l-he folloriitlg temrs and conditions must be fulfllled bv the successfirl bidcler lbr providing a vehicle on hire on r.nonthly rent basis.
1. The h.ired vehicles. during period of contract, shall have all necessary valid MV documents such as :- valid Registration Certificate, Insurance Certificate. Fitness Certificate.'u'a1id Contract Carriage Permit, proof of up to date tax payment etc. and D.1.. of the driver available all the tirnes. The Department/ Office triring the vehicle sSall ,ot be responsible for anl,damage/loss caused to hired vehicles or losses of lif-e/injur1, maclc to any person or damage to any property on account of use of hired vehicle any manner whatsoever. The hired shall be responsible for all such litigation.
2. The hire charges to be paid after deduction of income tax or any other tax as applicable by law for monthly basis is final but does not include cost of diesel, which is to be paid separately basing on actual consumption and h-rbricants as per existing Government norms. All the expenditure of the vehicle tou,ards repair. replacement of sparc parts. Lubricating oil of Engine, Gear Box & differential Coolant, fyres & Tubes. Battery etc. will be borne by the bidder.
It shall be the responsibility of the bidder to provide a good driver and the salary of the dri'u'er shall be borne by the owner.
4. In case of breakdown for reasons whatsoever the replacement of a vehicle of thc samc or better model shall be provided by the owner of the vehicle/bidder.
5. In case of the vehicle do not repofi regularly, the authority will be at liberty to reject thc agreement and may engage vehicle from other solrrce.
6. The vehicles shall report for duty for minimum of 30 days in a month.
7. In case of emergency, the driver will have to report for duty as per the requiremept ol- hirer. No extra payment shall be demanded.
8. Monthly hire charges and reimbursements towards cost of diesel (as per actual) and lubricants (as per Govt. norms) of selected bidder will be paid in every succeeding month, as per as possible within fifteen days of the submission of bills b,v the sen,ice provider and no advance payment r.vill be macle. All other expenditures of r ehicle towards repair, replacement of spare par1s, lubricating oil engine. gearbox and clifl-crept coolant, tyres, tubes, battery etc. will be borne by the contractor.
9. The vehicle shall not be more than 3 years old from the initial registration and also in good running condition during the period of contract.
10. If the services are found to be unsatisfactory, the client shall gir,'e one month nolice ancl terminate the agreement.
11. In case the service provider intends to withdraw the services of his vehicle and terminate the agreement, it shall be mandatory upon him to grant one month notice befbre such withdrawal of service and termination of agreement.
12. The vehicle owner/bidder should apply in one form fbr all ULB or may specif\,the ULI] for which he may apply and also he can quote the rates separately lbr eacl-r ULII. 13. All or any of the tenders (or bids) submitted can be rejected u.ithor-rt assigni,g arrr reasons thereof' No claim" whatsoever, shall be admissible for the alleged loss/ damage suffered b! the bidders on account ofsuch rejections
14. The customization of the vehicle of the will be done by this office. After end of the agreement or services the authority 7 will remove the cuitomizationto bring back the vehicle to original condition it w.as received.
15. The Office hiring the vehicle shall not be responsible for any damage /loss caused to hired vehicles or loss of life/injury made to any person or damage to any property on account of use of hired vehicle , any manner what's so ever. The owner shall be responsible for all such litigation.
16' In case of breakdowr for reasons what so ever the replacement of a vehicle ol't5e same or better model shall be provided by the owner of the vehicle / bidcler.
17. No advance payment will be made.
18. If the bidder violates any of the terms of contract, the office shall forfeit the entire amount of security deposit.
