Team is seeking enthusiastic, experienced people to serve as Volunteer Mission Team members for the 2020 , in Yukon Territory, . As Part of Team Alaska, you will lead in helping Alaska’s athletes have the experience of a lifetime at the circumpolar North’s premier multi- event.

The 2020 Arctic Winter Games will be held March 2020 in Whitehorse, Yukon. This is one of the largest multi-sport and cultural events to be held in the north, attracting more than 2000 participants from Yukon, NWT, Alaska, , Yamal, , Sapmi, , and .

The Mission Staff has a key role as members of Team Alaska, acting as a Liaison between individual and all components of the Arctic Winter Games organizational structure. Up to 12 Mission Staff members, representing a blend of volunteers and professional staff from a wide cross section of the sport and recreation community in Alaska will be selected. Mission Staff members are volunteers who do not receive payment for their services or compensation for time off work. Meals, accommodation, and transportation will be provided during the Games. Mission Staff are required to attend all mission meetings and must be available for the inclusive duration of the Games.

We are seeking individuals who possess strong communication and administration skills; thorough knowledge of Alaska’s amateur sport system; interest and enthusiasm for working in a fast paced multi-sport environment; ability to operate independently and in a team atmosphere; ability to perform functions and duties outside of your assignment; strong interpersonal skills, and an ability to provide excellent service to your assigned sport(s). As well, the ideal candidate will have extensive and varied experience as a volunteer and be prepared to demonstrate strong commitment to the event.

MISSION STAFF RESPONSIBILITIES

Team Alaska Mission Staff members report directly to the Team Alaska Executive Director (Chef de Mission) and will assist with the specific duties outlined below:

Pre-games: • Make every effort to promote a safe, harassment free environment where all team members are treated with respect. • Attend Mission Staff planning meetings. • Assist with the uniform disbursement for your area as well as other sorting, shipping and processing. • Become familiar with the structure and organization of Team Alaska as well as the Arctic Winter Games and Team Alaska rules and guidelines, including eligibility, code of conduct, registration, etc… • Gain clear understanding of the trial selection criteria, technical package, and all regulations affecting you assigned sport(s) involvement in the Arctic Winter Games, including protest procedures. • Initiate contact and provide communication link between Team Alaska and your sports coaches and chaperones. Communicate pertinent information to the sport. Field questions, provide clarification, and assist with issues as they arise. • Attend and assist team selection trials for your assigned sport. • Ensure coaches, chaperones and athletes are familiar with the Team Alaska handbook, including Team Alaska Code of Conduct. • Complete other duties assigned by the Chef de Mission

At the Games: • Attend coaches/technical meetings and provide updates to the Chef de Mission • Attend daily Mission Staff meetings • Assist with athlete accreditation and accommodation arrangements • Report any incidents of harassment to the Chef de Mission or Assistant Chef de Mission • Attend competitions and medal presentations for your assigned sports • Perform Mission desk duty as assigned • Provide daily input to the Team Alaska newsletter and sport results • Check sports results for accuracy on a regular basis • Assist coaches/Chaperons with administrative details and communicate to them all matters related to their participation. These may include schedule changes, weather forecasts, transportation information, policies and procedures, participant social events, medal presentations, results and any other pertinent information by the Chef de Mission • Assist coaches / Chaperones with protest procedures if required • Assist with emergency situations and issues that arise • May be required to assist in transporting athletes, equipment and bag lunches when needed • Monitor medical emergencies and provide updates/information to coaches, chaperones, mission staff and Chef de Mission • Assist coaches, chaperones, and athletes with any problems that arise or when services fail to meet the needs of Team Alaska. Mission Staff are not responsible for security in the athletes village, but may be responsible for ensuring the coaches and chaperones are aware of proper conduct and curfew regulations and may be asked to make room checks • Ensure participants are aware of and adhere to the Team Alaska code of conduct. Report any incidents’ to the head coach and, if appropriate to the Chef de Mission for action and follow-up. The head coach, who may solicit advice from their coaching staff or assigned mission staff, will determine initial disciplinary action concerning athletes. If a mission staff member has not been part of the initial discipline hearing, they may be asked to be part of the appeals committee, and act as an athlete’s advocate. • Assist with the departures and ensure all team members are aware of the schedules and procedures. This will include ensuring accommodation and venue sites left clean and organized. If damage is observed, it must be documented and reported to the Chef de Mission, who in turn with notify the Host Society

Post – Games • Complete a Mission Staff evaluation. A format will be provided. • Follow up on any outstanding matters with the sports resulting from the games • Attend post-games (may be a conference call) evaluation meeting
