Marketing details Welcome... We are delighted to welcome your production to the Embassy Theatre, Skegness. We look forward to working with you on your event in order to generate sales and profile your show to the best of our mutual abilities.

The Embassy Theatre marketing charge is £210+VAT per event. Please note: Marketing charges for longer running events will need to be arranged at the point of discussions/contracts with the Theatre Manager. What’s included in your marketing package? • At least a 1/3 page entry into one edition of our What’s On brochure. • A minimum of one e-shot - this will feature other events that are appearing. • Entry onto the Embassy Theatre website with online ticket sales enabled. • Regular poster and flyer distribution - shopping centres, hoteliers etc. • Flyer and poster displays in the theatre building. • Visual printed, full colour listing on the Embassy Theatre external poster drums by way of vinyl wrapping (up to six sites). • Images/artwork will be required for vinyl wrapping please: The dimensions are 300mm wide x 465mm high (portrait orientation). • Display of a four sheet poster at one of several sites in the locality. • Listing on other external websites/publications. • Press releases issued to our local newspapers and magazines. • Display of a pull-up roller banner within our main venue foyer/bar area (subject to space). • Targeted exit leafleting. • A shared event listing on the Embassy Theatre Facebook page and regular engagement.

Embassy Theatre What’s On brochure:

Our brochure is produced three times a year, covering the periods of February to May, June to September and October to January. We print an average of 30,000 copies per issue with in excess of 10,000 of these being sent out by direct mail. In addition to the direct mail, we use a distribution company to help distribute our brochures to over 500 venues (hotels, guest houses, tourist information centres and businesses) throughout the county and beyond.

What we need from you...

In order to achieve the best quality print for you, we would like to ask that you send us the following - please note that these are not essential but highly desirable:

Images:

Please send high resolution images to use, suitable for print. These should be a minimum of 300dpi (dots per inch) with portrait and landscape options where possible and both with and without text/titles/logos.

Layered artwork:

Layered artwork would be appreciated - supplied using a file transfer service (WeTransfer or Mail Big File etc) or a link to a cloud storage drive (Dropbox or similar). A layered logo or PNG image would also be useful. Please note: formats such as .psd (Adobe Photoshop), .ai (Adobe Illustrator), or .indd (Adobe InDesign) are preferred.

Please do not send embedded images within documents or emails.

What we need from you...

Please check with us regarding quantities for large scale productions, longer runs or those planning direct mail outs as these will require increased quantities. The list below details our preferred print quantities however these are not all essential - please contact us if you have further thoughts: [email protected]

Please note: We will need to see a proof of any print that uses our logo and venue information.

If you could please ensure that we receive print at the Embassy Theatre at least 12 weeks before your event. This will allow us to schedule our distribution and maximise coverage for your event.

If you are printing any ticket prices – they must be printed fully inclusive of the Embassy Theatre handling fee - thank you.

Overprint of flyers: To provide an overprint facility on up to 2000 A5 flyers will incur a cost of £80+VAT and will be contra-charged in full to the show.

Requested print quantities: • 10 x B2 posters. • 100 x A3* posters (optional for local distribution to hotels, guest houses etc). • 100 x A4* posters (optional as above). • Up to a maximum of 2000 x A5 flyers. • 2 x 4 sheet posters (60” high x 40” wide). • 1 x pull-up roller banner (optional - if available).

Please note: we can distribute A3* or A4* posters, supplied and overprinted by yourselves to in excess of 120 hotels, caravan and leisure parks, guest houses and businesses throughout the district and, during the seasonal months of April to September, this figure rises to somewhere in the region of 200. We must be in receipt of your overprinted posters well in advance to guarantee this distribution.

All print will be disposed of after the final performance. If you would like any banners/pull-up banners/print returning, please ensure you let us know at least 7 days prior to the event so this can be returned to the staff from the touring production on the evening of the show - before they depart. Image: A selection of high resolution portrait and landscape images, preferably supplied both with and without text/ titles/logos. At least one production shot if possible. Web header image dimensions are sized at 1920 pixels wide x 575 pixels high. If you cannot supply an image to this size the listing may not display correctly - we reserve the right to edit the supplied images and will ensure a ‘best-fit’ where possible. One website thumbnail - sized to 420 pixels wide x 250 pixels high. As above - if an image cannot be provided to this size, we will use something to fit as best as we can.

