Dear Coaches,

Welcome back to Great Falls, the heart of Special Olympics Montana. From the SOMT staff, the Games Management Team, and the numerous businesses and volunteers who support the 2018 State Summer Games we welcome you, your athletes, and their families to compete and enjoy these 48th Annual State Summer Games.

After observing the Games in Missoula, our Games Management Team was energized to make the 2018 State Summer Games an unforgettable experience as athletes are enabled to “Rise Above The Roar”. Our volunteers have spent countless hours of hard work preparing each venue and organizing the Games so you and your athletes have a memorable experience. We are also excited to build momentum to celebrate the 50th Anniversary of Special Olympics Montana State Summer Games in 2020.

As your athletes gear up for the 2018-2020 State Summer Games, please prepare your athletes and families for the travel required to get to the various venues for the competitions. A map and all the details are included in the Welcome Packet.

We are excited to be part of an organization that provides the opportunity to have such a huge and positive impact in our communities across Montana. We applaud you and your team’s efforts in these State Summer Games.

Health/Crisis Mgmt. Procedure - Injury/Illness/Emergency

Outside of GAME Hours, if you need emergency assistance call 9-1-1 and they will help you as needed. PLEASE call or have someone call Jamie Wood – 406.564.2071 as soon as you are able to report you sought health care. All health events must be documented within 12 hours of care.

Medication

Any athlete who is taking medication should have a complete supply of medication and extras in case your trip is delayed. Coaches need to bring an accurate list of medication, as it is difficult to obtain certain types of medication on short notice.

Security Issues

During Competition Seek the assistance of the Venue Director to determine if the problem can be solved by stationing a volunteer at the needed location. If the problem involves any possibility of danger or violence, please call the police immediately. It is better to be safe than risk injury. If the problem is a theft, non-emergency or a general concern issue, please talk to the Venue Director.

Emergencies Call the Police (911).

In any crisis situation, all requests for information from the media must be routed to Special Olympics Montana President/CEO, Bob Norbie at (406) 899-2323.

Inclement Weather Procedure

In case of inclement weather that impacts the ability for an event to be held, the Venue Director in consultation with SOMT Staff will make a determination if the event will proceed. Depending on the situation, the event could be delayed, postponed or moved. In extreme cases the event may be cancelled. The safety of the participants is our priority. In case of inclement weather, monitor the SOMT Facebook page, website or the mobile app for further details. In addition, all Local Program Coordinators will be emailed.

Nerve Center/Information

The Nerve Center provides information, events/games schedules and materials regarding the State Summer Games as well as other Special Olympics programs. On Wednesday and Thursday, the Nerve Center will be located in the – McLaughlin Center Lobby. On Friday, the Nerve Center will be located at Great Falls High Memorial Stadium.

Please notify the Nerve Center of any medical situation and status as soon as possible after the situation has been addressed.

Team Check-In

Team check-in is from 6:00 p.m. to 7:30 p.m. Tuesday, May 15th at the University of Providence, McLaughlin Center Lobby. Team packets will be distributed at this time. A representative from each team/delegation MUST check-in on Tuesday, May 15th between 6:00 p.m. – 7:30 p.m., unless prior arrangements have been made with the SOMT Sports Department.

Coaches Meeting

A mandatory meeting for all team head coaches will be held promptly at 8:00 p.m. on Tuesday, May 15th, roll call will be taken. NOTE CHANGE OF LOCATION: The meeting will take place in the University of Providence Theater.

Credentials (Name Tag ID)

Identification name tags will be provided for each athlete, unified partner, coach and volunteer registered for the 2018 State Summer Games. They will be included in the team packet at registration. All athletes and unified partners must wear these name tags for medical purposes at all times, except while competing. If an athlete loses his or her name tag, replacements will be available at the Nerve Center.

Staging: Great Falls High Swarthout Fieldhouse (gymnasium)

During the meet, volunteers will meet athletes in the gym staging area and guide them to the pool deck and back to the gym. Spectators will not be allowed on the pool deck due to the limited space. Coaches may assist athletes requiring additional support. There is a spectator area for coaches, families and teammates to cheer on their athletes. There will be live feed video of the swim meet in the staging gym.

