Banner and GaMods V7 Upgrade Update

OIIT anticipates an early release of GaMods 7.x in February 2006 for the Research Universities who received baseline software directly from SSCT. All other BOR/USG institutions will receive a standard O/S install, baseline Banner and GaMods V7 application software in BETA in March 2006. A supported production release will follow in June 2006.

Here are a few things you can do to prepare.T

• Monitor the Banner/GaBEST 7.x page (https://www.usg.edu/banner/7xHTU )UTH on the Banner Production Support Web site for updates. This page is a work in progress and currently contains directions to access the SSCT documentation and training workbooks on SunGard SCT’s ActionWeb. The page will be updated as information becomes available. • Review the Banner 7 Computer Based Training (CBT) materials available at

http://swdist.banner.usg.edu/HTU .UTH Access to this Web site is secure and requires a user name and password. A campus technical representative will need to make these CBTs available to you locally. All CBTs are in the ISO . An ISO file contains the complete image of a disc. Once downloaded, you can burn it to a CD using most CD-burning software or it with one of the many ISO mounters (i.e. , MagicISO). • Attend V7 sessions at Georgia Summit 2005. See page 4 of this newsletter for highlighted sessions. • Participate in the V7 Hands-On lab at Georgia Summit 2005. Details coming soon. • Review the SCT baseline training workbooks for Banner 7. The training workbooks are located on

SunGard SCT Action Web (http://www.sungardsct.com/HTU )UTH within the documentation area in Extended Search, under Release 7.x.

Upcoming Enhancement for Financial Aid and Accounts Receivable

Self-Service Student Authorization Collection

USG will be enhancing the Banner Self-Service product to allow authorizations for HOPE scholarships and Title IV (TIV) to be collected electronically from the student upon secured entry in the institution’s student information system. New Self-Service Web pages will be developed to allow students to submit and review their authorizations. These enhancements provide a self-service component to the existing baseline Banner functionality for collection of student authorizations, namely the Authorization Validation Form (TVVAUTH) and the Authorization Maintenance Form (TVAAUTH).

The enhancements will allow institutions to control the messages which will be displayed to students, including the text and the order in which the messages appear. The Georgia Student Finance Commission (GSFC) approved the text that will be displayed to Georgia’s HOPE Scholarship award recipients. This approved text will be delivered with the enhancement.

Compliance with the GSFC requirements for HOPE Scholarship and Book Authorizations will be enforced at all institutions for the Spring 2006 semester. Delivery of the enhancement is tentatively scheduled for the end of October 2005.

Institutions can prepare for this release by becoming familiar with the Banner baseline authorization maintenance process. For information, refer to “Return of Title IV Funds and Authorizations Handbook” for Banner 6.x at www.sungardsct.com.

GAcollege411 GAcollege411 relaunched on September 12, 2005 with additional content and enhanced features. Institutions are encouraged to use the control center to update their information and add pictures and videos. All institutions will be expected to use TouchNet as their application fee payment gateway. Institutions who have not yet implemented TouchNet should do so prior to receiving the first admissions application via GAcollege411. Refer to the TouchNet implementation documentation at https://www.usg.edu/banner/training/touchnetaug05.phtml for details. Additional questions should be sent to the OIIT HelpDesk.

Monitor the GaBEST listserv for GAcollege411 updates. Institutions will be offered the opportunity to beta test the application download wizard in the near future.

Below are a few sessions that are specific to Banner and upgrade to 7.x.