Copy and editorial: Please provide copy to a maximum of 300 words promoting and explaining your event. Brochure copy will be acceptable. Anything that is supplied as a part of the above, for use on our website could also be utilised in a range of other communications - i.e. mail/email/other publications or websites and therefore, if you can supply varying lengths of copy it would be much appreciated. We ask that you make the copy as detailed as you can - a description of the show/artist - not just a biography or press release.

Please note: there may be occasions where we have to edit or rework your copy to suit different publications, audiences or space limitations.

Links: Please provide links for video features (we can link to YouTube) and also, links to the show/event website – these can be included on our website as a part of your event listing.

Quotes: If you have any reviews or quotes relating to your event/artist/production, then please do send these through and also make it clear whether they are in relation to a previous production.

Social media:

Please provide us with a link to your own website and also let us know if you have Facebook, Instagram and Twitter accounts. This will enable us to share/link information through our own social media accounts.

Facebook boosts are available but video is preferred. Any video for use on Facebook must be provided as a WeTransfer or Dropbox download (or similar file sharing service) so we can upload the original file.

E-shots:

We send out fortnightly on average, an e-shot to those registered with our email marketing system. There are currently, in excess of 17,000 people registered. These are designed with one lead event (chosen at our discretion) and a cross-section of other events scheduled in the coming weeks at the time of the e-shot or announcing a new on-sale. Please note: the e-shot content is entirely at the discretion of the Embassy Theatre.

Main feature e-shots are subject to availability and timing as we have to balance in excess of 200 performances each year. Your production will form the main, top feature of an e-shot however any additional shows that may feature are included at the sole discretion of the Embassy Theatre. Main feature e-shots will incur costs and will be contra-charged in full to the show. Cost: A main feature e-shot to 17,000 is £80+VAT

A number of other high quality, glossy, countywide publications are available - such as, Lincolnshire Journal, Lincolnshire Life, Lincolnshire Pride and Lincolnshire Today. Prices are available on application.

Please note: Advertising rates are carefully negotiated - any agreed spend will be contra-charged in full to the show. Prices are subject to regular review - please contact us for the latest rates.

Banner advertising:

We have a limited number of sites where we are able to place a PVC banner - supplied by yourselves. Siting of banners is subject to availability and is not available all year round. The Embassy Theatre accepts no responsibility for any loss or damage that may occur to banners once sited. The recommended size is a minimum of 2000mm long x 600mm high - please ensure that any banners supplied have metal eyelets. Banners will need to be overprinted - venue logos available upon request.

The exterior of the theatre building (facing the street - Grand Parade) has room for one large banner space, sized at 3000mm long x 2000mm high. This is available at various times throughout the year and is in a prominent location. Please contact us for price and availability.

Radio advertising:

Lincs FM: 102.2 Typical, week long airtime campaigns range from approximately £1000+VAT+production. More details are available upon request.

BBC Radio Lincolnshire: 94.9FM Interview opportunities available. More details are available upon request - no paid for opportunities are available.

Direct mail:

We will occasionally send out targeted direct mail to relevant sections of our client database. Please note: the content of the direct mail is entirely at the discretion of the Embassy Theatre.

Solus direct mail is available as an option - the cost of this will be contra-charged in full to the show. Options for school / group / residential home direct mail are also available. Cost: Price on application - due to postage and fluctuation in printing costs.

GDPR / Data Sharing:

If any direct mail options are agreed, please remember that we will require you to enter into a data sharing agreement with us and we will therefore have to ensure the safe transfer of data. A signed agreement will be required.

Please advise and supply information relating to any specific content or details within your event/show including but not limited to:

• Age restrictions or recommendations • Strobe light and/or pyrotechnics • Any adult themes within the event • Support acts • Availability of education packs or other resources

Offers & Competitions:

Please discuss any potential competitions and/or offers that you wish to run at the earliest available opportunity. With regard to offers - our preference is to run with ‘Early Bird’ ticket offers that are launched as the show goes on sale. We will not distribute last minute offers as we feel that these have a detrimental effect on our core audience and upset those who booked earlier at potentially, a higher price. We are of course, happy to discuss this impact with you.
