Purchase two Book 2’s for the Building Department.

ACTION REQUESTED

Motion to approve the purchase of two 2’s for the Building Department.

BACKGROUND

The City is currently working with BS&A Software for the approaching installment of new software for the Finance and Building Departments. One of the requirements is to equip each field inspector with a device that is capable of handling the BS&A software for field inspections. Per our conversation with BS&A, they recommend Surface products. We could purchase two tablets to be used just for field inspection; however, we believe it will be more cost effective to purchase laptops that can handle field inspection and everything else the inspectors need it for in the office. Therefore, we are attaching an email that shows quotes for a Surface Book 2. Each Surface Book 2 is quoted at $2,795 plus $249 for Office Home and Business and $365 for Adobe Acrobat 2017 Standard. The total for both computers is $6,818.

Our capital improvement plan shows the Building Officials computer is slated for replacement in 2019. The Building Inspector’s computer is slated for replacement in 2020. A combined $7,000 is budgeted for the computers.

Staff recommends replacing their current computers with Book 2’s. The used computers will be evaluated and repurposed in different locations here at City Hall.

Hi Brian, The reason to go with H&B would be for a cost savings (~$200 each license). Pro includes Access and Publisher if that is required. Below is the pricing for Surface Books like Phil's. Since it has only been 8 months, the model is exactly the same.

Surface Book 2 - $2795 each

Intel Core i7 Processor 256 GB RAM 16 GB RAM Pro 15" Touchscreen

Office Home & Business - $249 each

Adobe Acrobat 2017 Standard - $365 each

I need to get quotes on 2 Microsoft Surface Books.

These laptops will be for both of our inspectors for field inspections with our new BS&A software. I think something similar (or updated) to what was purchased earlier this year for Phil would work great (Surface Book 15" w/ Office H&B). This will be there regular computer so it needs to have sufficient storage space, Acrobat, etc. The screen will also need to detach so it can be taken into the field.