This session outlines the SunGard SCT integration strategy and integration solution Banner Roadmap and roadmap for the Unified Digital Campus (UDC) and is intended for both new and Integration Strategy experienced users. This session focuses on the functional changes in the Banner 7 upgrade across all Banner 7 Functional modules that the University System of Georgia uses. Major changes include the Upgrade following topics: Concurrent Curricula, Common Matching Logic, and Fine-grained Access Control Managing financial aid has grown increasingly complex, requiring a greater extent of Financial Aid from a technical know-how for functional users to survive. Using some examples from our Technical-Functional Point experience at Georgia Tech, this session is designed for technical and functional alike of View to discuss openly how we accomplish our goals through an ever-increasing use of essential technical skills. This session is an update on the current status of Banner Accounts Receivable Sole Banner Accounts Receivable Receipting functionality including Cash Receipts, Reconciliations, Direct Deposits, Sole Receipting and Direct Debits. The session includes demonstration, campus experiences, plus a question and answer session. CAPP Product Development SunGard SCT discusses CAPP product development and futures as well as providing a and Futures specific review of high priority outstanding USG issues. This session is a demonstration of the process for colleges to use for the newly College Electronic delivered XML transcript exchange. We’ll show you a step-by-step look at the Transcript Exchange exchange of transcripts. GSFAPPS is the new web-based application system that will become the primary means for applying for scholarships, grants, or service-cancelable loan programs administered by the Georgia Student Finance Commission (GSFC). GSFAPPS is GSFAPPS carefully designed so that an applicant can quickly and accurately complete an application electronically, in a secure mode, and receive immediate confirmation that the application has been received by GSFC for further processing. This session is an overview of the process with a quick look at the application screens. This session demonstrates the steps for creating an on-line admission application using On-Line Admissions self-service and downloading the data into Banner. Session participants learn how to Applications: Creating and create their own graduate applications and also get a preview of the process for Downloading into Banner downloading undergraduate applications from GAcollege411. This session provides a high-level overview of the GeorgiaVIEW (Vista Implementation Enterprise Wide) Project. Key components to be discussed include an Banner and WebCT Vista overview of the architecture, the current manual integration process with Banner, and Integration the next functional and technical steps towards piloting Luminis Data Integration for e- Learning. In this session, we review e-commerce solutions for accepting payments from Low-cost On-line Payment customers. We discuss the rules and guidelines for charging convenience fees for credit Strategy card charges and options that schools have to reduce merchant fees associated with these transactions.

Fine-Grained Access Control (FGAC) in V7

SunGard SCT has enhanced Value-Based Security (VBS) and Personally Identifiable Information (PII) to use Oracle’s Fine-Grained Access Control (FGAC) to restrict user access to personal information based on business rules established by the institution.

VBS and PII use the same technology in FGAC. FGAC is an Oracle utility that appends additional SQL statements to an executing SQL statement. VBS restrictions are coded for individual users as needed. PII restricts users from viewing information not related to the processing area.

Value Based Security Using Fine-Grained Access Control

The implementation of VBS using FGAC controls row level security. Users may be restricted to specifically displayed rows based on user job requirements. FGAC retrieves information from the database transparently modifying the code by dynamically adding institution defined business rules.

VBS features using FGAC: • Allows maintenance of rules that control row level security. • The security is enforced by all products and tools accessing the database following one-time implementation. • Flexibility in group rules for setup and changes to FGAC as business practices change. • Security provided by FGAC carries to all Banner processing. • FGAC rules for table, table relationships, and user access are established in forms. • FGAC allows the exclusion of specific users, processes, and jobs. • Security rules can be defined to specify a single column or multiple columns. Oracle tables may also be secured based on column values or data elements.

Personally Identifiable Information Using Fine-Grained Access Control

The implementation of PII using FGAC allows control over sensitive personal information of applicants and students. This enhancement allows users to only view information for those people they need to see as part of a job requirement.

PII features using FGAC: • PII allows security related to the user’s access to processing domains. • PII specifically protects the SPRIDEN table; however, can be used to secure other tables. • Users may have a home domain as well as accessibility to other domains. • The new person search form provides display masking of data. • PII can be turned on or off for a specific user or object.

August/September 2005 page 4 Beta Testers Needed for GaMods 6.9

OIIT is recruiting beta sites for the Georgia Enhancements 6.9 release.

Functionality in this release includes the following: -Voyager Library Extraction (ZORVLIB) has been modified to include the Student ID (SPRIDEN_ID) and institutional FICE code to the ZORVLIB flat file. Also, address type code validation has been modified to be included as part of error checking when executing the process rather than via Job Submission (GJAPCTL) to prevent the STVATYP_EQUAL error.

-CWSI Load Process (ZRPWST1) and CWSI Update Process (*ZRPWST2) have been updated to perform matching of the social security number information based on SPBPERS_SSN instead of SPRIDEN_ID. Also, matching will be done using the first three letters of the last name found in the HRMS file based on (PERS_LAST_NAME). HRMS will be providing a new file containing only information related to College Work Study payroll data.

-Bank Routing Number Load Process (ZGRDIRD) has been created so that bank routing numbers are loaded in Banner through execution from job submission.

-Paid Hours Load Process (ZHRPDHR) has been modified so that errors are not encountered due to file size when processing large files.

-Enhancements for Title IV and HOPE Book Scholarship Online Authorizations

We anticipate that the software and documentation will be available on ftp.usg.edu on September 28 and ask that the testing results be returned by October 12.
