Banners/Signs

The hotel reserves the right to approve all meeting banners/signs. Banners/Signs placed outside hotel meeting rooms should be professional and able to be displayed on an easel or a free stand.

Audio/Visual

An outside audio/visual company, PSAV Presentation Services Division, supports the Doubletree Hotel Princeton. PSAV offers professional audio/visual and computer services for meeting and conferences. Phones, speaker phones and computer lines are available for a fee. A complete equipment list is available upon request. Discuss needs with your Doubletree Catering Planner.

Table Linens

Doubletree Hotel Princeton provides standard colored linen on a complimentary basis. Special linen requests may require a rental fee.

Guarantee Policy

A final guaranteed number of guests for your event is due to the catering office no later than 7 business days prior to the first event of your program. If this number is not received, we will use the original estimated number of guests as listed on your signed Banquet Event Order. In the event your actual number of guests is under your number guaranteed, you will still be billed for that guaranteed number. The hotel will prepare to serve 3% over your guarantee number.

Banquet Space Assignment The Doubletree Hotel Princeton assigns banquet rooms according to the guaranteed minimum number of guests anticipated. The hotel reserves the right to re-assign function’s room in the event the original room becomes unavailable or attendance deems it necessary.

Information, Policies and Terms-continued

Deposit

All social functions require a non-refundable deposit of 25% based upon minimum revenue at signing of the contract. 60 days prior to the event, an additional 25% of the minimum revenue is due. The remainder, based upon final details, is due 7 days prior to the scheduled event with the final guaranteed number of guests. Advanced payment is accepted by certified or bank check, cash or credit card.

Loss of Property/Damage

The client agrees to accept responsibility for any damage done by their group to the function room or any part of the hotel prior to, during or following the event. The hotel does not accept responsibility for the loss or damage of any articles left in the hotel prior to, during or following the event

Outside Food and Beverage

A Doubletree Catering Planner will assist you in your selection of food and beverage from our printed banquet menus. In the event you are looking for selections not on our standard menus, we will be happy to custom design a menu. Menu prices are guaranteed 3 months prior to your event or if specified in the contract.

Outside Vendors

Your Doubletree Catering Planner will be happy to advise you with outside vendor recommendations.
