Heritage Festival Committee MINUTES of September 14, 2011

Meeting called to order 7:10 p.m.

APPROVAL OF MINUTES: There were corrections to the last minutes made by Jim under Special Events it should read looking into radio Jack FM that has a bus called “Bustache.” MOTION to approve the minutes of August 10, 2011 as amended made by Carole SECOND by Peggie

TREASURER REPORT: (Carole) distribute and reviewed the financial report for August 10, 2011 period covering August 11, 2011 through September 14, 2011. She states our Heritage Trust at City of Placentia is -$515.66. The net change for checking account was -$1204.24. The Heritage Trust balance at the City is -$1719.90. Treasurer’s report filed for audit.

Expense: Penny saver $765.90, the OC Register newspaper $3,238.56 and S.C.S.B.O.A for the registration fee $100.00.

Guest: John McCauley is short on volunteers he has 12. John believes communication is a-must to have while checking in those who need to know where to go. John will be a rover and Bob Nixon will play a dual role as the information booth person, and there will be a person at the VIP area.

Dan Fenstemaker shows a short clip of past parade, which show on the cable area. In future filming crew could be at the McDonalds Restaurant area and on Borromeo Street.

Discussion - Dan suggests having a parade broadcaster. Do not need sound system speakers. Dan would shoot at all angles. Need help from volunteers obtain them from Heritage Festival Committee VHarlan Page 2 the two high schools in the city El Dorado and Valencia Laurie recommends for the next time to have volunteers sign up earlier. Eric has seen sophomores help as volunteers.

SUBCOMITTEE REPORTS:

Crafts committee (V. Harlan) 15 applications and expecting more to come in.

Discussion 12 volunteers needed to help with the sign-in of crafters and help to unload. Everyone should meet at 5:30 at the staff tent and help at the information booth then move onto to the band area where it starts announcing the winners. Anne will sign the community service forms for the volunteers

Band Review (Carole) Different bands this year coming from Duarte, Riverside, and Rim of the World. All 16 bands are going to the competition. Band judges will be paid and confirmation on portable copy machine coming from Atria De Palma.

Discussion Peggie asked Don Sheppard for the loan of the trailer and the golf carts are confirm.

Parade (Peggie) 33 entries includes dignitaries from Park and Recreation, Pat Melia, Senator Bob Huff, Councilman Jeremy Yamaguchi and the Municipal Water Company representative Joe Pat Williams.

Discussion - Henri DiCarlo will possibly be Grand Marshal. Need more convertibles already have a car for Cultural Arts committee, but need the application from them. Anne has only 13 Scripps need the rest of them.

Entertainment (Tommie) the entertainment is the same as last year which includes Dave the Roper, Dale Carlson and Flossy the clown with her pony; Abbott the Mime, Circus stilts walkers (use Lee Castner’s truck to help walkers get up to their stilts), and Tae Kwon Do.

Advertising (Tommie) the Penny saver will advertise in October 5, front cover for the north part will advertise on the back cover for the south side and on October 12 both covers for three days.

Discussion- Thank you advertising needed to have them that night to be post on Monday following the event. Tommie made flyers for the pancake breakfast. Peggie wants it to be clear that we need to feed the volunteers a pancake breakfast.

Food Committee (Gerry) there was a food booth-netting meeting on Tuesday, September 13, at city hall. The netting enclosures can be a full length to have cooking in shaffing pans or dishes. Two non-profits include full enclosure with washing area. The cost will be more when purchasing rent for the price of $110.00 rental fee.

Discussion: The Knights of Columbus pulled out as a food vendor

MOITION to refund $135.00 to the Knights of Columbus and purchase the two mesh netting by Peggie and SECOND by Jim.

Business Showcase (Erin) has 10 vendors only but working on getting more with the Rotary and every vendor will have a door price.

Discussion- Business showcase vendor week uncertain at this time

VIP Committee (Laurie) check-in is a normal procedure and need table and chairs as the equipment with canopy possible. Need signage for VIP area. Cultural Arts committee helping.

Discussion -Laurie would like two copies of the entries sheet and map layout of the festivities and parade. Laurie would like a letter with the city logo to take to the restaurants.

Car show Committee (Frank) more applications were handed to Frank by V. Ortiz there are 25 vendors at the car show area.

Discussion: Public works will be at the park to hook-up the generator. Peggie wants to have a car show polo shirt for Henri Di Carlo. Jim suggested having star cars to put them in the car show area.

Special Events Committee (Jim) Jon put an ad in the website of the Shrine’s and the prowlers. Jim does not have a name of the child from Make-A-Wish foundation. (No car for the sponsored child as last year, because it is in the shop.) Jim hopes next week will have a name from the Make-A-Wish foundation. Working on Saber guild, trash band and will have the zoo mobile in the game area.

Discussion-V. Ortiz needs equipment list and will have dressing area at the El Torito Restaurant. Brian Yamaguchi will take Snoopy from the Police station

STAFF COMMENTS: (V. Ortiz) Setting-up for beer garden at 10 am to 6 pm and it is in the MOU that proceedings of the event will go to the Placentia Foundation non-profit organization.

Discussion- V. Ortiz works on the bids on port-a-potties and electrical contractor for the equipment and set-up keeping the same layout.
