Austria Ski Trip: Saturday 2nd April to Friday 8th April, 2022

Following the success of our previous ski trip to Austria, I have great pleasure in announcing that we have again been successful in securing a booking to enable us to go to Salzburger, Austria for our next ski trip from Saturday 2nd April to Friday 8th April, 2022.

The trip will be open to students both at The Academy and The Chalk Hills Academy. The positives of organising a trust trip is that we are able to receive a competitive price and make it as cheap as possible! We have previously used IBT travel and coordinated two ski trips with them previously and they are an extremely reputable company. I have great confidence in them to provide us with a safe, exciting and once in a lifetime experience.

COVID

I understand that there will be some queries in regards to COVID which is understandable. I have held off in releasing the details of the trip as I was awaiting IBT to outline their COVID policy. Attached to this letter is the COVID policy for your perusal.

Details of the Trip

The total cost of this trip is £1100. This price is great value for such an incredible experience in one of the premier ski resorts in Austria. The cost includes all flights, coach travel to and from the airports, full board accommodation, ski school and two après-ski activities. Students will have 5 full days skiing with 5 hours per day top quality ski instruction. If we have enough students we will travel by coach and the price will be reduced to reflect the coach travel.

Ski Trip Information PowerPoint- Virtual

Usually, we would hold an information evening but due to current COVID restrictions this will not take place. Instead a PowerPoint with all the information will be available on our websites from Monday 1st February 2021.

I am fully expecting that the demand for this trip will be high, so places will be filled on a first come first served basis. Places will only be reserved on receipt of a £250 non-returnable deposit, along with the completed parental consent form no later than Friday 26th March.

Our preferred method of payment is through ParentPay although payments can be made by debit/credit card or cash.

• The trip price has been agreed for 20 students but if we don’t fill all the places then this will be discussed with parents and the trip may need to be cancelled. If this is the case, the final balance required in February 2022 will be adjusted accordingly and parents and carers will have been made fully aware of any change in price. I don’t foresee this happening as in the past we have taken around 20 students on our previous ski trips, but it is something to be aware of. • By paying the deposit, parents/carers are agreeing to pay the full trip price in line with the payment schedule laid out in the trip letter to follow. • If you subsequently decide to withdraw your son/daughter from the trip, please notify me in writing no later than 2 weeks of paying your deposit. Parents who have not notified me of withdrawal by this date will be liable for the full cost of the trip. • If students pull out of the trip at any stage following this initial 2-week period, you will still be required to pay the full trip amount as lower student numbers may affect the trip price for other students. • It is imperative that all payment deadlines are followed as we are contracted to keep to a strict payment schedule by the tour company and we must ensure that we have received the money prior to each payment to the company. • Students on the trip will be expected to maintain a high standard of behaviour both in and out of school. Failure to do so will put their place in jeopardy. • The Trip Leader reserves the right to remove any student prior to the trip due to any reason that may impact on the health and safety and enjoyment of those on the trip, such as behaviour both inside and outside of school, or if there has been occasion to exclude a student on previous trips. • The final decision regarding students travelling on the trip will be made by the Principal or a designated member of the Senior Leadership Team. A number of clear warnings to the student and their parents will be given if such circumstances arise. If a student is removed from the trip by the Trip Leader at any stage, full trip payment will still need to be made. • If a student needs to be removed from the trip whilst abroad for serious poor behaviour, the parents will be required to fly out to the nearest European airport as soon as possible to collect their child. Where this is not possible the Trip Leader will book flights and a member of staff will accompany the child home. In both events, the parents will be liable for all related travel costs. • By signing the consent form, parents agree to the necessity for their son/daughter to behave responsibly.

IBT COVID Policy

We are delighted that you are looking to proceed with your planned trip or confirm a new tour for travel dates between December 2021 – April 2022. To provide you with the confidence, security, and peace of mind, we have revised our booking conditions as below –

Conditions As normal, the school/group pay the deposits listed on your quotation documents by the dates requested.

Your final balance payment is now not due until 8 weeks prior to departure instead of the standard 12 weeks before travel. At this stage either of the following will apply:

1. If there are no travel restrictions in place by the Department of Education or the Foreign, Commonwealth & Development Office for your Country of departure, or no travel restrictions in place for the Country of arrival then you pay your final balance and we proceed with the tour as planned.

2. If there are travel restrictions in place by the Department of Education or the Foreign, Commonwealth & Development Office for your Country of departure, or travel restrictions in place for the Country of arrival then there are two options available at this point in the process as follows:

a) We agree to postpone the tour to a later date in the same year (or the year after) and all the money you have paid to date rolls over to the new tour automatically.

b) Cancel the tour and receive a full refund of all payments we have received to date.

When we reach the final payment date of 8 weeks prior to travel and if there are no travel restrictions in place as defined in point 1 above and you decide not to proceed with the tour then you will forfeit all payments made to IBT Travel.

If you decide to cancel the tour for any reason (other than the reasons stated above) up to and including the final payment date of 8 weeks before departure, you will forfeit all deposits paid to IBT Travel.

After the final balance has been paid all cancellations thereafter will be calculated in accordance with our Booking Terms and Conditions.