Awards: Awards will take place after each race in the Great Falls High Swarthout Fieldhouse (gym).

Location: Paris Gibson School Football Field. 2400 Central Ave.

Venue: As per the Special Olympics, Inc. rules, the courts will have side and end walls. The side or end walls may be utilized during play for bank shots or rebound shots.

Field of play: There will be a roped off spectator area for coaches, families and athletes not competing. No one but athletes, Unified partners and officials are allowed in the competition area.

Competition: A Doubles match is decided by the first team to 12 pts or 15 minutes, whichever comes first. After 15 minutes, the team with the most points wins the match. Doubles pairs will be placed in 3 or 4 team divisions with bracketed play. Each pair will play two games to determine gold, silver, bronze or 4th place.

Awards: Awards will be presented as each division finishes their competition.

All bicycles/tricycles must go through a mandatory check before they will be allowed in competition. Bicycles/tricycles can be inspected at the following time/location:

Any bicycle/tricycle that has not been inspected prior to competition may not be allowed. This is for the athlete’s safety and the safety of others.

NOTE: Time trials will be run in thirty second to one minute intervals, one athlete at a time, not as a race, as has been done in previous years.

Events: Barrel racing, English equitation, pole bending, showmanship at bridle, showmanship at halter, stock seat equitation, working trails English & stock seat, drill team

Location: Montana ExpoPark, 400 3rd St. NW. (Livestock Pavilion, Outdoor Arena, Stalls)

Practice: Athletes are welcome to practice with supervision by their coaches; the trail course will be setup. Wednesday, May 16th, 2018 1:00pm – 5:00pm

Arrival: Arrival time for horses is set for Wednesday, May 16th, 2018 from 1:00pm to 4:00pm. Upon arrival, all horses need to be visually inspected by the venue directors, and venue directors will check health papers. Visual check will take place at Livestock Pavilion.

Horses: REMINDER: It is the responsibility of the teams to provide their own horses.

Grooming and Tack: Safety is the number one objective for this year’s competition. Please make sure the following guidelines are met to ensure a safe, fun, and enjoyable experience for every athlete.

• All riders (including coaches and athletes) must wear helmets at all times when riding a horse. • Athletes must either wear closed-toe shoes with heels or use safety stirrups and long pants (jeans or khakis may be worn) and hard soled shoes with a heel or boots. Mounting Athletes • There will be a designated mounting area. Team are encouraged to bring mounting blocks.

Classes and keeping the day moving: You are responsible for your athletes, and to make sure that they arrive on time to their scheduled classes. If they are not in the ring when the class closes, your rider will be scratched. Trail will be in the Outdoor Arena and riders are encouraged to complete their pattern as time permits.

Facility Clean up: Please help us keep Montana ExpoPark clean by picking up after yourself and your horses throughout the day. When leaving the facility following the show, be sure to take all of your belongings with you. Also, be sure to clean your stalls before leaving the facility.

Families/Spectators: Areas are available for spectators to take photographs of athletes receiving their awards. Please remind families and spectators to stay in the designated spectator areas. There are restricted areas (tack check, staging, mounting, and dismounting) where nobody but athletes, coaches, volunteers and qualified games officials are allowed due to safety issues. We ask that everyone please comply with these rules to keep participants, volunteers, and family members safe.

Pets: For the safety of the athletes & those riding, please do not bring pets to the facility.

Awards: The award ceremonies will take place at the end of the day. Please encourage athletes and their families to participate at this special time. There will be an awards ceremony group present to congratulate all deserving athletes.

Four Strong Mind Stations

Station 1: Stress Balls—Athletes receive a stress ball and practice breathing, squeezing the ball and releasing.

Station 2: Think a Good Thought—Athletes mentally picture someone or something that is special to them. They will talk with the volunteers about positive thoughts and the athletes will walk away with a power message for the SSG competition events.

Station 3: Smell the Flower—Athletes will receive a pinwheel and practice breathing exercises to decrease stress and anxiety.

Station 4: Stretching exercises for relaxation. Athletes will learn how to use their body position to stretch into a relaxed and comfortable position.
