file StuForms.fmp12 already exists on your iPad and you then receive that file in an email, the emailed copy of the file will be renamed StuForms 1.fmp12. •Connect your iPad to iTunes through your computer with a USB cable 1. *From a computer, download the StuForms.fmp12 file from the following website http://www.highplainsed.com/FMGo.htm OR use the prepopulated file from your USB flash drive. 2. Connect your iPad to your computer using a USB cable. 3. Open iTunes and select your iPad from the list on the left or top right. 4. Select the Apps tab from the top of the iPad summary screen and scroll to the bottom of the page stopping at the File Sharing section. 5. Select FileMaker Go from the Apps list. 6. Click Add… 7. Navigate to the StuForms.fmp12 file on your computer and click Add. You can also drag and drop the file on the FileMaker Go Documents list to add the file. You will see your iOS iPad briefly enter sync mode as iTunes copies the file to the iPad, and then you will see the StuForms.fmp12 file added to the FileMaker Go Documents list on your iPad.

*Note: When downloading the file, if you get a browser page full of random characters, try using a different browser. I suggest using Firefox.

•Send a FileMaker file to your iPad through email From a computer 1. *Download the StuForms.fmp12 file from the following website http://www.highplainsed.com/FMGo.htm or send the StuForms.fmp12 file found on your USB flash drive. 2. Create an email message to the email address you have set up on your iPad and attach the StuForms.fmp12 file and send 3. On your iPad, open the email with the attached file. 4. Tap on the attached file and select “Open in FileMaker Go” Layouts - move between different forms Records - add & delete records or click on House icon Search - find, sort & omit records Files - open & delete files

Once you have completed your forms you will need to get them to the MIS Department. There are two ways to go about this. 1. Transfer files through iTunes to your computer, then email to the MIS Dept 2. Email files to yourself, then onto the MIS Dept

Files must be saved to the (Adobe Reader) format before sending. This is not required if you are emailing the files. If you find that you need to edit a form, delete the appropriate pdf file, then create a new pdf file with correct info before emailing. Open iTunes and select your iPad from the IPads list on the left. 3. Select the Apps tab from the top of the iPad summary screen and scroll to the bottom of the page stopping at the File Sharing section. 5. Select FileMaker Go from the Apps list. 6. Navigate to the StuForms.pdf file, click and drag the file to your computer desktop 7. Rename the file using the student last name and first initial (i.e., SmithJ.pdf) 8. Email this file as an attachment to [email protected], with the student name and type of paperwork in the subject line.

Transfer files through email to your computer, then email to the MIS Dept (you must have email set up on your iPad for this to work) 1. Open the pdf document on your iPad by tapping on the document from the file list Drop down menu icon 2. Tap on the open document once to get a menu bar at the top of the screen 3. Tap on the icon in the upper right corner and a drop down menu will appear, select the “Mail” icon. This will open the Mail application and attach the file to be emailed. Email this file to yourself. 4. Once you receive the email on your desktop/laptop computer, rename the file using the student last name and first initial (i.e., SmithJ.pdf) 5. Email this file as an attachment to [email protected], with the student name and type of paperwork in the subject line. FilemakerGo and Student Forms

FilemakerGo is a database. are designed to offer an organized mechanism for storing, managing and retrieving information. The Student Forms database is composed of Records (one student per record), and within each of the records is a collection of Fields. These fields contain information specific to each record (or student). Entering Data First step is to decide where you want to enter your data. You can do this in individual forms or within a group of forms. Tap on any of the From the FileMakerGo Home page, tap on green buttons to one of the buttons which will take you to go the the selected the form(s) selected. Create a blank record forms by selecting the +/- icon on the lower right corner of the screen and select “Add New Record” - Once you enter data into the fields of this record, that data will transfer to any of the different layouts (forms) that request the same information.

House button takes you back to the home page containing the buttons for forms When entering dates and a date wheel pops up and can spin through the wheel to find the correct date, or you can just type the date in. You can also tap on the list view to remove the wheel. Check boxes - tap on box to enter an X. If you want to remove the X, tap on the box again.

Use the Previous and Next buttons to move between fields.

Signature Fields- When selecting a signature field, a pop up window will appear asking what you want to import. Select “Signature”. A full size window will appear to enter a signature. Use a stylus or finger to sign name, then tap on the Accept button. Backing Up Your Data There are two recommended ways to back up your data. 1. Through iTunes on Your Computer 2. Sending the File via Email •Back up file using iTunes on your computer 1. Connect your iPad to your computer using a USB cable. 2. Open iTunes and select your iPad from the IPads list on the left. 3. Select the Apps tab from the top of the iPad summary screen and scroll to the bottom of the page stopping at the File Sharing section. 4. Select FileMaker Go from the Apps list. 5. Locate the StuForms.fmp12 file from the right column 6. Drag and drop this file to your desktop. Or you can click on this file and select the Save to... button on the lower right corner and select where you want your file to be saved. *Please note that you cannot open this file on your computer unless you have the FileMaker Pro application installed.

•Back up file using email 1. Open the StuForms.fmp12 file 2. Select the Tools gear icon in the upper right corner of the screen 3. Tap on the Save/Send button 4. Tap on the Database button 5. Tap on the Email button 6. An email message will open with the file attached. Enter your email address with a Subject and send. *Please note that you cannot open this file on your computer unless you have the FileMaker Pro application installed.

The FilemakerGo files will have the extenstion .fmp12. You cannot open these files on your computer unless you have the FileMaker Pro Application.

Staffing Team Report does not need live signatures, unless there is a dissenting opinion. Just type in the names of people attending the meeting.

You can tab from field to field by using the Previous and Next buttons located above the onscreen keyboard. If you have a bluetooth keyboard with a tab key, you can also use that.

In addition to entering data in the group of forms that are appropriate for the type of meeting you are going to hold, you may also want to complete the Extended School Year Addendum and Interagency Release as these forms are not included within any groups.

Check with your school psych to see if he/she would like a copy of the pdf file for annuals and exits.

It is a good idea to occasionally close your applications (especially if apps are not behaving normally). To do this, go the the iPad Home. Double tap the iPad Home button, press and hold one of the apps. There should be a minus sign in a red circle on each app. Tap on the minus sign to close the app. It would not be a bad idea to occasionally close all open apps.

If your layout button in FileMakerGo is not visible on the lower left corner and you want to change layouts using this pop up list, tap in a blank area on the form and the layout button should then be available.
